BOY SCOUTS OF AMERICA HEIGHT and WEIGHT GUIDELINES for HIGH ADVENTURE BASES This table is based on the revised Dietary Guidelines for Americans from the U.S. Department of Agriculture and the Department of Health and Human Services. Each participant in a Philmont trek must not exceed the maximum acceptable limit in the weight-for-height chart below. The right column shows the maximum acceptable weight for a person's height in order to participate in a Philmont trek. Those who fall within the limits are more likely to have an enjoyable trek and avoid incurring health risks. Every Philmont trek involves hiking with a 35- to 50-pound backpack at elevations of 6,500 to 12,500 feet. Philmont recommends that participants carry a pack weighing no more than 25% to 30% of their body weight. Participants under 21 years of age are strongly encouraged to meet the weight limit for their height. The maximum allowable exception will be 20 pounds, however, exceptions are not made automatically Discussion in advance with Philmont regarding any exception to the weight limit for persons under 21 years of age is required, whether it is over or under. Under no circumstances will any individual over 295 lbs be allowed to participate, regardless of height or age.

BOSTON MINUTEMAN COUNCIL 2014 PHILMONT PAYMENT SCHEDULE The following Payment Schedule is based upon a $ 2200 -$ 2600 expedition fee, current Philmont payment deadlines and transportation providers. This is an estimate. Final itinerary and travel costs have not yet been determined. If expedition cost or payment deadlines change, amounts will be adjusted by proportional changes on each remaining due date. Initial Non-Refundable Deposit due with Application: $600 02/01/2014 $425 03/01/2014 $425 04/01/2014 $425 05/15/2014 Balance (based on airfare & accommodations) If family experiences temporary problems in meeting the payment schedule and extension to payment deadline is needed, please contact Boston Minuteman Council Office PRIOR to the due date. We will work with you in handling problems of this type. If you must drop out of the Trek, it is your responsibility to find your replacement. If payments are more than 15 days late, the adult participant or parents will be contacted to be sure that the Scout still plans to participate in the expedition. If payments are more than 30 days late without contact, participant is subject to being moved to the bottom of the waiting list. BOSTON MINUTEMAN COUNCIL 2014 PHILMONT REFUND POLICY Note: The initial $600 deposit for youth and adults becomes non-refundable after selection to an expedition. Refunds of the deposit are only made if the adult or youth registered have an unusual circumstance and are approved for a refund by the High Adventure Committee. As spaces are limited and waiting lists often develop, no refunds of deposit will be made to participants who "decide not to go," or "no longer interested," or have something else come up, etc. All requests for refunds of other payments, in addition to initial deposit, will be handled by the Boston Minuteman Council High Adventure Committee, on an individual basis. All requests for refunds should be submitted in writing to the High Adventure Committee for review at their next scheduled meeting. No refunds will be given after February 28, 2014. If you drop out between payment of deposit and February 28, 2014 you will receive your refund less a 15% administration fee. (Deposit is non-refundable) The Boston Minuteman Council makes scheduled, non-refundable, non-transferable payments to Philmont Scout Ranch and transportation providers for Council High Adventure Contingents. If an alternate is not found to replace the original participant, refunds will be limited to the amount that is refunded to the expedition and Boston Minuteman Council. In highly unusual circumstances of serious illness or injury to the participant or serious family situation, refunds are also possible if participant has to drop out of expedition at a later date. In these cases, the High Adventure Committee will review the situation and make the highest possible refund to the participant's family consistent with high adventure base and airline or other transportation provider policies.

FREQUENTLY ASKED QUESTIONS and ANSWERS FOR YOUTH PHILMONT APPLICATIONS When will EXACT Expedition Dates for each Philmont Expedition be known? Final expedition dates are announced when Advisors have confirmed tour options; and travel reservations. This should be completed by mid-february. What are the minimum requirements for Philmont participation? The MINIMUM requirements are listed on Youth Application and below: The youth participant must be a registered member of BSA, 14 years of age by January 1 st of the Expedition Year or completed 8 th grade and be at least 13 years of age by date of participation. The youth participant should also be First Class Scout, if a Boy Scout or a Venturer with similar outdoor skill level and have past experience in backpacking on extended trips prior to expedition. These are the MINIMUM requirements for attendance. Although age is an absolute requirement, physical ability, physical stamina, experience in appropriate skills, and maturity are also important. Applicants should also be sure THEY want to participate in the expedition, and not participating simply because their friends, parents or leaders want them to. If you have any questions about the physical demands required contact the High Adventure Committee through the Boston Minuteman Council Office. How are youth applications considered and processed? All youth applications are processed and registered on a FIRST COME - FIRST-SERVE basis, providing the following requirements are met: Applicant is currently registered with the Boy Scouts of America. $600.00 Deposit accompanies the application. Applicant meets the requirements for a Philmont expedition including application review by the BMC HAC, and possible contact with the youth's adult unit leaders. When are Youth applications and deposits accepted and when are the deadlines for Youth applications? Applications WITH Deposits are accepted when the Council High Adventure Committee makes Council contingent announcement. This is normally early in the year PRIOR to the expedition. Deadline for applications is January 4 th, but remember that youth registrations will be on A FIRST-COME FIRST-SERVE BASIS. Over the past several years many expeditions have filled up and waiting lists developed very early in the application period. The sooner you submit your application and deposit the better your chances of selection. How are applicants between the ages of eighteen and twenty-one considered in the registration and selection process? Since the High Adventure Bases are for Boy Scouts and Venturers, applicants in this age bracket at time of participation ARE PRIMARILY CONSIDERED AS YOUTH MEMBERS and should submit a YOUTH application. This will greatly increase the Scouts chance of selection. This does not mean that they could not serve as the second adult advisor for a Crew if necessary to meet two deep leadership requirements at the High Adventure Base or during the trip to and from the base. How many meetings and training trips will be required? This will vary by expedition, previous training level, and individual crew. In general you can expect one or more expedition meetings with parents and participants as well as several crew meetings and training sessions, which will include several shakedown trips. These will be needed for physical training and, most importantly, team building for the crew. Can a Female Venturer under 21 participate on Boston Minuteman Council Philmont expeditions? Yes, if they participate as part of an all-female or co-ed venture crew within the council expedition that meets the requirements for proper qualified, adult leadership.

"Coed Venturing Crews are required to provide coed leadership while en route to and from... the High Adventure Base and while... at the base... A Coed Venturing crew must have at least one male advisor and at least one female advisor, each of whom must be at least 21 years of age. Male and female youth participants will not share the same sleeping facility. Male and female advisors are required to have separate sleeping facilities. Married couples serving as adult advisors may share the same quarters if appropriate facilities are available. Female advisors will be responsible for the female participants; male advisors will be responsible for the male participants." Can I be in a crew with my fellow Troop or Crew Members? The answer is a definite YES and participation by multiple unit members is encouraged. We ask that you indicate this on your applications and give us a list of unit members who are going to be applying. Unless your unit leaders are submitting the applications, do not wait to submit your applications together with other unit members since you don't want to miss an available slot waiting for your buddy to get their application and deposit ready. You are not required, however, to be in a crew from your unit. How are crews formed and adult leaders assigned? Boston Minuteman Council Philmont expeditions usually operate at the 12-person MAXIMUM crew size. This is done to maximize the number of youth participants while having two-deep adult leadership over 21 years of age. Although your unit members and adults will be kept together as much as possible additional crewmembers, both youth and adults, may be added to the crew to reach the full Philmont crew size of 12 members. While a minimum of two adults is required per crew, a third adult is highly recommended. How is participation in past National High Adventure trips considered? There is no current Boston Minuteman Council policy restricting youth participation in multiple trips even to the same high adventure base. We do ask you, however, to consider the limited slots available, and give as many of your fellow scouts or Venturers as possible a chance to participate and enjoy the same trip you have by participate in a unit expedition via the national lottery or to a different base or participate in an INDIVIDUAL program at Philmont, such as the Rayado Program or Trail Crew. What if a YOUTH Applicant is BELOW THE MINIMUM Recommended Weight on the Philmont Height Weight Guidelines? Beginning in 2004, the National BSA High Adventure Bases began to pay much closer attention to youth participants falling BELOW the recommended weight guidelines. This was a result of youth below the recommendations having problems and trying to do activities above their physical ability. This caused problems for both the individual and their fellow crewmembers. For past Philmont expeditions, exceptions were approved because the youth had a fellow crewmember and advisor from their unit on the expedition participating within the same crew with them, and had completed a similar trip in the past without difficulty. If you fall BELOW the recommended minimums and will probably not be above them prior to your expedition you need to have your parents contact the High Adventure Committee through the Boston Minuteman Council office to discuss it BEFORE submitting an application.
