Please do not leave payments to the last few weeks prior to the conference. Cancellations and no-shows All accommodation cancellations will be required well in advance. Be mindful of the cancellation conditions stipulated by your hotel as they will differ with each property. Penalties will be incurred if cancellations are made at the last minute. Change to arrival and departure dates If your ARRIVAL or DEPARTURE date should alter due to flight disruptions or for other reasons, please advise the hotel immediately and prior to the initial arrival date. If you fail to do this and you do not show on the date booked, you will be recorded as a NO SHOW and your room will be released. You will forfeit one to two nights deposit and in some cases the full amount of your stay. Security deposits It is a requirement of all hotels and / or apartments that a credit card imprint is required or a reasonable cash deposit is given to the hotel reservation staff on check-in as security toward expenses. This deposit is to cover any incidental expenses eg telephone calls, bar or room service that you may incur during your stay.
