Sofitel Guidelines All moving in and installation of Exhibition Booth related equipment must be in coordination with the Main Contractor Centrex No items are to be carried through any other area unless agreed upon in writing with TechCon SEA Management. All items for Events / Conferences / Meetings that are to be brought in and out of the hotel, shall be allowed access only through the North Gate loading dock. Contractors may use the banquet service freight elevator or the staircase for the delivery and pull-out of goods/ equipment/props/decorations to or from the ballroom and function rooms. Delivery / pick-up of items that will not fit into the service freight elevator will be allowed access thru the hotel s banquet side door entrance from 12:01 AM to 5:00 AM only All goods, equipment, props and decorations installed must be pulled out immediately after the event and before leaving the hotel premises. Any materials left behind and unclaimed after the event shall be disposed by the Hotel. Contractors and Organizers must keep the area clean at all times and are responsible for disposing any leftover materials. All booths, banners, props, backdrops and decorations must be pre-fabricated and freestanding. Protective matting for materials must be provided by the contractors during ingress and setup. Maximum of 100 lbs per square foot is the allowable floor load at the ballroom and prefunction area. Exhibitor / Sponsor booths must be manned at all times for the duration of the event. All exhibitors / sponsors manning the booth must wear the hotel-issued ID or convention ID.
Early Delivery of Goods Booth Items Large items required for the Exhibition Booths can be sent and stored early with Sofitel, only through coordination with the Event Management Responsible (details on next slide) Brochures & Giveaways Boxes of brochures and/or delegate giveaways may be stored at TJH2b Laboratory in Manila through coordination directly with Tess (details on next slide) Note that although goods will be held in secure premises, neither Sofitel or TJH2b take responsibility for the security and safety of the items.

Delegate Interaction Sunday 22 April Note - Exhibition Booths will be built during the day. CIGRE B3.43 Working Group are planning on holding a small group Substation Design Masterclass in the afternoon. NGCP Engineers are interested in this. There may be a chance to engage one on one after the event has concluded Monday 23 April Registration open from 7.00am. Exhibition Booth area to be ready to open by 10am. Morning Tea, Lunch and Afternoon Tea will be stand up buffet style, served from tables in the centre of the Exhibition area. Networking Drinks from 5.30 to 7.30pm in the Exhibition Area. Canapes with beer and wine sponsored by ABB. Entertainment booked is a Jazz Singer, as well as the NGCP Choir. Tuesday 24 April Exhibition Booth area to be ready to open by 8am. Morning Tea, Lunch and Afternoon Tea same as Monday Conference Dinner from 6.30pm in the Sunset Pavilion. Relaxed, non-formal Filipino BBQ Fiesta. Entertainment booked is a Xpresso Band, as well as the Sofitel Cultural Group. Wednesday 25 April Exhibition Booth area to be ready to open by 8am. Morning Tea, Lunch and Afternoon Tea - same as Mon and Tues Pull down can start at 4.15pm
Registration: If you haven t already done so, please register your attendees and guests Remember to book your Sofitel Accommodation before the discount expires Conference Bag Giveaway: Confirm if you wish to participate Required Actions Short Video Presentation: Upload to Google Drive folder your 2 to 3 min video for Conference App and to be played during breaks. Brochures: Send soft copy brochures to be added to Lanyard USB and Conference App. Hard copy To minimise waste, these won t be added to the bag, but brochure stands for self-display will be provided around the venue. Foyer Display: Please confirm your requirements for items to be displayed in Conference Foyer if already accepted
