Check-in/Arrival We recommend you arrive a couple of hours before the start of the conference to allow you to check-in at the conference registration desk, settle in to your dormitory housing, and eat lunch. All conferees need to check-in at the conference registration desk in the Green Street entrance lobby of Mendenhall Performing Arts Center to receive conference information packets. If you are staying in the dorms, your room key will be in your conference registration packet. The registration desk hours at Mendenhall Center for the Performing Arts are as follows: Monday, June 4 and Tuesday, June 5: 9am to 6pm Wednesday, June 6 through Saturday, June 9: 8am to 6pm Sunday, June 10: 8am to 1pm All conferees must check-in and be paid-in-full before attending any workshops. If you are staying in the dorms you must arrive during registration desk hours to pick up your room key. We can give your key to a friend with advanced notice. All registrations after March 1, 2018 require full payment. All payment balances are due on or by March 1, 2018. Please note, main conference fees do NOT include the pre and post-conferences, meals or accommodations. The fees and additional generous BMCA, BMC SM and current 5-College faculty and student discounts are listed below. Rooms can be booked directly on your registration form. Room rates are: $65 per night for a single room. Last day to reserve housing on campus is April 15. Smith College does not accommodate walk-ins. At this time, you must check-in during conference registration desk hours listed in the check-in section above. You can also arrange for a friend to pick up your packet/key to your room in advance. We apologize for this inconvenience. Each single room has linens, a bed, nightstand, desk, chair, bureau, closet and fixed overhead light. Linens include sheets, blanket, pillow, pillowcase, bath towels and wash cloths. Any unreturned linen sets will incur an automatic $30 charge. Conferees will automatically be charged $50 for any Smith College swipe cards not returned within 2 hours of checkout. All rooms share a communal hall bathroom. Dorms can be viewed at: http://groundinc.com/smith-college/ Pictures of rooms coming soon. Free wifi is available in the dorm and all conference buildings. You may want to bring an Ethernet cable for better service in your room. Rooms are air conditioned (non-adjustable) with window access. Each dormitory has access to a shared kitchen including refrigerator, stove, microwave but no pots, pans, dishes and/or utensils. Rooms are not cleaned once occupied. Dining: Meal reservations close April 15 Smith College Dining Services is open to all conferees who have pre-ordered meals. The Dining Hall is on the first floor of the dorm and a 5-minute walk from the conference buildings. Last day to order meals is April 15. Smith College does not accommodate walk-ins. Vegetarian, vegan, and gluten-free options are available. Please let us know of any food allergies on your registration form. Meals are available Monday, June 4 through Sunday, June 10. Conferees may order either three on campus meals per day for $50 per day (Breakfast, Lunch, and Dinner) or individual meals. Individual on-campus meals prices: Breakfast -- $20, Lunch -- $25, Dinner -- $30. Mealtimes: (subject to change) o Breakfast: 7:15 a.m. 8:30 a.m. o Lunch: 11:30a.m. 1:30 p.m. o Dinner: 5:30 p.m. 7:00 p.m. On campus meals can be purchased on the conference registration form. Campus meals cannot be purchased at the dining hall, but must be purchased in advance through BMCA. For restaurants within a 5/10-minute walk to Smith College Campus, visit: http://visitnoho.com/dining/ There is a small natural foods store, Cornucopia, about a 5-minute walk from campus and large, chain grocery stores about a 20-minute walk or 5-minute drive from campus. Your Registration Information To adjust your registration, click the Manage My Account at www.bmcassociation.org/conferences/2018-bmca-conference and enter your email and password. Please remember, we cannot offer refunds after March 1, 2018. Unfortunately, we cannot make any exceptions. Parking on campus On Campus parking is available for $5 for the week. Parking policies are strictly enforced and all unpaid parking tickets will automatically be charged via BMCA to the conferee. Conferees with a parking pass may park in any white lined space on campus including behind the Cutter-Ziskind dorms, or in the parking garage located at 54 West Street, Northampton, MA. Parking passes will be emailed in advance. Please print out the pass and place it on your dashboard. Parking on campus is not guaranteed. The Smith parking garage is about a 10-minute walk from the conference buildings and 15-minute walk from the dorms. Conferees can take a bus from the airport to Hartford, Connecticut, transfer to a bus to Springfield, then finally transfer to a bus to Northampton, Massachusetts. The Northampton bus station is about a 5-minute walk to campus. Due to scheduling, take the bus only during the day and double check schedules in advance. From I-91 North take Exit 18 and turn left onto Route 5. Follow Route 5 into the center of town. At the intersection of Route 5 and Route 9, turn left onto Route 9 (Main Street). To go to the dorms: follow Route 9 along Main Street, bearing right at the lights by campus. The dorm will be about a half mile down on your right. You Page 6

can park behind the dorms. To go to conference check-in: follow Route 9 along Main Street and bear left at the campus onto Route 66/West Street. Make your first right onto Green Street. The Conference check in is in the lobby of the Mendenhall Performing Arts Center. To park in the Smith College Parking Garage: follow Route 9 along Main Street and bear left onto Route 66/West Street. The Parking garage is at the bottom of the hill on the left at 54 West Street From the North: From I-91 South, take Exit 20, and follow onto Route 5 South into the center of town. At the intersection of Route 5 and Route 9 (Main Street), turn right onto Route 9. Then follow the same directions as above from Route 9 to campus. From the East or West via the Massachusetts Turnpike: Northampton is on Route I-91 North (Mass Pike exit 4). Once on I-91, follow the directions above for visitors from the south. Train Amtrak stops in Springfield and Northampton. The Northampton outdoor train platform is about a 20-minute walk to campus and a 3-5-minute cab ride. www.amtrak.com RideShare If you would like to be added to the rideshare list via Googledocs, please email Ellen at operations@bmcassociation.org. Weather: The weather during early June is very unpredictable. It can range in temperature from low 60s to high 80s. It is usually always cooler in the evenings. Keep an eye on the weather report at www.weather.com and best to prepare for warmer and colder days. What to bring/what to wear: We recommend, if possible, you bring a yoga mat, water bottle, light blanket, and any vitamins, supplements or medications you need. You may also need a light raincoat, light jacket, and rain boots. For the conference, wear comfortable, layered clothes for movement and temperature adaptation. Photography/Videography Policy Please be advised that no photography or videography will be permitted in any workshops or conference offerings. Only BMCA hired or appointed photographers/videographers will be permitted to take photos or videos in any workshop or at any conference event. Photographs are permitted outside of designated workshop spaces by all participants. Wifi and Cell phone coverage There will be free wifi available in the conference buildings and in the dormitory lobby. The network information will be posted at the Conference Registration desk and sent bia email prior to the conference. Cellphone coverage is very good on campus. You may want to bring an Ethernet cable if you are staying on campus for better service in your room. Page 7
