The first section is for reference. The second section contains booking forms for additional services, to be returned at the appropriate time if required. Accommodation should be considered a priority, as the majority of exhibitors book for the following year as they leave. The Congleton Tourist Information Centre offers a booking service for which a form is included. Included also prefix (vi) our own list of hotels compiled from local websites, and a separate list to cover Manchester Airport. Although the contract publisher for the 2018 catalogue is once again Horticulture Week, and they will sell display advertising packages, the free A-Z listings will originate from Four Oaks. A form will be emailed to you in May which should be returned to me by email. I will raise any queries with you before the entries are submitted to the publishers. For repeat entries, please check alll contact details carefully. Visitor invitations will be available from June onwards. Please order as required and circulate freely with your mailshots. An electronic version will also be sent to you. If you have any query whatsoever, please do not hesitate to contact me. TRAVEL INFORMATION Four Oaks Nurseries, home of the Four Oaks Trade Show is just 5 miles from the M6 motorway in Cheshire, 4 miles from Holmes Chapel railway station and 14 miles from Manchester International Airport. BY ROAD Leave the M6 at junction 18. Take the A54 for Holmes Chapel following AA signs for Four Oaks Trade Show. BY RAIL Holmes Chapel station is on the main Crewe to Manchester line. On show days, a free minibus shuttle service will operate from 8.30am to meet trains from both directions. BY AIR From Manchester International Airport follow signs for Wilmslow. Take A34 to Alderley Edge, then A535 which will bring you directly to the show. A free coach shuttle service will operate on both show days. AIRPORT SHUTTLE SERVICE Tuesday 4th & Wednesday 5th September A courtesy bus service will operate from Manchester International Airport on both show days from 8.30am onwards at approximately 30 minute intervals (Selwyns Travel). Visitors arriving at all terminals should make their way to the main foyer of each terminal where a meeting point will be located. Members of staff carrying Four Oaks signs will meet passengers and escort them to the coach park for the onward journey to the show. For the return journey, visitors are asked to queue by the show entrance. The last pick-up from site will be 6.00 pm on Tuesday and 5.00 pm on Wednesday. The site will remain open 24 hours until Midnight on Monday September 3 rd with security in operation, and houses will be fully lit. No prior arrangement is necessary for setting-up over the weekend, and it is recommended that you do so wherever possible to ease the inevitable congestion on the Monday. Goods may be delivered to the site in the preceding week between 8am and 5pmprovided that they are clearly marked with the name of the exhibiting company, and will be kept in secure storage. Breakdown will commence at 4.30pm on Wednesday September 5 th.. Exhibits may be left on site until the following day if preferred, but it must be emphasised that it is at the exhibitors own risk. (Secure storage facilities are available on request free of charge.). Please contact the office to arrange storage. EXHIBITS MAY NOT BE DISMANTLED UNTIL THE SHOW HAS CLOSED. This will be strictly enforced, and offending companies refused vehicle access until 6.00pm.

1.4 Vehicle Access & Parking The exhibition area will be open to vehicles delivering goods from 8.00am on Friday August 31 st through to midnight on Monday September 3 rd (24 hours). To ease congestion on the Monday, a drop-off point will be in operation at the entrance for Houses A/B/C/T, from 8.00am until 3.00pm, where exhibitors may deposit parcels and boxes. These can be trollied to the stands by Four Oaks staff, keeping the internal roadways clear for HGVs. We recommend that companies bringing heavy machinery requiring fork lift assistance, deliver over the weekend or earlier wherever possible. Please follow the one-way traffic system on site - see plan prefix (iv), using the appropriate entrance below. Exhibitors are asked to off-load as quickly as possible, and move their vehicles onto the adjacent parks. Access at breakdown - Cars and light vehicles only will have access to the site until 6.00 pm. HGVs will be held on the vehicle parks until this time. Please advise drivers accordingly. MOVEMENT OF GOODS WILL NOT BE PERMITTED UNTIL THE SHOW HAS CLOSED. Trolleys will not be allowed into the exhibition area until 4.30pm. Trolley access to car park 2 will be through glasshouse beside the seminar marquee. The cash & carry will be open for business and must not be used as an exit. The exhibition area will be closed to all vehicles during the show. 1.5 Organisers Office The Organisers Office is located within the office block by the main nursery entrance. 1.6 Exhibitor Badges / Vehicle Passes Exhibitor badges will be placed on stands before the show opens. It is in the best interest of exhibitors to ensure that their staff wear identification badges at all times. Additional badges can be collected on arrival from the reception desk in the office block. There is no charge for these. Colour coded passes will be placed on vehicles at the entry points for build up. Impact Security will ensure every vehicle has a named pass on entering site. 1.7 Disabled Access Disabled access during show open hours is via Exhibitor Park 1 entrance, located on hardstanding, and will be clearly marked. Priority will be given to visitors requiring wheelchair access, and only vehicles bearing a disabled sticker will be admitted. Space on this park is limited. 1.8 Prohibitions Canvassing by unauthorised persons is prohibited and will incur immediate expulsion.

1.9 Security Impact Security will be on site 24 hours, from 8.00am on Friday August 31 st until 7.00am on Thursday September 6 th. Impact Security are responsible for all internal security, internal traffic control, car parking. It is recommended that valuables of a portable nature are not left unattended on your stand. 1.10 Insurance The Organisers will not be responsible for loss or damage to any exhibit, or property of the exhibitor from any cause whatsoever. All articles placed on the exhibition premises shall be at the exhibitors own risk. Each exhibitor should adequately insure himself to cover his insurable property and everything loaned or hired to him, including vehicles and contents in the car parks. Each exhibitor should hold Public Liability insurance at a minimum level of indemnity of 1m, and Employers Liability insurance sufficient to comply with the Employers Liability (Compulsory Insurance Act) 1969. 1.11 Cancellations Exhibitors who withdraw on or after June 30 th 2018 will be required to pay the total fee for the site reserved. 1.12 Exhibitor Catering / Packed Lunches On show open days, hot and cold beverages and packed lunches will be delivered to the stands by Four Oaks staff free of charge. On set-up days, catering will be available on a pay basis as follows - Sunday September 2 nd Fast Food Buffet by main entrance 11.00am to 3.00pm Monday September 3 rd Fast Food Buffet by main entrance 8.00am to 5.00pm 1.13 Courtesy Travel On show open days, courtesy coaches will operate from Manchester Airport from 8.30am onwards at approx. 30 minute intervals see prefix (i). A minibus shuttle service will also run from Holmes Chapel railway station, meeting trains from both directions, starting from 8.30am. 1.14 P A System / Message Taking The public address system will be used for emergencies only during show open hours. The structure of the glasshouses means that the speakers are fixed low down, and the system is therefore disruptive to business discussions. Any messages taken by the Organisers will be delivered to your stand as soon as possible. 1.15 Cleaning Please ensure that all rubbish is removed from the site to one of the skips provided. Refuse sacks will be placed on every stand for this purpose. It is the responsibility of the exhibitor to maintain his stand in a clean condition. Gangways and pathways will be machine swept by the Organisers prior to the show opening on both days.

1.16 Children No children under the age of 12 can be admitted to the exhibition area during the build-up and breakdown periods. During the open hours, they must be accompanied by an adult. 1.17 First Aid First Aid will be administered by Impact Security located by the main nursery entrance. 1.18 Office Services (Fax / Copier / Lamination) These will be located in the Main Office. Please ask at reception. 1.19 Emergency Procedures Should it become necessary to evacuate the whole or part of the showground, the purpose of the evacuation will be to preserve life and prevent injury to persons. Vehicles and property other than merely personal property will be left in situ. An announcement will be made over the Public Address System, and everybody will be asked to leave the exhibition area by the nearest exit. All vehicular movement in the car parks will be suspended. EVACUATION ASSEMBLY POINT (off Showground) In the event of a total evacuation of the Showground - PUBLIC CAR PARK 2 If the nature of the incident is such that this is within the affected area, an alternative area will be designated by Impact Security. Impact Security will control any unauthorised attempt to re-enter site. The decision on the full evacuation or the re-opening of the site in the event of an all clear, will be taken by the Show Organisers based upon the advice of the Emergency Services. If permission is granted to re-enter site, all exhibitors in possession of a valid Exhibitor Badge will be allowed entry first to return to their stands. Copies of the Emergency Procedures will be placed on every stand before the show opens.

1.20 Health & Safety At Work Act 1974 Re Shows & Demonstrations SECTION 3 Employers have a duty so far as it is reasonably practicable, to ensure the safety of persons who may be affected by the activities of persons at work. This means that exhibitors must be aware of the potential hazards to the viewing public (as well as their own employees under section 2), and will take all reasonable steps to safeguard persons. This includes the guarding or fencing of dangerous moving parts, adequate supervision of demonstrations and the maintenance of a safe exhibit. SECTION 6 This places duties on suppliers of plant, machinery and substances for use at work, to ensure so far as it is reasonably practicable, the safety of that product when properly used. It also requires the provision of adequate information to the purchaser about safe use of that product. The information should be in English, or using internationally accepted symbols. In this context, the Safety Signs Regulations 1980 and British Standard BS5378 Part 1 1980 should be used. (C.O.S.H.H. Regulations) SECTION 7 It is the duty of the employee to take reasonable care of himself and of other persons. There will be an inspection of the site and stands before the exhibition opens. Inspectors have the duty and power to close down a stand or stop a demonstration should they consider it dangerous, but it is hoped and expected that this will not be necessary. Should any further advice be required regarding standards or guarding, packaging, labelling or anything else connected with agricultural safety, please do not hesitate to contact an inspector at the address below. DELIVERY / LIFTING & HANDLING 2.1 Delivery of Goods Goods may be delivered to site between 8am and 5pm in the week preceding the show. All packages should be clearly labelled with the exhibitor name and stand number. Palletised goods and heavy items will be forklifted to your stand. Small parcels and letters will be delivered to the nursery offices, and held until personnel arrive on site. 2.2 Lifting & Handling Fork lift facilities are available on site throughout and are free of charge. Over the weekend, drivers will be on site from 8.00 am until 4.00 pm. On final build-up day Monday September 3 rd and during breakdown on Wednesday September 5 th facilities will be available until 9.00 pm. No advance notice is required. Exhibitors needing a fork lift driver should ask either at the Organiser s Office or the main nursery offices if the drivers are not apparent. 2.3 Storage As we are both Organisers and site owners, we can offer an exceptional level of service and support. Goods can be held in secure storage free of charge during the week prior to the show and also after breakdown if required. Companies moving on to another show in particular GLEE, may find this facility particularly useful to ease the stress of the September show circuit. If goods sold at the show are to be left on site for collection by the customer, it is essential that the Organisers are aware of the arrangement, and goods of a portable nature must be secured in the warehouse. Please notify the Organiser s Office before leaving site giving full customer particulars and a detailed list of goods.

SITES & SERVICES 3.1 Sites All sites are sold as space only. No shell schemes or display fittings are provided by the Organisers. All sites are in glasshouses with concrete floors throughout. Exhibitors may erect any type of shell scheme or structure on their sites subject to the following height restrictions: Height Door Heights HOUSE A 2.7m to lattice girder 4.25m (Roller Door) HOUSE B 2.6m to lattice girder 2.7m HOUSE C 2.6m to lattice girder 2.7m HOUSE D 2.6m to lattice girder 2.7m HOUSE E 2.6m to lattice girder 2.7m HOUSE T 3.5m maximum (screens in operation) 2.7m Outside plots as indicated on the site plan are all on hardstanding. No vehicles are permitted inside the glasshouses. 3.2 Stand Panelling A low cost package is available from Hirequirements Ltd, offering a modular display system for only 8.00 per running foot see form 15. The panels are velcro compatible and are 2.1metres high. A basic shell scheme or individual display panels can be provided as required. Any configuration can be supplied. Nameboards, floorcoverings, spotlights furniture and accessories are all optional extras. Contacts: Graham Roberts / Peter Roberts Tel: 0161 848 7208. 3.3 Carpet Exhibition cord carpet is also available from Hirequirements Ltd in a choice of colours as an outright purchase see form 15. 3.4 Furniture / Accessories A range of furniture and accessories may be hired from Hirequirements Ltd see form 15. The selection offered is modestly priced and well suited to the glasshouse venue. It is advisable to order in advance, but a range of basic exhibition furniture and accessories will be available to hire at the site on Monday September 3 rd. Hirequirements sales desk will be located in the House T buffet - see site plan prefix (iii). 3.5 Audio Visual Equiment Fisher AV Ltd - will provide all PA and AV equipment on site - see form 13.

3.6 Electrical Installations Where requested, an unmetered supply of electricity will be provided. The standard charge of 70 is for the installation and a twin 13 amp socket. Additional twin sockets can be provided at a cost of 35 each. Three phase power can be installed to certain locations see form 7. All electrical installations are undertaken by our contract electrician Peter Johnson, who can be contacted through the Organiser s Office at the show. Late requests for a power supply must be made through the Organiser s Office. 3.7 Roof Shading The glasshouse roofs will be shaded with Redusol to keep the temperature more comfortable (Thermal screens cannot be drawn once construction is under way). House T screens will be closed during the show in the catering area. 3.8 Compressed Air Compressed air can be made available to certain sites please complete form 8 if required. 3.9 Water Water points in the glasshouses are for plant watering only - see prefix (vi). A drinking water supply can be made available to certain sites please complete form 8 if required. If you have any requirement whatsoever for water / plumbing, it would be advisable to call us beforehand and discuss with our site plumber Ray Fithon. 3.10 Planted Containers Planted containers will be available to order from Four Oaks Cash & Carry for stand decoration. Containers will be terracotta coloured plastic and planted with seasonal flowering & foliage plants as available see form 9. 3.11 Timber Products Timber products for stand decoration seats, trellis or planters made to your own design, can be purchased or hired from Country Rustics tel: 01260 224270 Philip or John Gregory.

ADDITIONAL SERVICES 4.1 Accommodation A booking service is once again offered by Congleton Tourist Information Centre see form 3. Many exhibitors re-book their hotels for the following year as they leave, and rooms in the area are at a premium. Please give this your most urgent attention tel: 01260 271095. There is an excellent choice of accommodation in the area hotels, guest houses and farmhouses see prefixes (vii) and (viii). In addition, we have a list of local people who have the facilities to offer bed and breakfast, and who will do so for exhibitors and visitors to the show. These names are only available through the Organiser s Office. 4.2 Caravan Park Strawberry Wood Camping & Caravan Park is a small quiet touring site set in mature woodlands, and is immediately opposite the exhibition site (entrance on Farm Lane) - see form 11. The Park has hardstanding, a shower block and electric hook-up points. PUBLICITY 5.1 New Products Competition The Horticulture Week New Products Awards will be judged on the morning of Tuesday September 4 th, and all products to be entered should be delivered to the display area by 5.00 pm on the Monday evening. The Awards will be presented between 5.15pm and 5.30pm, followed by an Exhibitor Supper which will take place in the Marquee. The supper is free of charge, and all exhibitors are welcome. 5.2 Exhibition Guide / Trade Directory The Exhibition Guide is a dual purpose publication with a circulation of 16,000, which will again be published by Horticulture Week. It will be mailed out in earlyaugust to Horticulture Week subscribers and to previous registered show visitors. It will also be handed out at the gates free of charge. Because it has a long shelf life, it is important that you consider carefully your free A - A listing, and keep your entry product specific. If you are sharing a stand, please return the form 5 to the organisers, and submit an entry for every participating company. Four Oaks will be responsible for the management of the free A-Z listings. Horticulture Week will sell the display advertising 5.3 Exhibition Guide Advertising For advertising packages and rates - contact Horticulture Week (Roisin Kennedy 0208 267 4953). 5.4 Direct Mail Visitor promotion will include insertion of invitations and newsletters in the major UK trade publications Horticulture Week /Garden Retail, Commercial Greenhouse Grower and Garden Trade News. Invitations will also be available for distribution by exhibitors to their own customers. The Spring Newsletter will be published in May for circulation to the Four Oaks database and HTA members - print run 22,000. It will also be bound into Horticulture Week in June.
