What is Day Camp? Virginia District Day Camp is likely to be a Scout s first introduction to an outdoor camp experience. It could also be their 2 nd or 3 rd time. Either way, it is important to make it the best possible encounter with the outdoors. Here at camp they can learn, explore, make new friends, and most importantly of all: Have FUN while engaging in hands on activities. Leadership: The Camp Director and Program Director are the two administrators at camp. If there is a discipline problem, they should be informed. Please remember they are volunteers too, so be courteous and listen to their instructions. Both have attended the National Camp School as well as other training. Both have also been preparing for this week of camp all year long. As a volunteer, our camp could not be what it is and we THANK EVERYONE who is giving their time. Theme: This year our theme is Knights of the Round Table. Each Station Leader and volunteers are to help incorporate the theme into the week. Feel free to wear costumes, dress up your stations and any other ideas you may have. Some theme props will be provided on a limited bases. First Aid: Qualified, Red Cross registered, CPR certified volunteers will be on site the entire week. A volunteer Health Officer will provide basic first aid procedures. However, in the event of an emergency, the injured party will be transported to the nearest medical facility. The camp maintains written agreements with on call services of local emergency personnel. Adults with Epi pens, inhalers and/or medications should carry them. Children under 16 years of age should have all medications, Epi pens and inhalers registered with the Health Officer and left there. If a Scout has any of these items, please contact the Camp Director. All medications to be dispensed will only be done by the camp Health Officer. Daily check in and checkout of medications will be done by the camp Health Officer. If this procedure is not followed, the camp relinquishes all liability involved with the mishandling of medication and any related sickness or illness. Conduct Code: Absolutely NO SMOKING or improper language and/or behavior in front of Scouts. As adult leaders, it is important to set a proper example for the Scouts we lead. We realize smoking is a personal choice and if you feel you must smoke during camp, please do so in the parking lot out of sight and smell from the boys. Dispose of cigarette butts responsibly. Adults are also prohibited from having illegal firearms; explosives, including fireworks; or alcohol on the premises. Page 3

Drinking Water: All Scouts and Volunteers should be prepared with a water bottle. Water stations will be provided in various areas around camp in the form of 5 gallon coolers. Make sure all Scouts replenish their water bottles and drink plenty of water at your station. Inclement Weather: We have camp if it rains! FYI trash bags make great rain coats and are easily disposed of when the sun comes back out! Alternative rainy day activities are planned. Should lightning or severe weather curtail activities, safe shelter is available and will be utilized. Camp will not be dismissed early. Disaster plans are in place and will be implemented. BB/Archery CANNOT be done while it rains. The dens will stay at your station and can review what they have learned and/or teach them something new. Den Leaders have rope for knot tying as well as a list of suggested ideas. Health Forms: Regardless of how long you plan on being at camp, you will be expected to complete a health form. No physician's signature is required; but in order to be covered by accident insurance, a form must be completed and on file. This is MANDATORY for all adults, Scouts and Tot Lot. No one will be allowed to stay in camp without a completed form. A link is provided on the Day Camp website. Dress Code: Scouts who have registered will be given their camp shirt upon check in. They MUST wear this shirt each day to camp. This shirt will help identify which children are campers. Volunteers/Staff will be given their camp shirt as well upon check in. They too MUST wear their staff shirt each day to camp. Extra shirts may be purchased at pre registration and the first day of camp. Please do not alter shirts by cutting sleeves or shortening the length. Shorts are acceptable wear, however, they cannot be extremely short. If it is more than a hand width above the knee, they are too short. Shoes must be closed toed and closed sided. Crocs, flip flops, sandals, and hiking sandals are not acceptable. Page 4

Discipline: As boys who have learned the Cub Scout Promise, we expect all of them to be on their best behavior. However, should a Scout become unruly and prevent other Scouts from having FUN at camp, please send him to the Camp Director. If the Scout continues his unacceptable behavior, he will be expelled from camp. The best way to prevent discipline problems is to let Scouts know what you expect from them and keep them busy to and from stations (song, cheer) and during down time (peek inside your den bag). Yelling at Scouts will not be tolerated. If you need to address a Scout, please do so in a quiet, calm and respectful way. Parking: Volunteers and Staff can either park on College Avenue away from the main gate or in the gravel parking lot by the playground. The School has asked us not to park in the circle in front of the school building. At no time should a vehicle travel onto the grounds of the school. Only the emergency vehicle will be parked on the grounds or circle. Daily Arrival and Departure from Camp: All staff, volunteers must sign in each morning. If you leave camp during the day, you MUST sign out and sign in again when you return. At the end of the day, you MUST sign out. Everyone should arrive each day by 7:45am. All Scouts and leaders are identified by their camp uniform. You must wear it every day! For current year of 2014 The camp uniform for youth: Camp T Shirt The camp uniform for Directors: Camp T Shirt or appropriate costume All Volunteers uniform is: Camp T Shirt or appropriate costume We may implement a bead or sticker system to denote allergies or serious medical conditions we need to know about right away. If we do, a list of what each color means will be distributed to you. Page 5

Emergency Procedures: In case of thunderstorm or other need to seek shelter: When the emergency signal of two (2) long air horn blasts is heard, please gather the den at your station and wait for the Camp Director to radio, call or text instructions to you. DO NOT release dens until you are given an explicit order to do so. If the order is given to evacuate to our safe shelter, then proceed to the front of the school building as indicated on the map and line up in single file by den groups. A head count or roll call will be given to ensure all are present and accounted for. Once the correct number is achieved, we will all proceed into the front doors of the school and make way down the right staircase and into the immediate room on the right. Note: We will already be indoors while at the Baptist Church. Shooting Sports: Please send all youth, including den chiefs and other youth volunteers working the range, with the den and den leader to the front of the building if the evacuation order is given. Stay behind and quickly take down and lock up all equipment before heading to the front of the building. Page 7

Emergency Procedures: Non Weather Emergency: In the field: When the emergency signal of three (3) short air horn blasts is heard, please gather the den at your station and wait for the Camp Director to radio, call or text instructions to you. In the event that we need to gather for a head count or other reason other than to seek shelter from inclement weather, we will convene at the Theme activity area/den Meeting areas. If a Scout or Volunteer is deemed to be missing, we will then enter the Lost Camper emergency procedures on the following page. At the Baptist Church: Three whistle blasts is heard, gather everyone at your station or in your room. Wait for explicit instructions on the next step. If we need to move everyone together, we will do so in the main stage room. Page 8

Emergency Procedures: Lost Camper: In the event that a lost camper has been recognized, the following will take place: 1. The Camp Director will assume control over the situation. The lost person s name and last known whereabouts is determined. Dens will be evacuated to the gathering area as indicated on previous page map if in the field area. If at the Baptist Church, the main meeting area will be the stage room. 2. Volunteers from Activity Areas are then dispatched in pairs to search for the lost camper within the camp boundaries. Den Leaders, the Health Officer, Camp Director, and other daily volunteers not trained in the search for a lost camper will remain with the Scouts. 3. If the lost camper is not located after a quick search of the camp grounds, the Camp Director will immediately notify the local police. All campers and staff remaining will proceed to the basement weather room via the sidewalk on College Ave to be out of sight of police activity; or will remain in the stage room if at the Baptist Church. 4. If the lost camper returns while a search is being conducted, activity staff will be notified via a 5 second air horn blast and phone calls/text messaging. 5. The Camp Director and Camp Advisor are the only persons to engage in any media contact and will only respond with, Please talk to our Scout Executive. Other Emergency Protocols: For a death or serious injury, move Scouts away from the situation. This is to keep the Scouts safe and to free the situation so that the Directors may take over the scene by following these steps: 1. Check out the situation 2. Call 911 3. Contact District Executive / Council Executive 4. Contact Next of Kin For an unwelcomed or unregistered guest, please send direct them to the Camp Director for check in. If the guest is unruly and will not leave, get the Camp Director to your station or den. The Camp Director will assess the situation and act accordingly to dismiss the individual or have them sign in. In the event the unwanted individual becomes aggressive or threatening and will not leave the camp premises, the police should be notified. Page 9
