The Privy B a r o n y o f T e r r a P o m a r i a Chronicler s Words Greeting unto the Populace of Terra Pomaria! I want to take this opportunity to introduce myself to you. I am the new chronicler for the Barony of Terra Pomaria. My tenure started a bit rocky, as both computers in my household crashed and burned in one way or another in the first two months in office! It s taken some work, but the computer is up and running and the Privy is back in business. July s edition may be late, but we ll be back on track for publication of the August Privy in the first week of August. We ll be doing things a little bit differently, in order to have the official business meeting minutes easily accessible for reference. Once I have compiled the business meeting minutes, I will e-mail them to the Terra Pomaria Yahoo Group requesting changes and additions be turned in to me within two weeks. If you do not currently have access to the Yahoo Group, you can request to join at: http://groups.yahoo.com/group/terrapomaria/ At the end of that two week period (roughly the first week of the next month) the official business meeting notes will be published in the Privy. The SCA has recently developed a strict copyright and privacy policy which means that I cannot publish any pictures, even court or tourney pictures, without a signed release form from each person in the photo. That will make putting pictures in the Privy a challenge, to say the least! To that end, I will be taking copies of Model Release Forms with me to every SCA related event or meeting I attend. If you do not mind having your picture in the Privy please fill out a release for me there, or e-mail me at tpchronicler@gmail.com if you would like to have the form e-mailed to you. Take the high road. Stay positive. I m not going anywhere. I ll be around. Baron and Baronessa s words Thanks for all your hard work at Bar Gemels. We received a lot of positive feedback from those who visited, including Their Alpine Highnesses. We just got back from May Crown. Their Royal Majesties thanked us for our working so quickly to get payment in for the lawsuit. The overall lawsuit payment was made on time. The Kingdom Seneschal cleared up some information about background checks. Only the coordinator needs to have a background check and they do not need to be present for the activity. The background check is not necessary if parents must be present. We have a new interim Kingdom Seneschal, Brighid Ross. Ljotr stepped down. Exchequer Statement balance is $7564.51. Our current balance is $6486.53. I just want to remind people that advances need to be repaid to the barony within 30 days. Receipts must be turned in for reimbursement within 60 days. After that we are not obligated to pay. Garage Sale Tassi ran. We did decently well. We didn t have as many donations as last year, most came from Melannei and Kenji but they brought lots. The Garage sale brought in $495.66. Chamberlain/Librarian Stuff is still coming back from Bar Gemels. Taking inventory will probably go past the end of the month. Clarification Herald s books belong to the library and are on long-term loan to the Herald. Marshal-Weylyn will be my contingency deputy. Fighter practice has 5-7 fighters normally. Midwillamette was larger. We currently have 5 people borrowing portions of our loaner armor. We recently had an armoring day and 3 of those 5 added pieces to their personal kit. Kenji has barrels that he would be happy to donate to the armoring cause. Sunday practices have been smaller, 2-3 fighters. We are considering the park near WOU for practices. Weylyn won the Golden Apple tourney which was a holmgang. Mathea There are several open positions. I will post the open positions on the yahoo group. Equestrian Marshal Nothing to report. Equestrian practice should happen next month. Youth Armored Combat Torsten is working on getting authorized. Herald Bar Gemels was my first trial by fire. I did court herald, field herald, and town cries. At Ceilidh we had a heraldry night, including a class and games. Many participants had their name and device already. There are some photos of the game for the Privy. I am looking to set up a herald email address. The rules for submission have changed recently so I will be learning about those. All the heralds are trying to wrap their heads around the changes right now. A&S Minister-vacant. Brigit is interested. Chronicler The Privy went out last week. It was a bit rushed, but Fortune and I wanted to get it out so that we can start fresh from hear on out. I will be changing the address to gmail as yahoo has just been awful. I am open to entries for articles or photos for the Privy. Edwin was suggested as a possible source for photos. Grete Boke-Most of the inventory from Jean Jacques was sent to the Society Chronicler by Bera. Fortune has pictures, as she has been helping set up scrapbooks for the barony. Webminister-I have been catching up on website updates. Please e- mail me if you see anything that needs changed. Chirurgeon I am still looking for a Chirurgeon-in-Charge for Long & Short. I was blissfully bored at Bar Gemels. Chatelaine First I wanted to That our current Crown Princess, Astrid, is from Terra Pomaria. Ceilidh had 10 people plus a new family with four children. Our contract is up at Salem Heights Hall. We can stay where we are, as people seem fairly happy, or we can move. Keizer Heritage Hall was suggested as a possibility

P a g e 6 May Business Meeting Notes and Lady Ainslee said she would research that possibility. Gold Key I loaned a lot of garb at Bar Gemels. Most of it came back in good order. I m looking into labels for Gold Key and adding key pieces that will make the rest of it more wearable (i.e. chemises, etc ) Scribe Nothing to report. Scribal night is still on hiatus. Event Reports Winter s End Final Report. $667 revenue.$947.67 expenses with $500 of that returned (deposit). $219.33 profit. Bar Gemels Preliminary report. Still getting final numbers. Received $3031 through gate, $1461.50 feast income. Donations of $70.75, and $221.50 fundraising event. Main costs were $1115 site fee and deposit and about $900 in food. We didn t get as many volunteers on site as we have in the past. I d recommend ending the Bar Wench Smackdown. There didn t seem to be as much interest. Maybe it is time to let it go. The Griffin Quest tourney was won by Don Luciano. 6 entered and 5 completed the tourney. Many fighters chose not to fight the torchlight tourney. They seemed tired out from morning s fightings and/or saving themselves for the Griffon s quest the next morning. I still need kitchen and marshal reports. Long & Short We have changed sites to Adair Park in Corvallis. To do so, the financial committee increased the budget by $200. They also removed the $5 war practice fee at the Summits Warlord s request. The contract has been signed. We will have two tourneys: the heavy champion and the tournament of roses. Rapier will have a bridge battle tourney, archery will have an long IKAC and a Short Shoot as well. There is a siege cooking contest. And a War Practice on Sunday 11-1. There is no fee Sunday. There are 4 classes. Family activities, there will be Bocce ball, croquet, and a treasure hunt. Fliers are going to Egil s and Grand Thing. I still need someone to run Lists and a Volunteer Coordinator. We are loading the shed at 8:30 on Friday. It was suggested that we look for volunteers for the empty posts from Cour du Val. The Baron and Baroness are still planning the Heraldic contest. There is no day fees only a site fee, as Society is discouraging daytrip fees. We will reword e-mails and website to reflect that the only day there isn t a site fee is Sunday. Martinmas There may be a hitch on the site. Juliana will look at the calendar to determine if it is available. Bera is still looking at budget. It will be a Hunt and Harvest theme. The feast will be PIG! There will be a cooked feast, potluck lunch. Who brings what will be determined by birthday. There will be a Youth Arts & Sciences display. The Rapier championship will happen at Martinmas, but A&S will hold off until next year. New Business-Griffin Quest. We renamed it and are in the process of reworking the entire thing. We cannot call it a scholarship, per Society. There are 3 more tourneys: War of the Trees, Harvest Tourney, ARC Tourney. We hope to expand it beyond Heavy to rapier, A&S etc. We need to fundraise. We are working on the idea of a rest stop fundraiser (providing coffee and tea etc. which we have from Bar Gemels.) 50% of this fundraiser would go to the branch, 50% to the Griffins Quest. We can t do it in garb. There are strict requirements. We are aiming for a rest stop north of Salem. Acorn War August 10-11. They need help with Gate, Marshals, tear down. Meredith confirmed per Kingdom Law both sets of heirs are comped. Majority voted to approve the list with the addition of the Tanist and Tanista, Aaron Duncan and Telisia Brutusdottir. Meredith noted, I approve this list, as it is in line with our current financial policy. However, I suggest we revisit our comp policy at our next revision of the financial policy. 22 people is a significant portion of our expected attendance. Michael noted that while 22 people are on the list, not all Royalty on the list will be attending. Meeting adjourned May 29, 2012 at 4.56 p.m.

Opening Words from their Excellencies We want, and expect, everyone to feel comfortable talking to us as Baron and Baroness. There were a lot of rumors going on about the heraldry contest at Long & Short, which we didn t end up have at that event. We were surprised with the emails after Long & Short. Acacia Anyone who could be exposed to media at an event should read the kingdom media policy on the kingdom website. Officer Reports: 1. Seneschal - We are still missing a lot of deputies and contingency deputies. The end of the quarter is coming up. Quarterly reports are due by the 31 st of July, preferable by the 15 th. Please send me a copy. The Summits general fund is very low. Event stewards, please consider this when looking at fundraising. Torsten will be the Summits Chamberlain. The Summits is encourage Youth Arts and Science Heavy Champion, Sver, was injured this weekend, and will be out of armor for a month. He is doing ok. Keep him in your thoughts. 2. Exchequer - Our ledger is $8458.07, as of 5/31/12 our bank balance is $6818.41 We need to vote on the financial policy that was send out to the Yahoo group in May. It has been reviewed by the Kingdom Exchequer (barring a few changes that the Kingdom Exchequer recommended at the last Administrative Meeting.) The consensus of officers at the meeting agreed to approve the financial policy. a. Chamberlain Officers need to take an inventory and get them to me by July. b. Librarian nothing new 3. Heavy Marshal I have started inventory of the loaner gear. Fighter practice is going as usual. Midwillamette was very successful with 18 fighters. This week is the Golden Apple tourney. Weylyn was last month s winner. The format is fighters roll a 6 sided die to determine which wounds they have at the start of fight. Alail donated basket hilt, and we have an arm that was donated by Emma. It does need some repair. a. Rapier Marshal Vacant b. Lists Minister Vacant Mhairi is interested She has done lists in past for TP. She has done lists 7 years total and, most importantly, is willing to do it. Her Step up to Lists Minister was approved by the officers by acclimation. c. Target Archery Marshal Vacant d. Equestrian Marshal There is a possible equestrian practice this Saturday. I haven t got any RSVPs. It hasn t been on the lists. I do have an inventory and will send it off. I did marshal a practice for mountain s edge 2 weeks ago and authorized some fighters for mounted archery. Mathea requested that equestrian practices be put on the lists in future but do require RSVPs still. e. Youth Armored Combat Vacant 4. Herald Since my last report, I volunteered to conduct field heraldry during the Never Won a Tourney Tournament at Egil s in Adiantum. I conducted Herald activities at Long & Short to include town cry, field heraldry during the rapier tournament and Terra Pomaria Heavy Championship tourna-

P a g e 9 June Business Meeting Notes ment, and court heraldry. I published my first Herald s Huzzah! following Long & Short, and noted all corrections. I am working to submit my quarterly report to Master Fingall, Principality Herald. I also ensured that Lord Peder Georg Jensen's and Lady Elspeth Ainslee Goldheart were moved to the An Tir OP. I will be happy to do an inventory. I haven t had anyone mention interest in becoming my deputy. Duvessa volunteered to be herald s deputy and we ll do a change of officer form in July when her membership is active. 5. Arts and Sciences Vacant Egen has applied. He is Terra Pomaria s Arts & Sciences champion. He does sewing, leatherwork, metalwork, cooking, brewery, etc Mhairi and Brigit have withdrawn their applications. The officers agree to approve Egen as Arts and Sciences Minister. Ulf who will be an active member in July will become his deputy at that time. 6. Chronicler This month was filled with computer problems, and I have spent most of the time since long & short trying to recover the business meeting notes from May after my laptop died for good. That is still in process. If I have to, I will pay a professional to recover the info next week. Needless to say the privy did not go out due. I am still working on obtaining the chronicler inventory. a. Grete Boke Vacant b. Web Minister Both computers died, working on fixing the desktop. I have not been able to make updates to the website for a couple of weeks, but will do so as soon as desktop is up and running. 7. Chirurgeon Minor injuries at Long & Short. Thanks to Baron for stepping in before I arrived. 8. Chatelaine/Castellan Torsten-absent a. Gold Key Not many loans at Long & Short, but many donations then and right after Bar Gemels. I am working on the inventory. 9. Scribe doing a poll about starting up scribal night. There is interest at the meeting. Please respond to the poll to determine when scribal night would be. 10. Family Activities Coordinator Vacant- Fortune and Acacia are both willing to do the background check to help but are not able to hold office at this time. Reports of recent past events: 1. Bar Gemels 4/27-4/29- Brigit absent. 2. Long & Short 6/1-6/3 118 people on site. $1,520.10 total gate income. $1,122.38 total expenses. $392.73 total Profit. The Adair park site was beautiful. The Site Tokens were highly complimented. Archery was well attended despite my misgivings about the closeness of the 3M archery championship the same weekend. People seemed to enjoy themselves. Both event steward and Acacia expressed concerns about the date, which is very close to Bar Gemels, and falls in the middle of two Summits events and makes a very full calander for May/June. Additionally equestrian is very problematic at that time of year due to the state of the ground. Acacia indicated that Principality has been considering holding their Equestrian Championship at Long & Short but the date makes that unlikely. Discussion ensued about date. Mathea said, I don t think anyone is totally happy with the date and we can consider our options, but we may be stuck with it as the best option available.. Upcoming events 1. Ithra-8/25-having a hard time getting site settled. It is at Western Oregon University. Ithra Chancellor wants to go ahead. 2. State Fair-8/26-Fortune is running-berte is site liason. $20 fee to defray cost of tent. We don t have to put

P a g e 1 0 June Business Meeting Notes up or take down. Show up with stuff and talk to nice people that come by. Last year we did all 8 hours. We get 2 free passes per 4 hour shift. Berte is willing to sponsor additional people. Music is problematic as it has to be done in between stage acts. Permanent bathrooms are nearby. No weapons or anything that resembles weapons on state fairgrounds. Armor is ok. Several people are interested so Fortune will go ahead. 3. Archery Championship 10/13 lots of interest but no bids. Baron suggested doing a siege cooking contest. There is a site just south of Monmouth that the Baron has access to it. Simon will go with them to look at it. 4. Martinmas 11/3 lots of interest but no bids. J lid will not be available. Bera has been talking about bidding but is not here and has not given a bid. Melannei suggested that we consider waiting on Martinmas until next year to give officers and volunteers a break. Mathea will talk to Bera about whether she will bid on it by next meeting. Table discussion until next meeting. 5. Bar Gemels 2013 Mathea has a bid in hand from Ainslee. It was received at the meeting. Theme for event is Pas da Arms, pomp and circumstance. Financial committee needs to review and will do so before the next business meeting. Mathea will put in date reservation form for last weekend in April and will start working on contract. 6. We need to have earlier bids which will put less stress on event stewards. Mathea would like to see us up to putting a bid on a Kingdom event and that needs advance planning. July Coronation 2014 is open. New business 1. Duvessa s fundraising ideas Luncheon Fundraiser Tea with Baroness Kenji volunteers for a Japanese tea ceremony as there is a lot of talk regarding them lately on the Japanese sca lists. Making nice shields for people (that they can hang up) as fundraiser Tabletop Seige weapons Mathea will put Duvessa in touch with Bera concerning Martinmas fundraising 2. Children centered event- Duvessa - kids defending the playground against fighters etc. Mathea says not many kids coming to events. Acacia-Lots of people don t take kids to events especially indoor events due to lack of things to do. We couldn t do this until we have a Family activities coordinator, but general consensus is that we like the idea of incorporating children activities within another event. 3. Griffin quest-acacia-as we have hosted a Griffin quest tourney already this year we need to do some kind of fundraising for it. 4. New A&S Workshops and Classes-Egen-I want to know what people would like to learn so I can line up people who can teach them! Tell me via e-mail so there is a record for me to refer to.
