OSHKOSH 2019 The largest aviation event in the world! Tuesday, 23 rd Monday, 29 th July PROVISIONAL ITINERARY & GENERAL INFORMATION Pictured left is just a sixth of Wittman Field, venue of EAA s AirVenture 2019, taken from a Bell 47 helicopter during one of their non-stop pleasure flights around the airfield. Following last year s, and 2017 s, popular shorter tour giving 4 full days at the World s largest aviation event, we are offering it again for 2019. After making its Oshkosh debut in 2017 and returning last year, we hope Doc, the world s second flying example of a B-29 Superfortress along with the more famous B-29 Fifi, will participate once again. Other special events and gatherings will be announced over the coming months. So what exactly is there to see? In a word lots! In 2018 there were: 601,000+ visitors with 2,714 from 87 nations around the world, spending $107,000,000.00! 10,000+ visiting aircraft 2,979 showplanes comprising 1,160 home-built aircraft, 1,094 vintage airplanes, 377 warbirds, 185 ultralights and light-sport aircraft, 75 seaplanes, 22 rotorcraft, 52 aerobatic aircraft, and 14 hot air balloons 867+ trade exhibitors in 5 huge exhibition halls 976 media representatives on-site from 6 continents 1,500 forums, workshops, and presentations attended by more than 75,000 people 2,800 people flew on the EAA s Ford Tri-Motors; 3,032 people on the EAA s Bell 47 helicopters and 680 went up in the EAA s B-17 Aluminum Overcast As well as the aircraft landing, taking off, on the ground and flying in the daily airshow there is also: Giant Fly Market selling non-aviation and aviation items, from bits and parts to whole aircraft! Details on how to obtain EAA membership which can be done on the day, or in advance (at reduced rates) - can be seen on page 8. Admission wristband(s) can also be purchased on the day or in advance at: http://www.eaa.org/en/airventure/eaaairventure-tickets. The cheapest option for attending all 4 days is to join the EAA as an International Member - and to purchase a Weekly Wristband. For those who meet the criteria, why not apply for media accreditation via the EAA s website: includes free admission. We fly from Terminal 5 at London s Heathrow Airport on the scheduled services of British Airways to Chicago s O Hare International Airport. All transfers in the USA are by specially chartered coach: please read the appropriate paragraph on page 6 of General Information. We stay in Oshkosh itself, in the halls of residence on the campus of the University of Wisconsin (UWO); there are 3 standards of accommodation - details are on page 5. See page 8 for details of meal options. Our annual pilgrimage to Oshkosh is always one of our most popular trips and when you have been to this awesome event you will know why! For those who prefer to take things sitting down, it is possible to hire mobility scooters and golf buggies but they are very popular and you have to book them early! PROVISIONAL ITINERARY (all times local) DAY 1: TUESDAY, 23 rd JULY Between 07:00 and 07:30 please check-in with British Airways in Terminal 5 at London s Heathrow Airport. Then meet your Ian Allan Tour Manager and fellow enthusiasts who will be gathering by Column G; this is located in the Departures Hall immediately before the self-service check-in podiums (not the usual line of check-in and fast bag-drop desks). Latest recommended check-in time is 3 hours prior to departure, i.e. 07:30. Heathrow Airport, Terminal 5 Flight: BA 295 Departs: 10:30 Chicago O Hare International Arrives: 13:10 After Passport Control we collect our luggage from Baggage Reclaim and proceed through Customs; in the Arrivals Hall we meet our driver and board our air-conditioned coach for the 3-hours drive north to Oshkosh. We will have a comfort break en-route. Early evening we arrive at the University of Wisconsin (UWO) in Oshkosh, where we stay 5 nights on a Room Only basis. DAYS 2-5: WEDNESDAY, 24 th - SATURDAY, 27 th JULY 4 full days at Oshkosh 2019 to enjoy as you wish entirely at your pace/leisure. Please note we do not stay together as a group. Should you need to contact your Tour Manager his mobile number will be listed on the tour s covering letter. You will also be advised of his room number at Horizon Village. Each morning sees up to 4 streams of aircraft landing one after the other on both runways, plus demonstration flights of new aircraft by their manufacturers. The very popular Ford Trimotor is continually taking to the sky giving pleasure flights, as are the Bell 47 MASH helicopters (pictured above) at the Pioneer Museum; B-17 Flying Fortress flights will also be available. Throughout the day, every day, there are seminars, presentations and technical workshops; the 5 exhibition halls and the Fly Market will be doing good business. In the afternoons the daily airshow takes off, featuring antiques, classics and new types. On several days there are specially extended airshows featuring warbirds with lots of pyrotechnics including the awesome, mile-long Wall of Fire! Like in 2018, we hope to see TWO B-29 Superfortress s attending!! From the hurly burly and crowds on Wittman Field to the relative peace and quiet of the wooded shores of Lake Winnebago, the beautiful floatplane base which is home to the EAA s Splash-In. Walk, or take one of the tractor-trailer trains, to the far (western) end of the flight-line where you can board the EAA shuttle bus for the 20-minutes drive to this idyllic lagoon: $3.00 round trip (2018 rate therefore subject to change). Usually you can see 70 or more floatplanes ranging in size from small Cessna s and Cubs, to larger types like the Grumman HU-16 Albatross, Catalina, and even a rare Piaggio (pictured right). Even the Martin Mars attended a few years ago, but that is not likely to be repeated any time soon. Relax in the shade; enjoy a drink, a BBQ or sandwich. Jump on board the electric boat for a tour around the anchorage. Most days pleasure flights are available! DAY 6: SUNDAY, 28 th JULY This morning our coach picks us up and we return to Chicago O Hare Airport including those who have joined us from the Canadian Floatplane tour. We make a stop for lunch (at your own expense) en-route. On arrival at O Hare we check in with British Airways for our overnight flight back to Heathrow; latest recommended check in time by the airline is 3 hours prior to departure: 14:05. ACCOMMODATION OPTIONS AT THE UWO OSHKOSH South Gruenhagen Hall of Residence, University of Wisconsin Standard: at the UWO, rooms are rented out whilst the students are away on summer vacation. Each room is of a basic standard comprising 2 single beds, set of drawers, wardrobe, desk, etc. There is no washbasin in the room: all washing facilities (sinks, showers and baths) are communal on each floor. There is no air-conditioning. Many regulars either take or purchase small electric fans. Rooms can be booked for single or 2-person occupation, as you prefer. Taylor Hall of Residence, University of Wisconsin Standard: exactly the same as above except the rooms have air-conditioning. Horizon Village Opened in the spring of 2013, this new hall of residence is air-conditioned and has ensuite facilities. Suites comprise: 2 bedrooms (each with 2 single beds); a shared furnished living room and kitchenette with a full size refrigerator and a microwave (no cooker or oven); 2 bathrooms; a single shower. See 2-bedroom room layout opposite. Those booking a single room will occupy one of the two twin-bedded bedrooms: the other bedroom will be occupied either by another single person or 2 enthusiasts booking on a twin-bedded room basis. Depending on the number of bookings we receive, we will endeavour not to put single and twin-share bookings in the same suite, but one single booking in each bedroom. Please note: Some of the suites contain 3 twin-bedded bedrooms not 2; however, we have specifically requested we are allocated only 2-bedroom suites. Although we will do everything we can to ensure we are given 2-bedroom suites, Ian Allan cannot be held responsible if the University allocates the former. Accommodation at the University is on a room only basis. Excellent buffet meals can be enjoyed at the University s Blackhawk cafeteria, which serves large breakfasts, lunch and evening meals. In addition, there are other eating and drinking options on the campus. Irrespective of which type of accommodation you choose, we recommend you take your own towels, soap and hair shampoo. Transfers to/from Wittman Field is on the local Oshkosh GO TRANSIT shuttle bus service which operates from dawn to dusk: it costs $3.00 (2018 rate) for a return journey - they don t do singles! Note: exact fare only no change given! A copy of the map and schedule will be included with your travel documents. GENERAL INFORMATION Payment for A deposit of 400.00 per person should accompany your Booking Form, with the balance due 10 weeks prior to the tour s departure. Please see your Booking Confirmation/Invoice for the exact date. Please note that a reminder of the payment date will not be sent. Tours Affected by World Events or Unforeseen/Unplanned Circumstances In an ever-changing world, events may occur immediately before or during a tour that result in cancellations or changes to the tour itinerary. For example, an increase in security may result in an approved visit being cancelled by the host, etc.. cannot be held responsible for any tour being cancelled, or itineraries affected, due to world events or circumstances beyond our control. Coach Travel only use coaches chartered from reputable companies, with a driver. Where we have had to cancel a tour, due to the small number of bookings, we have looked at the possibility of renting a 9-18 seater mini-van, with our tour manager driving. However, without exception, the hiring of such a vehicle is illegal if any of the occupants make any payment towards the rental price, fuel and/or other expenses - known as for hire or reward. Any such rental, made without these facts being made known to the rental company at the time of booking, also invalidates all insurance covering the vehicle, contents and persons. The DVLA has also confirmed that any for hire or reward rental could breach the normal driving classification of a standard U.K. driver s license. Therefore, we do not undertake any tours using 9-18 seater mini-vans from a rental company; either with our tour manager, or a member of the group, driving. Passports and Visas Citizens of the UK are required to be in possession of a Full UK Passport, which must be valid for at least 6 months from the date of your return. You may also refer to the World Travel Guide: www.worldtravelguide.net for general information on passports, visas and health requirements. FCO Consular Advice The FCO s consular service is a major operation. Every hour of every day consular staff around the world are advising and helping British nationals. We suggest you visit www.gov.uk/foreign-travel-advice for upto-date passport, visa and security information on the destination you intend visiting. In addition, the Association of British Travel Agents (ABTA) provides both a web site http://abta.com/gotravel and an Information Line, telephone: 0203 117 0599. This line is open between the hours 10:00 16:00, Monday-Friday (excluding bank holidays). IMPORTANT MANDATORY REGULATIONS FOR ENTRY TO THE USA - Electronic System for Travel Authorisation (ESTA) Anyone seeking entry to the USA must have an Electronic System for Travel Authorisation (ESTA), which was introduced by the US government in January 2010 for all persons flying into the United States under the Visa Waiver Scheme. This includes all UK passport holders. This means that all travellers are required to apply for authorisation to travel under the scheme before arriving at their departure airport. The changes affect all passport holders from 34 countries currently participating in the Visa Waiver Scheme (includes the UK). You must apply prior to departing on this tour. You can only apply online at https://esta.cbp.dhs.gov From September 2010 a charge of $14.00 was introduced for all new ESTA applications. If you apply on the above website there are NO OTHER CHARGES WHATSOEVER for this service - but be warned, there are several unofficial websites that offer you this service but will charge a higher amount. The application process will take approximately 15 minutes and authorisation is normally granted immediately but may take up to 72 hours. We recommend that you apply for authorisation at the time of booking your place on our tour - or at very latest 72 hours before the tour departs, to ensure you are able to travel. If your application for an ESTA is unsuccessful you must apply for a US visa from the US Embassy in London. Once granted, your ESTA is valid for two years, during which time you need not re-apply however you are required to up-date your ESTA each time you visit the USA. After 2 years you will have to apply for another ESTA. We have heard of instances where an ESTA has been cancelled by the US authorities without prior warning or notification to the holder! Therefore, we recommend you check your ESTA when planning your travel to the USA. We also strongly recommend that you keep a photocopy of the ESTA with your passport. For more information, please go to https://esta.cbp.dhs.gov, or www.visitusa.org.uk The responsibility for acquiring an ESTA lies with each individual (and not ). If you arrive at check-in without an ESTA (or a US Visa if you were refused an ESTA), you will not be allowed to travel to the USA. No refund of the tour price whatsoever will be possible from Ian Allan Aviation Tours. It is also extremely unlikely that any travel insurance company would agree any subsequent claim therefore it is important that you act upon this information NOW. Examination of Flight Bookings by US Customs APIS Information All airlines flying to the United States are obliged to provide information about US-bound passengers, under an agreement reached between the United States and the European Commission on the 18 th February 2003. Under the agreement, as of 5 th March 2003, US customs officials have discretionary power to examine passenger booking information held on computer reservation systems relating to flights beginning, ending, or stopping over in the United States. The European Commission has received guarantees from the United States that this information will be used appropriately. This requirement, based on the US Air Safety and Transportation law of November 2001, is intended to increase air safety and is in addition to the information supplied when applying for your ESTA (see above paragraph). Inspection of Luggage by US Transport Security Administration Items of luggage going into the hold of the aircraft may be opened by US Transport Security Administration (TSA) officials without you being present. In some instances locked suitcases have been forced open, their contents checked, and then re-sealed with tape and a note left inside by the TSA. Most airlines and insurance companies insist that your unaccompanied luggage be locked at all times; the TSA prefer they are left unlocked! The only advice we (and ABTA) can give at this time is that it is your choice whether you leave your suitcases locked or unlocked. You may wish to consult your travel insurance company before making a decision. Or you may purchase a TSA Approved Lock, available at various local retail shops (and airports); these locks can be opened by the TSA, thereby, avoiding damage to your luggage. First Nights Stay in the USA Airlines flying into the USA are required to provide the American authorities with the full postal address of where each passenger will stay on their first night. The address of the hall of residence at the UWO will be stated on the final itinerary and the accompanying covering letter. Baggage Regulations British Airways Departing from London s Heathrow Airport Checked Baggage: Included within the cost of your British Airways ticket is 1 piece of checked baggage per person, the total dimensions of which must not exceed 190cm x 75cm x 65cm (75in x 29½in x 25½in), including the handle, pockets and wheels. Cabin Baggage: for travel out of London s Heathrow Airport you may take 1 carry-on bag (and 1 personal item). Your main piece of hand baggage can be up to the dimensions of 56cm x 45cm x 25cm (22in x 18in x 10in), including handles and wheels. You must be able to lift the bag into the overhead locker unaided. Carry-on baggage must be stowed in carry-on compartments of the aircraft, under a seat, or in an overhead locker. Your bag must also fit into the bag gauge, available at the check-in area. All larger-sized items must go in the aircraft s hold. Hand, or cabin, baggage is limited to one item no bigger than 25cm (9.85 inches) deep x 56cm (22 inches) long x 45m (17½ inches) high, and which you must be able to lift unaided into the overhead locker onboard the aircraft, plus one personal item, i.e. laptop, briefcase, etc.. Limited quantities of liquids are allowed as hand baggage but must be carried separately through security in a clear plastic, zip-top or re-sealable bag that does not exceed 20cm x 20cm (8 inches x 8 inches), or quart size. Individual containers must not exceed 90ml or 3 American ounces, and items must fit in the bag comfortably and the bag must be completely closed. The bag can only contain: Shampoo, suntan lotions, creams, toothpaste, hair gel and hair spray, perfumes, cosmetics such as mascara and lip gloss, water and other drinks, soups and syrups and other items of a similar consistency. Hand baggage can include: Electronic equipment including mobile phones, digital cameras and MP3 players (such as i-pods). Laptops must be removed from the bag for x-ray. Prescription medicines in liquid form, e.g. diabetic kit. All electrical devices, e.g. cameras, laptops, i-pads, mobile phones etc, must be fully charged. If not they, and you, may have to undergo additional security checks which could result in you missing your flight; in which case depending on the co-operation of the airline - you may have to purchase new tickets (if you do not board your first flight then all other flights are automatically cancelled). At security all remaining items should be placed in the tray provided for screening, e.g. car keys and fobs, cash, solid food, books, newspapers, cigarettes and tobacco, belts and shoes. Pushchairs and walking aids are permitted but must be x-ray screened. All wheelchairs will be subject to search. Please note, you may be subject to a hand search by the security team and required to remove footwear to be x-ray screened. Once in the departure lounge passengers may purchase certain items in any shop and take it onto the aircraft as normal. Passengers may be subject to a secondary search at the departure gate before boarding. Any items not on the approved list will be removed. As baggage regulations can change with little warning, due to security requirements, you are strongly advised to contact the airline for the latest information nearer to the time of your departure. ATMs Hole in the Wall Cash Dispensers: Cash dispensing machines are located on Wittman Field as follows: Main Gate; Fly Market; Southeast Corner of EAA Wearhouse; Sky Shoppe; Vintage Grill; EAA AirVenture Museum; EAA Welcome Center Food Court; EAA Bus Terminal; and Ultralight Headquarters. EAA Membership and Admission 2019 Full details of EAA membership is shown on their website at www.eaa.org/en/airventure/eaa-airventuretickets. Annual membership costs $40.00 for 12 months. For 4 days at Airventure the cheapest option is to join the EAA ($40.00) and purchase a Weekly Pass ($123.00). Also, EAA members are allowed to take in 1 guest (e.g. 1 other member of the group?), at the Members Guest Rate of $123.00 for a Weekly Pass (without the guest having to join the EAA). You can pay online in advance - and get a reduced price - or on your arrival. We suggest you do not join the EAA and/or purchase tickets until we have confirmed the tour is going as scheduled. Please note: all prices above are 2018 rates, we await details of 2019. Meals On this tour no meals are included during our stay at the UWO. The all you can eat Blackhawk cafeteria serves excellent choices for breakfast, lunch and evening meal. There are also several other dining options and bars located around the halls of residence and on Wittman Field. In-flight meals when included within the cost of the air ticket form part of the tour price, however some airlines (primarily European carriers) now only serve refreshments for which they charge accordingly. Health Requirements There are currently no known mandatory or recommended precautions required for travel to the USA. However, we strongly recommend that you consult your local doctor or health centre for the latest information. Climate and Dress The weather should be warm and sunny during our visit with temperatures in the mid to high 80ºsF. Travel Insurance For citizens of the United Kingdom, can provide competitive and comprehensive insurance cover for the duration of your tour. However, if you do not wish to take out our insurance, you must ensure that comparable or greater cover is taken. The number of your Insurance Policy should be written, if known, on your Booking Form at the time of making the reservation, but no later than the date when final payment is due. A copy of the policy must be forwarded to. Individual insurance policies are arranged through CoverMore Insurance Services Limited; the premiums for which will vary according to your circumstances. Full details are available on request. The Policies for the USA also include cover for non-scheduled flights, i.e. pleasure flights, where the aircraft is licensed and insured to undertake such flights, and where a payment is made. Wheelchair Assistance at Airports Anyone requiring wheelchair assistance at airports must have this service requested and confirmed in advance. Airlines and/or airports can no longer provide this service without prior confirmation, therefore, please annotate your booking form accordingly. Electric Mobility Scooters A limited number of electric mobility scooters and golf carts are available for rental. Details available on request. Flexible Itinerary We are very happy for enthusiasts to take time away from the printed itinerary to pursue their own interests during multi-day stays in the same place, so long as they inform the Tour Manager. It will be the individual s responsibility to ensure that they re-join the group in the hotel at the stated time on the day of departure. Land Only Price For enthusiasts who would prefer to join the tour in the USA (instead of flying from the UK with the main group), we would be pleased to quote a Land Only price. This price does not include any flights whatsoever and you are strongly advised to contact us before making your own flight arrangements in the event that there has been a change to the published itinerary. This is particularly relevant where travel on domestic flights forms part of your individual itinerary. Please note that the Land Only price is based on you meeting the tour at the halls of residence at the UWO in Oshkosh; it does not include either arrival nor departure airport transfers; however, should your arrival/departure at Chicago O Hare Airport coincide with that of the group, a seat will be offered when available at a supplement of 45.00 each way. Oshkosh is not served by scheduled airlines, however, Appleton and Green Bay airports provide domestic services. Payment for all transfers will be taken with your final balance. For those who request coach transfers after final balance has been taken, payment will be collected by our Tour Manager on arrival in the USA: Chicago transfers: $60.00 each way. Cash only. Flight Timings & Connecting Travel Arrangements to Departure Airport All flight departure and arrival times are correct at the time of preparing each itinerary, however, airlines may change these times with little or no prior warning. In practice such changes are only a few minutes either way and the final itinerary will show the actual times.
