Please read these Booking Conditions carefully prior to booking as by booking with us and paying the required deposit both you are and the travellers for whom the booking is made are deemed to have agreed to these Booking Conditions and your booking has been accepted by Nordic Travel on this basis. Quotes: Any written quote is based on exchange rates at the time of quotation, is subject to availability at the time a booking request is made, and may change without notice, due to exchange rates, fuel surcharges and other elements beyond our control. Prices: Prices are not guaranteed until full payment as cleared funds is received by Nordic Travel. All prices are in Australian Dollars. As the published prices on the website and all other prices are determined far in advance of departure dates Nordic Travel reserves the right where exchange rate fluctuations of more than 2.0% occur to adjust prices accordingly, at any time up until payment in full has been received. Prices do not include any other fees that may be directly imposed by third parties. Entrance fees for attractions in Iceland: Some entry fees payable throughout Iceland for attractions including but not limited to natural and historic sites are only payable locally in Icelandic kroner and must therefore be paid by the traveller in cash at the time of entry to the said attraction. Such fees are therefore in addition to any prices quoted by Nordic Travel. Deposit: Payment of a deposit of a minimum of 25% of the total price of the booking must be paid to Nordic Travel before any booking will be made. This is to take into account the monies Nordic Travel must pay to our suppliers at the time of booking and any cancellation and/or amendment fees which may be incurred or for which Nordic Travel may be liable. Once the booking is confirmed this payment then becomes non-refundable and nontransferable. Certain other travel arrangements and destinations require a higher deposit and have deposit conditions other than those mentioned of which you will be advised at the time of quotation and/or booking. For bookings made less than 90 days prior to the start of arrangements full payment is required before any booking will be made. If we are unable to confirm the booking request we will endeavour to offer a comparable alternative however if there is no alternative, or if the alternative offered is unacceptable, then you will receive a full refund of deposit monies paid. Final Payment: Final payments for most arrangements are due a minimum of 3 months prior to the date of the start of Nordic Travel arrangements. Certain travel arrangements and destinations require a different timetable for final payment of which you will be advised at the time of quotation and/or booking. For bookings made less than 90 days prior to the start of arrangements full payment is required before any booking will be made. Non payment by due dates may mean full cancellation of arrangements, plus loss of monies already paid to Nordic Travel. Amendments: Should a change be requested by you after the booking request has been confirmed, a charge of $100 per change, per person, will apply. Any other fees/charges imposed upon us by outside suppliers as a result of such a requested change will be added to this. Cancellation by the Traveller: All cancellations must be made by you in writing and such notice is not effective until received by Nordic Travel. Notice must be sent during office hours only (Mon Fri, 09:00hrs 17:00hrs, Sydney time, not being weekends or public holidays). If some or all portions of the booking are cancelled, fees will apply as follows: 90 days or more prior to the date of start of Nordic Travel arrangements: Loss of whole of deposit days prior to the date of start of Nordic Travel arrangements: loss of 50 % of monies paid Less than 45 days prior to the date of start of Nordic Travel arrangements: loss of 100% of monies paid. If booked arrangements have already commenced, 100% of the cost is charged. There is no refund for unused services or if portions of the arrangements are missed. Please note that additional Supplier cancellation charges of up to 100% of the price may apply. Cancellation or Amendments by Suppliers or in other circumstances: If we have to change your booking, or part of it, for reasons beyond our control, (including but not limited to if an airline changes its schedules, a natural disaster or political crisis occurs, a hotelier overbooks hotel accommodation, or an operator cancels a tour), we will notify you and we will endeavour to provide alternative arrangements of the same standard as that originally booked. If the change or changes result in the booking costing more, or otherwise being materially different from that contemplated prior to the change or changes being effected, and in respect of which we have already accepted a deposit or balance of payment, you have the right to ask for a re-arrangement and monies already paid will be refunded, less any charges levied by suppliers. This excludes all taxes or fuel surcharges incurred by our supplier/s until tour/cruise commencement date. Additional Charges: A charge will apply for the following services (including GST): Minimum Booking: $100 per person for bookings of less than $700 total. Late Booking: $100 per person for any booking made less than 7 days prior to departure from Australia. Document Re-issue Fee: $100 per person for any amendment made which necessitates re-issue of documents (This may be in addition to any other amendment fee charged by our suppliers and passed on to you). Travel documentation: Travel documents are sent out approximately 2 weeks prior to the date of departure from Australia. However some documents are only made available to Nordic Travel approximately 2 weeks prior to the starting date of those arrangements and accordingly can only be sent upon receipt.
