INVITATION TO PARTNER Perth will host the 2nd Australasian Exploration Geoscience Conference (AEGC) from Monday 2 to Thursday 5 September 2019 at Crown Perth. The AEGC is the largest petroleum and mineral geoscience conference in Australasia, and incorporates the West Australian Basin Symposium (WABS) and the ASEG-PESA International Geophysical Conference and Exhibition. The event will be jointly hosted by the Australian Institute of Geoscientists (AIG), Australian Society of Exploration Geophysicists (ASEG), and Petroleum Exploration Society of Australia (PESA). THE EVENT & TECHNICAL PROGRAM The Australian Institute of Geoscientists, the Australian Society of Exploration Geophysicists, and Petroleum Exploration Society of Australia, have again joined to run the leading Geoscience Conference in Australasia. EXHIBITION Exhibition Opportunities The AEGC 2018 Organising Committee will be hosting an exhibition to coincide with the Conference. The exhibition is a major component of the Conference and will feature the most up to date information on projects and highlight products available. The Conference Program has been designed to maximise the opportunity for delegates to visit the exhibition. All refreshment breaks will be located within the exhibition area and this will be the primary networking arena for delegates, sponsors and exhibitors. Should you require additional space; a maximum of four booths can be purchased in conjunction with a sponsorship item. Companies responsible for bringing any item into the venue which causes any damage to the Crown Perth facilities or injury or damage to any property or person, either directly or indirectly will be held responsible for the damage or injury. Sponsors and exhibitors are responsible for providing all their requirements ie banners, promotional material and any other material by the due dates requested by the Organisers. Sponsors and Exhibitors are responsible for the security of their own equipment and materials during the event and in transit to the event The Sponsor/Exhibitor understand that all attendees must register officially and entry to the exhibition will not occur unless the attendee is wearing the appropriate identification. Visitor badges are provided as a gesture of goodwill and not for use by the organisation s representatives. The Exhibitor shall take all reasonable care when installing/dismantling their equipment and stand as not to cause damage to the venue carpet, walls, ceilings, fixtures and floors and the shell scheme booths supplied by the appointed stand contractor including panels, fascia, spotlights and furniture. The Exhibitor is deemed liable for repairs if the structures are damaged. The Organisers reserve the right to request removal of any items that may be deemed unacceptable and impacts fellow Exhibitors. All promotion must be conducted from your booth. All Organisations are expected to conduct their business in a professional, ethical manner and any breach will result in immediate cancellation of the Sponsorship/Exhibition package. If an Organisation is found to not align their values with that of the AEGC 2019 Host Organisations, this may result in cancellation of your Sponsorship/ Exhibition package. CANCELLATION POLICY The submission of an application by a representative from your organisation is regarded as a firm booking. All cancellations must be made in writing to the Organisers and notice acknowledged in writing by the Organisers. Any reduction in a Sponsorship and/or Exhibition allocation (once accepted by the Organisers) will be considered a cancellation and the cancellation policy will apply. Should the balance payment be outstanding at time of cancellation, the Sponsor/Exhibitor is liable for the balance as per the cancellation policy. There is no opportunity to transfer your Sponsorship/Exhibition booking to another AEGC event. CANCELLATION DATES Before 31 December 2018, full refund less a $250 administration charge Between 1 January 2019 and 30 April 2019: 50% cancellation fee of total contribution will apply From 1 May 2019: 100% cancellation fee and will be liable for payment of the balance should it not have been received by the cancellation date. 21
