2 Abstract GRPL Map & Atlas Coll., the Grand Rapids Public Library Map & Atlas Collection, is a devised archival collection, that has been created to document the maps and atlases housed in archival storage, which are not part of another designated GRPL archival collection. The holdings given in the body of the finding aid are only a portion of the larger collection, with additional holdings information for oversized found in the Addendem of the finding aid. USGS maps for Michigan are also part of the GRPL archival maps, in both current and historical versions. Other maps and atlases are housed in the public service area of the Grand Rapids History & Special Collections department, which are not included here, and will eventually be documented in the Library's online catalog. Maps or atlases which may be part of the Rare Book collection area also not included here. Included in the archival maps are over a thousand items, many for the Greater Grand Rapids, Michigan and Kent areas, but also maps for the State of Michigan, or select areas of the State. A few other geographies are included, primarily as they relate to genealogy, or regional railways, or which provide other information associated with the local history of Grand Rapids and Kent. USGS maps are held for Michigan only, but include current as well as historical holdings. Overall, the collection should not be considered comprehensive, though this is ultimately desired for the Grand Rapids area. The fullest current descriptions of the maps are as follows: 1) This finding aid, which documents the atlases and smaller maps stored in the boxes in the GRPL Archives. 2) A staff map management database, which is the source of the information in the Addendum of this finding aid. It included additional information on the maps housed in the flat files and in rolled tubes. Occasionally an oversized item may also be included in the body of this finding aid, but primarily these are currently only in the Addendum and the staff management database. 3) A separate USGS Maps management database, for Michigan geological survey maps. Researchers should use USGS prepared indexes to determine their map name, per geographic unit, and then presume that GRPL has the latest Michigan map for that area. Contact GRHSC (Local History) staff for information on historic USGS maps held, until the specific inventory is ready to mount online. 4) A database index for the Grand Rapids City Plat maps set. This does not provide street indexing, but lists maps under the name of the original city plat. Not currently available online. The map set is included in this finding aid, but not the database index. Cross references in this finding aid also provide some information on key map titles located in the public service area. 2

3 Types of materials included in the map holdings: GRPL Map & Atlas Coll. plat maps for both Grand Rapids City or unincorporated properties, street maps or guides used for location and driving assistance street maps or guides used to provide other information, relating it to street locations, such as available drug stores or service stations, or political ward area historical property survey maps city planning maps railway maps recreational maps river or lake maps pictorial maps aerials... a limited number geological or topographical maps The maps currently included in Collection 240 (though many not listed in this finding aid) date from as early as 1566, with a published Finaeus Cordiform Map of the World. The handful of pre-19 th Century maps are early U.S., Canadian, and/or those of British or French influence. Maps of Grand Rapids begin around 1833 with a Plat of the Village of Grand Rapids. The Map Management Database documents a steady flow of one type of map or another from 1833 to the present, though not all of these may be for the Grand Rapids area. Some interesting comparisons might be made, of the information in the 1896 map of Michigan bicycle routes, for example, with the 2006/2007 Michigan bike routes map recently received. Patrons may find it to their advantage to contact department staff, who can search the various map inventories (most not yet available online), and pull items ahead of time, in order to have the needed materials readily available for a scheduled visit. Call x5497 There are restrictions on photocopying of oversized and fragile holdings, due to the damage it cause to often rare holdings. Use of personal non-flash traditional or digital cameras, to copy map information, is allowed for most maps, with permission from Staff. 4 Related Collections GRPL Map & Atlas Coll. GRHSC public service floor holdings are not currently listed in the archival collection finding aid, though many are housed on the service floor in archival storage boxes. In some cases, the latest available holdings of a title, such as the Sidwell's Insurance Maps, are housed on the public floor, while older versions in. One key map set which is held only in the GRHSC public service area, for example, is the Sanborne maps. Only holdings from the 1950's are in the original paper format, while three earlier time periods are available on microfilm, providing a footprint of a building from ca to around Also, other map holdings may be located at the City Archives, which has much more current sets of the Sidwell's maps, for example, than currently held at GRPL. These may be viewed by appointment only, with the City Archivist, Bill Cunningham, Coll. 044 John Ball Collection, contain maps of the U.S., related to his travel, following the routes of earlier explorers. Coll. 132 Kent Bridges Collection, includes reports with select maps related to bridge/road construction over the Grand River from the Michigan Department of Transportation. Coll. 216 GRPL Ephemera Collection, contains guides and flyers which may include Grand Rapids or section area maps as part of their contents. Coll. 245 Coll. 254 Past Perfect, may contain city planning maps. GRPL Buildings, may contain city planning maps Coll. 281 GRPL Michigan History Collection. May contain references to boxes or flat file maps/charts, etc. for Michigan, but not Grand Rapids map items. Coll City of Grand Rapids (Michigan) Records at the Grand Rapids Public Library. In particular, City Planning reports may contain maps. See also the separate City Archives. Limited holdings of other maps may be found in other GRPL archival collections, including those published within the documents in those collections, or captured as a photograph of a map. 4

5 Scope and Content GRPL Map & Atlas Coll. The GRPL Map & Atlas Collection primarily includes items which correspond to the Local History mission of the department, covering the Greater Grand Rapids area and Kent foremost, with the addition of some maps for other areas of Michigan, or Michigan in general. Currently, there are also maps and atlases in the map inventory which are national or international in content. Some of these have been retained as content sources for genealogy, while others may need to be weeded from the collection or removed to the Special Collections inventory. Other atlas and maps are housed in the Local History Public Service area, and currently not considered part of the archival holdings. However, there may be a general cross reference given in this finding aid to some of these LH atlases from similar holdings housed in the Archives. In some cases the original plat map, for example, is now in the Archives, and a photocopy is in the LH area boxes. Included in the GRPL Map & Atlas Collection are many oversized maps, stored in flat files, on top of the flat files, in rolled tubes. These items are not yet listed in this finding aid, though they are considered part of this collection. For the most part, the oversized map items are listed in the separate Map Management Database, not currently available only. This finding aid currently documents the smaller maps in boxes in the Archives, and those atlas also located in boxes in the Archives. The old Map card file, which used to be the primary access tool for maps in the department, does not include maps added to the collections in recent years, and does not provide location information, which is found in either this finding aid or in the Map Management Database. NOTE: While the Map Management Database primarily documents oversized items officially attached to, as with oversized art, oversized maps from several archival collections are housed in the flat files along with materials. Thus, the map database may eventually include oversized maps from all archival collections claiming these items. 5

6 Descriptions GRPL Map & Atlas Coll. It is primarily the items located in the boxes which are listed in this finding aid. Most of the other maps that are part of, are documented in the local Map Management Database, not yet available online. Staff time may someday permit the creation of one comprehensive source. The maps on the Local History Public Service Floor, are not considered part of the holdings of, and are not currently listed in either this finding aid or the map database, but may someday be added to the Library catalog. Oversized items, lying on top of the microfilm cases in the public service area, have usually been pulled from the flatfiles, and should be listed in the Map Management Database. The Map Management Database was begun during a map inventory project in 1999/2000. The maps inventoried and included in the database were primarily those found in the oversized flat files at that time. The old card file, still available in the department, was used as a shelf list. There was no time to complete this project, and additional inventory was done in 2007, with additional items added to the Map Management Database. However, there are still several items listed in the cards which are unaccounted for. The descriptions used in the Map Management Database are often generic, and may not match a more formal description in a library cataloging database. A separate database was created in 2006 for the USGS maps, and new maps of this type which come in for addition to the collection, are now added to this USGS Map database. For the most part, this finding aid describes smaller items in book form or single sheet, housed in the archival boxes in the archival storage area. Also included are those folded maps, recently received and still stored in their folded state. Some of these items are also included in the map database, particularly if they are loose, rather than book items. But, many of the items included in the finding aid have not also been included in the map database, due to limited staff processing time. In summary, no single source provides a full and accurate inventory of all maps in the archival collection, though the finding and the several inventories taken together are believed to document all of the archival collection holdings. Holdings in the public service area and the rare books area, not considered part of the archival collection, do not have accurate inventories, and are not yet fully cataloged in the Library's online catalog. For the best overall coverage of map holdings, both the finding aid and the map database should be consulted. Simply looking on the shelves is the best way to determine holdings on the Local History Public Service floor, though some items are cross-references in this finding aid. Location summary 6

13 Rolled boxes & tubes GRPL Map & Atlas Coll. Some maps are housed in charcoal gray boxes in the NE room. A quick inventory of these source was done by the archivist 11/9/2005. A general, not official, description of the item(s) has been added to the map database. However, a more accurate inventory needs to be done as time allows. RLB4 TOP of FLAT FILES Note: A Project needs to be done to inventory & document the items remaining in rolled tubes. Items were removed from the oversized rolled tubes used for moving, and most have not been rerolled, as originally planned, as the plastic used in encapsulation folds and becomes pointed damaging the items in some cases. These are currently housed flat on top of the flat files, while an attempt is made to obtain jumbo storage. Smaller rolled tubes are in use, for graphics, as well as maps. No folder numbers have been assigned to the various folders within the drawer, but the flat file/case number/drawer letter should be recorded on the folder. Eg. 16 History PENDING GRPL Map & Atlas Coll. Series Series I. Atlases A number of book atlases containing maps are now included with this collection. These range from historical maps, which may ultimately be added to the Rare Book Collection, to historical War maps, or local atlas reprints. Not currently included in this collection are all of the atlases currently shelved in the Local History publically accessible collection. Those atlases in the public area are still classified by call number, although most are now in acid free boxes, and no longer organized by call number. Items in the Local History collections should eventual be in the online catalog. Series II. Plat maps Two types of plat maps are now included in the department, plat maps which show the owner of land not yet incorporated within a city, and also now city plat maps for Grand Rapids, from when the area was first constructed within the City. The land plat maps are located in the public area of GRHSC in the Local History collections. However, duplicate items or originals no longer in good condition may be found in the archival collection. Land plats in the public area have been organized in folders by the separate Kent townships. Maps from every known available date are included in each folder. Staff have created a street equivalent index by marking up a current street guide with the boundary lines of the different townships, and sections. The same section number with in the township can be traced through the various maps dates, to determine changes in ownership of the land from one time period to the next. A set of City Plats was donated to the Library in 2006, and a database index was created by a volunteer. This index provides the name of the addition or subdivision and the Section/Township/Range numbers. Both of these maps are small enough to be photocopied, though the City plat may require the larger paper. 16

17 Series III. Indexes / Map Guides & Reference Photos GRPL Map & Atlas Coll. Subseries A. Indexes Some of the map sets or atlases in this collection have a published index or a later locally created index in book form, on regular sized paper. Those paper versions of the indexes, as they are discovered, are being cited here. In some cases the index is housed with the maps they index, but other smaller indexes will be kept together in an index box. Since this series has only recently been defined, it is likely that other indexes, if they exist, will be found and added to this series in the future. Occasionally, the paper version of a department-generated index housed here, may be updated for new contents. Subseries B. Reference Copies of maps. This subseries includes a reference version of a map which may be smaller and easier to use that the original, or provide a quick check to the general view before pulled the large item. The physically smaller version of the same information may be generated from a digital file, from a photocopy of the original map, or sometimes from a photocopy reduction. Also included here may be the digital file on CD for the maps included here, or for other maps in Series IV. Government Document Maps. As a result of a government documents inspection in 2001/2002, the Library was required to create a shelf list for those maps received through the government documents depository system. This was to be created in Technical Services, with retrospective entry for existing maps, and new entry at point of receipt for new maps. It appears that the software has yet to be made available for this function. So, in 2006, with the good work of a student intern, a home made inventory of the USGS maps was created in Microsoft Access. Subseries A. USGS Maps These maps are foldered and stored in the flat files in the Archives. They are fairly accessible using the master guide map index, which is located in the public service area. They are arranged in two broad groups, Current USGS maps, and Old Historical USGS maps. For those researchers wishing to use only current information, staff can retrieve from the current files, according to the geographic name given in the USGS index map. Information on which older USGS maps are available here for the different areas is available in the local USGS database. 17

Other document maps If these exist, at either the state or local level, this may be determined by searching the creator or publisher section of the Map Management Database or by seeking that same information in the finding aid descriptions. Series V. Greater Grand Rapids & Kent Miscellaneous maps, including City Planning Maps & Plans, maps of neighborhoods & business districts, cemeteries, etc. For maps of other Michigan cities see Series VII. This series is created to provide a place for Greater Grand Rapids & Kent maps created for reasons other than those indicated by other series. See also the following collection: Coll. 245, Past Perfect, and Coll. 254 Buildings..., and occasionally Coll. 252 Neighborhoods, Coll. 303, GRPL City of Grand Rapids at GRPL. Series VI. Pictorial Maps (Picture maps) Series VII. Street maps, Road maps or Highway Maps, including Graphic Grand Rapids Street Guides. Included here are maps which show streets, but may also provide other information oriented to the street, such as the location of gas stations or drug stores, or the political wards overlying the various street area. Since most of this collection focuses on Grand Rapids and Kent, most of the maps in this series will be for those geographic areas. However, there are also some maps for other counties and regions of Michigan or for Michigan as a whole. Those maps which have multiple purposes, but show streets may be housed in this area if the street information is the larger scope or more important aspect of the source, or may be listed instead under another topic, such as Recreation. 18

19 Series VIII. State, Multi-State, National or International Maps. GRPL Map & Atlas Coll. Subseries A. Michigan. For Michigan Road Maps, see Series VI. For Michigan Travel Maps, see Series... Subseries B. Multi-State, National or International Maps. Maps which provide information on the old Michigan Territory are within the normal collecting scope of this department, and may be listed in this series or in Series IX below. Maps which provide information on Michigan, within the context of the entire United States, are sometimes collected, though U.S. Maps are not widely held. Some national or international maps of interest and of value to change the historical migration of settlers to the U.S. And to Michigan are valued. And, some maps of other countries or other area of the U.S. From which groups of Grand Rapids citizens are believed to have originated, may also be found in these holdings. Other national and international holdings current in this collection may be reviewed to be included with the rare materials or for deaccessioning in the future. See also Series I. Atlases above. Series IX. Historical & Survey maps. Includes archaeological or historical surveys from digs or later studies of the site, as well as original survey maps. Also includes mapping of historical Native American trails. Some of the notable early pioneers of Grand Rapids such as Lucius Lyon (Coll. xxx) or John Ball (Coll. 044) were also surveyors. Some representation of their work my be in their own collections, and/or in this collection. Coll. 042, the Thomas Porter Collection, includes his drawings from archaeological digs, and may also provide some early primitive graphic and map information on Grand Rapids or other Michigan sites. Also sometimes included are later maps which provide historical information. Series X. Recreational and Environmental Education Maps. Includes those which provide information on Parks, biking, snowmobiles, hiking, sailing, etc. as the major purposes. Added 3/17/2006 Also included are those maps or book sources which are field guides to the study of nature, nature walks, and other graphic or informational tools which inform users of the conservation and use of Michigan land. 20 Note: Railway maps may also be found in some of the other categories, depending upon the other data included, and the scope of coverage. There are also book source in the form of atlases, of specifically about Michigan railway history, which may include maps among their illustrations. See the online library catalog. Series XII. Rolled Maps This series actually designated a special location, rather than a type of map. Maps are usually stored rolled because they are too large for other departmental storage.
