Dear Fundraising Coordinator, Thank you for your interest in the Elmwood Playhouse Benefit Performance Program! Elmwood Playhouse is about to enter its 70th season! We have acquired a well-deserved reputation for presenting professional quality productions, and we are very proud of our long history of presenting critically acclaimed and award-winning plays and musicals. Benefit performances at Elmwood are a proven means to generate funds for your organization in a meaningful and entertaining way! How it works: We normally mount 6 productions throughout the season. Most performances are open to the public, but with a benefit, we perform for only your group on that evening. We provide the theater to you at a deep discount (see separate pages for pricing); you choose the show and date that works best for your organization. The show descriptions and available dates are enclosed. The result is a memorable theatrical and social event that will raise money for your not-for-profit! 2017-2018 BENEFIT PRICING Pay a flat fee and you keep the revenue above and beyond the cost. Musicals: $1,400. Non-musicals: $950. Half-benefit (50 seats), non-musical production: $600.* Available Saturday night of opening weekend only * Note: The seats for the Saturday night shows will be dispersed throughout the theater. They will not be in a block due to reserved seating for the general public. The Sorkin Studio will be available for serving refreshments before the show and during intermission. Deposit We require a $250 deposit which is applied to the balance due. If the benefit is cancelled by you, we will keep the deposit. If the benefit is cancelled by us, we will return the deposit (inclement weather included). Sharing a benefit We encourage you to find a partner organization if you are not sure that you will sell out the theater. Each organization will need to sign the contract and give us ½ of the deposit ($125). Each organization will be responsible for ½ the cost. There are 99 seats, so decide which group will get the extra seat. Tips for a successful fundraiser 1. Make sure you choose a show that is appropriate for your audience. 2. Tell the members of your organization about the fundraiser well in advance so they can put it on their calendars and tell other people as well. 3. Have a member of the Elmwood production team (director, producer, etc.) speak at one of your membership meetings. This person will share their vision for the show and get everybody excited.
4. Use the artwork that we will provide (in a.pdf file that you can use to advertise your specific performance date and time) to hang posters at your organization about the event, or hand them out to members of your organization to spread throughout the community. 5. You may charge as much as you like above the minimum. The minimum is the ticket price that we charge the public ($25 for non-musicals, $29 for musicals). However, if you know that your audience would be willing to pay more (it is a fundraiser, after all!), there is no limit to what you can charge. 6. Tie the Benefit Performance event to a specific cause; in other words, don t just make it a general fundraiser. Let people know why you are looking to raise money (renovations to your building, new equipment, scholarship fund, etc). If they know the goal of the fundraiser, they will be more willing and excited to buy a ticket. 7. Add value to your event by either: a. bringing in food b. doing a raffle c. combining the event with dinner beforehand at a local restaurant ( dinner and a show )* *Prohibition River was kind enough to provide the food for tonight s event. They have great food and a great space upstairs for larger groups. If you are considering doing a dinner and a show, please consider supporting this restaurant.
