Hidden Lake POA of McDowell County Meeting Minutes June 15, 2017 Location, Date & Time: Stephen Shary s home; June 15, 2017 at 7:00 pm Board Members Present: Stephen Shary, Tony Loftis, Cindy McLeod, Ken Watts Board Members Absent: Marty Martin, Property Owners Present: Roger Warren, Melvin Haynes Quorum Met? yes B O A R D M I N U T E S Stephen Shary made a motion to call the meeting to order at 7:00 pm. Ken Watts seconded the motion. The motion passed. Minutes for the April board meeting were sent to each of the board members for review and any corrections. Stephen made a motion to approve the minutes. Tony seconded the motion. The motion passed. The minutes will be sent to be published on the Hidden Lake POA website. Treasurer s Report: Roger Warren sent out March, April, and May financials prior to the board meeting to each board member to review. Cindy made a motion to accept the financials. Stephen seconded the motion. The motion passed. Stephen made a motion for Clay Duncan to complete the work at the swing set for $500 which includes removing the gravel and putting down mulch and rearranging the large rocks and diverting the run off. Ken seconded the motion. The motion passed. Tony reported that kudzu is really growing up the hills near the hiking trails. Roger will speak to Clay Duncan about spraying. Tony reported that he will begin working next week on building the concrete pad for the pool gate. Cindy reported that the barbeque grill closest to the parking lot at the lake has rusted out. Tony will check it out. Stephen reported that he had received information that the bridge at Pretty Creek needs crusher run/gravel to help with the wash out. Tony will take care of this. Pool Committee: (Denise Martin, chair; board liaison Cindy McLeod) Cindy reported that the spa has passed inspection. Denise and Marty replaced the door and knob on the spa shed per inspection. Greg Peck replaced the flow meter and timer. Boards were added to the big gate so it wouldn t exceed the 4 from the ground rule. Denise and Marty are continuing to work on the stains on the bottom of the pool. 3

B O. A R D M I N U T E S Denise has trained 3 people to be pool testers. One of the extension poles was replaced due to it had broken. The sign to the left of the pool gate needs to be replaced by next year per inspection. Pool tags were delivered to all new home owners and mailed to property owners that requested tags. Architectural Review (ARC) Committee: (Roger Warren, chair; board liaison Stephen Shary) Nothing to report. Welcoming Committee: (Theresa Carr, chair; board liaison Cindy McLeod) Cindy reported that 2 cabins have been sold: 650 Nathan McDaniel and 358 Double Eagle. A cabin has been completed at 280 Hidden Lake Parkway Cindy reported that the Welcoming Committee met to brainstorm ideas. The committee requests to change the name of the committee to Hospitality Committee. The board agreed to change the name. The committee will create welcome baskets and conduct follow up phone calls with new residents several weeks after they have moved in. A Greet & Meet will be held in July. Communications Committee: (David Farris, chair; board liaison ) Nothing to report. HLCC Committee: (Max McLeod, chair; board liaison ) Cindy reported that Max is prepared to share at the annual meeting the long range master plan for development of lot 19. Old Business: Stephen gave an update on the association fee recovery. New Business: The board discussed the agenda for the annual meeting. There will be committee sign up sheets out at the meeting. A discussion was held on the catch and release at the lake. Stephen asked Mel Haynes if he would head up a group of residents to research the possibility of modifying our rule to meet the state requirements of catch and release. Date and Time for next board meeting: Right after the annual meeting on Saturday, June 17th, 2017 to elect officers. Since here was no further business, Tony made a motion to adjourn the meeting. ken seconded the motion. The motion passed. The meeting was adjourned at 8:00 pm. When fishing in the lake, it is catch and release (no license is required). The FRONT GATE is LOCKED 24/7. Entry is by the Access Code or Remote Only! All owners, renters and guests must display the sticker or hang tag on all vehicles including golf carts..
