Address and contact: see above. Public transportation The Montreux Music & Convention Centre (2m2c) is only 5 minutes away from the Montreux train station (CFF/SBB). You will find all necessary information on www.sbb.ch If you are staying in one of the local hotels you will receive the Riviera-Card offering free access to the regional bus system Vevey- Montreux-Villeneuve (VMCV) Access Take the highway N9, exit Montreux, and follow the signs CCE (Montreux Convention and Exhibition Centre / Auditorium Stravinski). The parking areas are clearly indicated at the entrance of the city. Also ask the exhibition management for a city map showing the lorry parking sites.
5 5. Exhibition rules and regulations 5.1. Conclusion of the contract The contact is valid as soon as the exhibitor receives a written confirmation of the final stand location with the corresponding dimensions. This document will be sent by the exhibition management on behalf of the symposium organisers. By signing the exhibition application form, the exhibitor agrees to respect all conditions mentioned in this document. 5.2. Set-up, extras, dismantling The set-up, decoration and dismantling of the booth may only take place during the official opening hours. Any alternation and extras need to be approved by the exhibition management. The set-up of the stand has to take place on the precise location officially confirmed by the organisers or the exhibition management. Emergency exits, fire extinguishers and alarm buttons must not be hidden by the stand construction. Please make sure not to damage the rented surface (floor, walls, etc.). The exhibitor is responsible for any harm he might cause to the existing infrastructure. Rented furniture and other items have to be returned during the official dismantling hours. Damage on the rented items will be at the exhibitor s expense. 5.2.1. General and security prescriptions - The Montreux Music & Convention Centre 2m2c takes all security measures that are deemed necessary, in particular those entailed by fire risks. - The exhibitor will respect all safety instructions of the 2m2c. - Flooring If the exhibitor does not use the carpet of the 2m2c and wishes to use his own floor covering; he shall observe the following prescriptions: The floor covering shall be fixed to the floor by double sided adhesive foil corresponding to 2m2c characteristics and standards. This adhesive foil shall be supplied to him directly by the 2m2c at market price. This adhesive foil shall have the following characteristics: 3 M n. 9252. The covering shall possess non-inflammable classification in accordance with the law. - The operating machines, apparatus or other exhibition equipment must present no danger or inconvenience to the exhibition, exhibitors, visitors, staff or 2m2c equipment. The exhibitors will conform to all security prescriptions established by the SUVA (Security prescriptions of Switzerland). - It is prohibited to operate internal combustion engines without special authorisation. Exhibition material which could be dangerous or cause fire cannot be admitted to the exhibition halls without special permission from the 2m2c and the Cantonal Fire Department (ECA). - The building is completely equipped with sprinklers, fire extinguishers and fire-hose nozzles. The exhibitors must: - Take all necessary precautions when handling equipment and material in order not to damage the floor, the carpets, the walls and the sprinkler heads protruding from the ceiling. - Not use the sprinkler pipes or electric cables to hand notice boards, projectors, etc. - Notify to the 2m2c crew all possible defects, damages and all abnormalities. - Only use low flammability materials or materials treated with an officially certified substance in order to guarantee low flammability with M1 quality. - The exhibition management will submit the booth plan to the 2m2c for a formal control regarding the respect of their security norms (precaution against fire, fire exits, ventilation, repartition of loads on the floor, etc.). - Heat given out must not exceed 45C - Any damage, whether accidental or intentional, will be billed to the exhibitor. 5.2.2. 6 5.2.3. Empty packing For security reasons, storing of empty packing on the stands is prohibited by the Fire Department and the 2m2c. 5.3. Payment conditions An invoice will be established according to the ordered surface. This invoice has to be settled within 30 days otherwise the symposium organisers and the exhibition management may break up the contract. The rental owed by the defaulting exhibitor remains due unless the booked surface can be rent to a third party. In this case the exhibition management charges an administration fee of 20% of the initial rental fee. 5.4. Responsibilities and insurance The exhibitor is responsible for all damages which he could cause to the 2m2c, other exhibitors, organisers, visitors or any third party, should the damage have been caused by himself or by a person in his employment or by his installations. Also, nor the 2m2c, nor the organizers, nor the exhibition management accept any responsibility except those legally specified in the code of obligations (N.B. civil liability). They also decline any responsibility in case of major force, for example natural disasters, fires, war, etc. The exhibitor will make sure to have the necessary insurance coverage (civil liability, theft, damage, etc.). Please send a proof of your insurance coverage to the exhibition management. 5.5. Cancellation policy The following penalties will be charged: - Cancellation before May 31, 2010: 70% of the total surface rental - Cancellation after June 1, 2010: 100% of the total surface rental - For partly cancellations the same rule will apply. The penalty will be calculated pro rata to the reduced surface. 5.6. Exhibitor events If an exhibitor wishes to organise a private presentation or social event during the period of the LC/MS symposium, whether on the premises or elsewhere, he sends a written request to the symposium organisers beforehand, in order to ensure that the planned event inflicts in no way with the symposium programme, its social programme or the exhibition schedule. If any conflict in this connection should occur or if the symposium and its exhibition should be in any way compromised as a consequence of such an event, the exhibitor will be held liable for breach of contract and subject to penalties. 5.7. General conditions The symposium organisers and the exhibition management reserve the right to modify at any times the clauses of the Exhibition rules and regulations. If for political or economic reasons or due to any other circumstances beyond the symposium organiser s or the exhibition management s control, the exhibition should have to be cancelled, its size to be reduced or its character changed, no claims for indemnity can be entertained. Rentals and other sums already paid would remain the property of the symposium organisers up to an amount corresponding to the costs already incurred. 5.8. Legal place of performance and applicable law In the event of litigation, the sole place of jurisdiction is Montreux (District of Vevey), Canton of Vaud, Switzerland. Only Swiss law is applicable.
