Refunds for the registration fee (less a 10% handling charge) will be returned if cancellations are made before 16 Sept 2016. No refunds will be forwarded after that date, however a substitute delegate is acceptable. Accommodation Special conference discount rates have been negotiated by Margaret Reid Pty Ltd with the following hotels and apartments. Bookings and unique group reference number Bookings can be made directly with the hotel or apartment property (see contact details listed) by quoting the booking group reference. This specific reference must be quoted in all correspondence to obtain the conference rate. All reservations require a credit card deposit or prepayment You can reserve accommodation bookings with a credit card. Alternatively, Government Departments can request a proforma invoice. No reservations will be held unless prepayment has been made prior to the delegate s arrival and must be paid well in advance. Please do not leave payments to the last few weeks prior to the conference. Cancellations and no-shows All accommodation cancellations will be required well in advance. Be mindful of the cancellation conditions stipulated by your hotel as they will differ with each property. Penalties will be incurred if cancellations are made at the last minute. Change to arrival and departure dates If your ARRIVAL or DEPARTURE date should alter due to flight disruptions or for other reasons, please advise the hotel immediately and prior to the initial arrival date. If you fail to do this and you do not show on the date booked, you will be recorded as a NO SHOW and your room will be released. You will forfeit one to two nights deposit and in some cases the full amount of your stay. Security deposits It is a requirement of all hotels and / or apartments that a credit card imprint is required or a reasonable cash deposit is given to the hotel reservation staff on check-in as security toward expenses. This deposit is to cover any incidental expenses eg telephone calls, bar or room service that you may incur during your stay. If paying by cash, please ask the hotel staff when booking what cash amount is required nightly so that all delegates have enough money to cover this security deposit.
