2 [2] WELCOME! YMCA Day Camp Christmas Tree is excited to present a superb program this summer. Meeting new friends, discovering the wonders of nature, and learning new skills all add up to wonderful, lasting camp memories. Our days are filled with activities that your child is sure to enjoy. Our staff is caring, nurturing and well trained to provide a safe environment for our campers. Please call me with any questions or concerns you may have. ABOUT YMCA DAY CAMPS Our goal is to give all kids the opportunity to discover who they are and what they can achieve. Day Camp is a 5-day enrichment program and the next step in youth development. Day Camp gives kids a traditional camp experience during the day. Every child will benefit from this connection with nature. YMCA Day Camps are wonderful places for your child to experience fun, outdoor adventures this summer! New and returning campers thrive during a week packed full of exciting, structured traditional and specialty activities. Campers participate in small, age-appropriate groups where they build self-esteem and learn new skills. Our experiences are built on the Y s core values of caring, honesty, respect and responsibility. 4 [4] GENERAL INFORMATION GENERAL CAMP: ATTIRE & WHAT TO BRING Clearly label all items with your child s first and last name. Dress your child for a day of outdoor fun and pack the following items: Lunch & Snacks non-perishable lunch, plus 2 snacks Tennis shoes that can get dirty Rain jacket and/or sweatshirt Swim suit and towel (no flip-flops) Water bottle Insect repellent Sunscreen Backpack, labeled to tote all items Note: Lifejackets are provided by the camp. Campers are encouraged to wear the Y S 4 core values colors: Tuesday RED = Caring Wednesday BLUE = Honesty Thursday YELLOW = Respect Friday GREEN = Responsibility CANCELLATIONS If your plans change and you must cancel your camper from Day Camp, please contact the Customer Service Center at or ymcamn.custhelp.com right away. Our cancellation policy: Cancellation or changes to the original camp registration must be made in writing by Monday, one week prior to the start of the camp session. Submit to YMCA Business Center via mail or . If no notice is received, you will be billed for the original enrollment choices. A $10 change fee is applied to each change. No refunds on registration deposits. Horse Camp Loose fitting long pants with straight legs avoid Capri pants, no shorts for riding Hard soled boots or shoes with heels ¼" ½" high (avoid canvas tennis shoes/loafers) Jacket no loose or floppy styles Tie back long hair NOTE: Safety helmet HSA-approved safety helmets provided by camp Water Adventure & Sailing Camps Bring swimsuit and towel each day PICK UP For your camper s safety the person picking up your camper must present a photo ID and be listed on the Authorized Pick up section of the registration. Late for Pick Up: Please call camp if you will be late. If you are late for pick up, we will attempt to reach you by phone/cell. If you are not reached, we will call persons listed as emergency contacts. Your camper will be transported to the Before and After Care site at the Ridgedale YMCA After 1 hour, the authorities will be called to ensure the safety of your child. Pick Up by Other Person: When you arrange for persons who are not on your authorized to transport list to pick up your child from camp: You must send a written permission slip. Phone calls are not accepted. Authorized individuals are responsible for signing your child in and/or out. Authorized individuals must present photo ID
5 [5] GENERAL INFORMATION (continued) BAD WEATHER Camp is held rain or shine. Many fun-filled activities are planned for rainy days. Some of the best camp memories can be had on rainy days! Dress for the Weather: Campers must dress accordingly for the weather with appropriate rain gear. Modified Activities: To fit rainy days, activities are often held inside rain shelters. Your child may return home wet and muddy. Beat the Heat: To keep campers safe during extremely hot days, certain activities may be canceled. Campers are consistently encouraged to drink lots of water and will play more water game and enjoy activities in the shade. Severe Weather: Camp staff is trained in emergency procedures. If a tornado warning has been issued while the children are at camp, staff will bring them directly to the Tornado Shelter The Camp Director will notify the Y immediately if the bus will be delayed Please check the camp Facebook page for weather updates. EMERGENCIES - INJURY-ILLNESS Drills: To ensure the continued safety of all campers in case of an emergency, we will conduct emergency procedure (waterfront emergency, lost camper, tornado warning, bus evacuation) drills on a regular basis. Your child must participate in these drills, just as they participate in fire and tornado drills at school. Injury: If your child is seriously injured, Y staff will notify you. In case of serious injury, Y staff will: Call 911, perform immediate First Aid and contact you. After 911 has been called, the emergency response team will determine next steps. If emergency transport is required, a staff member will accompany the child to the hospital and remain until the parent/guardian arrives. If a parent/guardian cannot be reached, we will continue to call those listed on your emergency contact list until contact is made. Illness: If your child is ill or must miss camp: Notify the camp by phone or leave a message on our voic . If your camper falls ill while at camp, we will notify you. Please see Medication & Illness Procedures on P11. WATER ACTIVITIES Swimming: All campers will have the opportunity to swim. Counselors are required to be engaged with the campers when their group is swimming. Children will never be forced to swim if they don t want to. Campers are required to take a swim test to ensure their safety. Campers may be required to wear a lifejacket depending on swim ability. No flip-flops, please. Boating: Our boating program is an introductory opportunity for children to learn basic boating and safety skills. All children and staff wear life jackets while in the boats. A Certified Lifeguard is always present and in sight of all boats while children are boating. LOST & FOUND Check with the Camp Staff and the Y branch for lost items. The camp s lost and found is located near the camp office. Families may search lost and found for lost items on family nights or during pick up/drop off. Lost items are held for two weeks, and then donated to charity. We will do our best to help campers remember their things. The Y is not responsible for lost or stolen items.
6 [6] GENERAL INFORMATION (continued) BEFORE/AFTER CARE Before and After Care provides the camper with supervised activities prior to and following the end of the program day. More information can be found at daycampchristmastree.org Select day camps Click on camp location for specific Before/After Care information including locations and times. FIELD TRIPS Transportation of campers to field trip destinations is provided by trained, certified drivers. Booster seats are available as needed. USDA Child and Adult Care Food Program Y Child Care Programs that provide meals and snacks follow the meal guidelines of the Child and Adult Care Food Program. COOKOUTS & PICNICS Each group will have a cookout or picnic. Our campers have fun planning and on picnic day. A note with information and what item to bring to share will be sent home the first day of camp. Items are readily available, will cost around $5 and are those such as: Juice Boxes, Hot Dogs, Fruit or Veggies, Marshmallows, Pudding Cups, Gummy Worms, Etc. WEE BACKPACKERS ( Wee Bees ) Special care is given to our Wee Bees, our youngest campers, throughout the day. Staff makes sure Wee Bees are eating and drinking enough water during the day and assist with their backpacks. If your child needs extra help in a certain area, please give a note to the Bus Captain or the Camp Director and they will make sure the counselor is aware of your child s needs. Wee Bees always wear life jackets while swimming. PROGRAM ACCESS The Y is committed to the policy that all persons should have equal access to its programs, facilities, and enjoyment without regard to race, ability, creed, national origin and sex. The Y will accommodate special needs into existing programs to the extent that financial and physical resources permit. So we may provide a positive experience, please contact the Y if your child has any special needs requiring any accommodations. ACCOMMODATION PROCESS ABOUT OUR STAFF Each staff member goes through an extensive hiring process including a criminal history background check, reference checks and an interview. Staff receives over 40 hours of training including training in camp program areas, relating to children, health and safety skills and are First Aid and CPR certified. Consideration is given to the individual needs of every child and the ability of the program to meet those needs. Please inform the Y during the enrollment process if you or your child requires any special accommodation. It is helpful for a smooth program transition to have a conference prior to enrollment. This information enables the Y to better meet your needs or those of your child, within available resources and to the extent reasonable. All staff that will be working with a child with special needs will be informed of how to care for or meet those needs in a timely fashion through a meeting or written notification. Staff members are committed to being positive role models for campers.
7 [7] BEHAVIOR GUIDANCE The Y attempts to teach all children the values of respect, responsibility, honesty, and caring. Parents will be notified if behavior problems occur. Our general practice is to encourage and reward positive behavior, and redirect misbehavior. We make every attempt to work with children and teach appropriate behavior however, we will suspend or terminate children from the program as a last resort. Fighting and bullying will not be tolerated and could lead to dismissal. GENERAL BEHAVIOR RULES Be Kind - keep hands, feet, and objects to yourself Be Respectful - to staff, others, yourself and environment (clean-up) Be Safe - stay with a Y staff member Follow the YMCA s 4 Core Values of Caring, Honesty, Respect and Responsibility UNACCEPTABLE BEHAVIOR Refusing to follow our behavior guidelines or camp rules Using profanity, vulgarity or obscenity Stealing or damaging personal or camp property Refusal to participate in activities or cooperate with staff Disrupting the program Leaving the program without permission Endangering the health and safety of yourself, other children and/or staff Physical violence or bullying/teasing toward another camper or staff WHEN CAMP BEHAVIOR RULES ARE BROKEN 1. Staff will redirect the camper to more appropriate behavior. 2. If inappropriate behavior continues, the camper will be reminded of behavior guidelines and camp rules and the camper will be asked to participate in determining action steps to correct his/her behavior. 3. Staff will document the situation, the inappropriate behavior and action taken. Parents will be notified. 4. Parent conferences are available if needed. Please call the camp director to schedule. 5. If the situation is not resolved and the unacceptable behavior continues the camper may be dismissed from camp. CHILD PROTECTION POLICY Your child s safety is our top priority. If you witness or feel that your child is in danger of any type of verbal, physical, sexual or emotional abuse please report it to our Human Resource Department at Parents may observe the program at any time without prior notice. Staff is instructed to contact your family regarding program information through telephone, notes in back packs or in person. Computer communication ( , chats) to children or families is not permitted (excludes Day Camp Director and Executive Director).
8 [8] BUS INFORMATION Y Camp Counselors will ride and supervise all buses. The Y does not staff/supervise the bus stops. Be at the bus stop at the designated pick-up and drop-off times to meet your child. If you have not indicated your bus stop on your registration form, or need to make a change, please contact the YMCA Customer Service Center at prior to start of your camp week. Your child s name must be on the bus roster due to limited seating. Your child s day begins on the bus. During the ride, counselors will lead songs and games to make the bus ride a fun part of the day. The Y makes every effort for buses to be on time. Buses may be delayed due to traffic and road construction. Please contact the Y for an update if buses are running behind schedule. Prior to switching buses for the ride home (even for one day) check with camp for seating availability. Buses are often at capacity and changes cannot be accommodated. If no one is present to pick up your child, the bus will wait 5 minutes past the scheduled time, then will finish the route and bring your child to Before/After Care site at the Ridgedale YMCA. Review BUS RULES with your child before attending camp. See PAGE 9 for bus locations and times BUS RULES Always check on and off the bus with the Bus Captain. Campers must remain in their seats. All campers must sit on a seat and face forward. (No lap sitting and no one in the aisle.) No eating or drinking (except water) on the bus. All body parts and belongings must remain inside the bus at all times. Hands remain to yourself. No fighting or screaming. Let a counselor know if something is wrong right away. The emergency exits must be used only during an emergency. If bus rules are broken, parents will be notified; specific seating arrangements may be made; if problems persist, riding privileges may be revoked. BUS SAFETY & PICK-UP AUTHORIZATION Safety of your child is our number one priority. Photo ID s of parents/guardians and all authorized persons will be checked at pick-up. Please make all authorized people on your list aware of this. You must sign your children on & off of the bus each day. To expedite this process, remain near the bus and ready to sign. This keeps our buses on schedule. Bus security procedures are in place for the safety of your family. It is not our intention to offend anyone when we question the person s right to pick up a child. Children are released ONLY to individuals listed as authorized to pick up, no exceptions. If you give your child permission to ride his/her bike or walk home from a bus stop, you must fill out and sign a Child Release Waiver before your child will be released. (certain restrictions apply) ALLOW YOURSELF A FEW EXTRA MINUTES TO LOCATE THE BUS STOP ON MONDAY MORNINGS.

BEFORE/AFTER CARE For your convenience and peace of mind, our Before and After Care provides the camper with supervised activities prior to and following the end of the program day. Before and After Care is only provided at the Ridgedale YMCA with bus to and from camp included Drop off: 6:30 8 a.m. Fee: $35/ week per child Pick up: 5 6 p.m. Late fees will be assessed after 6 p.m. POLICY: Any violation of our posted hours of operation will result in a late pick-up charge of $1.00 per minute per child for children in our care before or after program hours. Parents are held accountable for these additional fees. Late fees will be assessed on with the next tuition payment. Habitual lateness or abuse of this policy could result in expulsion from the program.
11 [11] ILLNESS & MEDICATION PROCEDURES For the health and safety of all children in our programs please do not send your child to YMCA programs if they are ill. Please notify camp if she/he will not be attending. Children must be free from symptoms for at least 24 hours before returning to the YMCA and any contagious illness should be cleared by a doctor. Parents/Guardians must notify the Camp Director if their child contracts a communicable disease as soon as diagnosed. When a communicable disease occurs, the YMCA will notify other participants in writing, including cause and symptoms. ADMINISTERING SUNSCREEN & BUG SPRAY Please apply sunscreen and bug spray before your child comes to camp. Spray sunscreen is highly recommended. We will remind campers and help them to re-apply sunscreen and bug spray throughout the day and we will monitor as appropriate. ADMINISTERING MEDICATION Medication must be sent in a prescription-labeled bottle. Staff may only dispense prescribed medications in the original container that bears the original label and directions. The following information must be legible: Name of medication Child s name Date of original issue Directions for use Prescription number and expiration date Physician s name Dosage and duration Name/address of licensed pharmacy issuing medication In order to dispense medication, a signed Medication Form must be submitted. Find the form on P12. Medication Form must have both parent and physician signatures along with other necessary information. Medication Form also available online.
12 [12] YMCA DAY CAMP MEDICATION FORM (This form is not necessary for Bug Repellant Lotion or Sun Screen) NOTE: YMCA Program staff cannot administer medication (prescription or over-the-counter) unless this form is completed and signed. Prescription Medications: must be signed by a parent or guardian and physician (the prescription bottle serves as the physician s signature. All prescriptions must be in the original container. Staff will hold and dispense medication according to Dr. s instructions or instructions on over-the-counter medication with a written prescription from their doctor. The YMCA will retain the medication for the duration of the session and return any unused medication at the end of each session. Over-the-counter Medications: to be signed only by parent or guardian, however physician information is still necessary. 14 [14] YMCA OF THE GREATER TWIN CITES CHILD RELEASE WAIVER The YMCA of the Greater Twin Cities conducts a sign-in and sign-out procedure with all children participating in YMCA programs in order to ensure to the extent reasonably possible that all children have a safe and secure experience. Adults authorized by each parent are expected to sign-out and return children from the YMCA program to their home. I am requesting that my child be released from the YMCA program without adult supervision and be allowed to travel to his/her destination (whether by walking, biking or other) on his/her own. I understand that the YMCA cannot be responsible for my child s care or safety once he/she leaves the YMCA program site. There are various dangers that exist between the YMCA and my child s destination including among others vehicular traffic, being lost or abducted, environmental hazards and injury from unsupervised activities. I also understand that the YMCA has not investigated or made any evaluation of the circumstances regarding the reasonableness of my plan for my child reaching his/her destination, including among others my child s maturity and the location of his/her destination in relation to the YMCA. I request that my child be released on his/her own responsibility at the end of the regular program time. I understand the risks and agree to indemnify and hold harmless the YMCA of Greater Twin Cities from any and all responsibility and liability for my child after his/her departure from the YMCA program.
