Rome - No other city comes close! This epic, bubbling-over metropolis that harbours lost empires gets you hooked in one visit. Rome has a glorious monumentality that it wears without reverence. Access Most international airlines fly to Rome. Be aware that the Eternal City has two airports: Leonardo da Vinci in Fiumicino (20 miles from the city centre) and Ciampino (10 miles from the city centre). If you arrive at Leonardo da Vinci, there is a fast train, the Leonardo Express to Rome s central railway station Termini. It leaves the airport every 30 minutes from Monday to Sunday. If you want to take a taxi, make sure to take an official cab (they are white, have a taxi sign on the roof, an official number and a meter as well as an insignia on the driver s door reading Comune di Roma ). The approximate fare to the hotel is e 40. If you arrive at Ciampino, the Terravision bus service will take you to Termini station. The taxi fare is about e 30. For more information on airports connections visit: www.adr.it Visa Please always check your status with the Italian Embassy or Consulate in your country. If you need a visa, be aware that the application for a «Schengen» visa must be done at least one month prior to the convention. Welcome Evening VILLA MIANI Wednesday, 30 May 2012 at 19.30 Duration approx. 2 hours Rising on the hill that overlooks St. Peter s and its magnificent dome, Villa Miani offers one of the most stunning views in Rome. Built at the beginning of the XX century, the elegant villa has a Venetian sixteenth century style façade with a portico and several terraces and is surrounded by a marvellous garden with high palm trees and exotic plants. The villa also hosts a museum with some of the most famous Rome portraits of the XVI and XVII century by Piranesi and Vanvitelli. Villa Miani is within walking distance from the Rome Cavalieri Hotel. All registered delegates, guests and spouses are cordially invited to the BIR Welcome Evening. Sightseeing Tours For your convenience, BIR is proposing a selection of sightseeing tours that you can book through our conference organiser EGA. All tours start and end at the Rome Cavalieri Hotel (meeting point: lobby of the hotel). The Grand Tour of Rome Wednesday, 30 May 2012 Duration : 14.30 18.00 Price per person : e 38 This guided tour takes you from Piazza del Popolo, entrance to Rome for pilgrims, along Via del Babuino up to Piazza di Spagna. Piazza del Popolo is one of the most famous squares in Rome, due to the impressive obelisk and the church of S. Maria del Popolo, an architectural gem which stores paintings by Caravaggio and frescoes by Pinturicchio. Piazza di Spagna is dominated by the steps that link the square to the French Church of Trinità dei Monti. Two streets that start from the square, via Condotti and via Frattina, invite you to a pleasant walk amidst exclusive ateliers and shops that give evidence of Italy s chic and quality. 8

Imperial Rome Thursday, 31 May 2012 Duration : 09.00-13.00 Price per person : e 49 Discover the beauty of imperial Rome by walking through the ancient ruins up to the Colosseum. The visit starts on the Capitoline Hill, a jewel of Renaissance architecture designed by Michelangelo and a natural terrace overlooking the ruins of the Forum Romanum. It continues along the Via Sacra with its paving, temples and basilicas dating back to the imperial age: a unique setting that embraces over ten centuries of Roman history. Cooking lesson: Pizza-Making at Rome Cavalieri Hotel Thursday, 31 May 2012 Duration : 15.00-16.30 Price per person : e 75 Have you ever tried to make a pizza? You did it and it was ok but did not taste like the real thing? You have the unique opportunity to forget takeaway pizzas and learn how to prepare a typically Italian one! The class gives the opportunity to see the whole pizza making process from scratch with the selection of all ingredients and the preparation of the dough. Once the dough is ready, you will choose your favourite topping to create your own tasty Italian pizza. If the weather is nice, the class can be arranged outdoors and pizzas will be baked in the Mediterranean park of the Rome Cavalieri Hotel. 9

Exhibition Stands and Hospitality booths All BIR member companies specialised in manufacturing and selling recycling machines and equipment as well as service providers are invited to book one of our exhibition stands to showcase their products and latest technology. Access to the exhibition and hospitality area will be granted to all BIR participants and guests at the convention on presentation of the badge, from Wednesday (30 May) morning until Friday (1 June) 14.30. Any interested company can also reserve a large hospitality booth, which will be located close to the main entrance of the plenary meeting room and the exhibition area. When allocating the booths, priority will be given to the main sponsoring companies, i.e. Diamond Sponsors, which automatically receive a complimentary booth as part of their sponsorship package. Any company that wants to reserve a stand or a booth must register at least one delegate for the convention and pay the corresponding registration fee using the convention registration form. Two additional representatives are entitled to represent the exhibiting company and register as stand assistants at a reduced fee using the separate stand/booth reservation form which is included in the exhibition programme. The exhibition programme and stand/booth reservation forms will be sent out at the beginning of February 2012 and will be handled by EGA. In the meantime, we strongly recommend that interested companies make a pre-booking with Yolande Joret, at the BIR Brussels Secretariat (bir@bir.org). 10

Services at the Convention Registration Desk The convention secretariat and registration desk will be open at the entrance of the convention and exhibition area. Opening hours: Tuesday, 29 May 2012 14.00 to 18.00 Wednesday, 30 May 2012 08.30 to 18.30 Thursday, 31 May 2012 08.30 to 18.30 Friday, 1 June 2012 08.30 to 17.00 Upon arrival at the registration desk, each registered delegate receives a kit containing his personal credentials (badge, invitation cards, tickets, etc), the final programme and a list of all registered participants. Access to the Convention and Exhibition area You are requested to wear your badge at all times! Access to meetings, exhibition, hospitality area, networking sessions, luncheons and social events are restricted to registered delegates and guests wearing their badge and showing the relevant invitation cards or tickets. Always carry some photo ID or a copy of your passport. BEWARE OF BADGE FRAUD : lending a convention badge may result in the immediate exclusion from the convention and the company s expulsion from BIR membership. Random checks will be carried out throughout the convention area. Lost badges and tickets will not be replaced and will imply new registration Shuttle bus services There will be a regular shuttle service between the Rome Cavalieri Hotel and the supporting hotels (see Accommodation). This service is only for registered delegates and accompanying persons wearing their badges. 11

List of Participants To help delegates identify potential business partners, each registered delegate receives the official list of all participants (registered before 11 May 2012) with delegate names, company names and addresses, the hotel where they are staying and the commodity division codes. There will also be an additional list of late registrants. BIR Gold Members can access a regularly updated list of participants on www.bir.org using their personal access details. As from 14 May 2012 other BIR members also have access to this list. While every effort is made to ensure that the contents of the participants list is correct at the time the document goes to press, BIR and EGA cannot be held responsible for errors or omissions due to incomplete or illegible information provided by the delegate. Please check the accuracy of your personal details on the participants list that is made available on the BIR website prior to the convention and inform EGA accordingly. Interpretation Simultaneous interpretation in English, French, German and Italian are provided at all our plenary sessions. Workshops are held in English only. Participants speaking Spanish are also entitled to speak their own language during debates. Divisional Luncheons Registered delegates can attend luncheons on each day of the convention (i.e. Wednesday, Thursday, Friday). One lunch is included in the delegate s registration fee. Please indicate your preferred lunch day by ticking the appropriate box on the registration form. Subject to availability, additional tickets can be purchased at a price of e 100 (only for registered delegates/spouses). Hospitality area On Tuesday, 29 May, a complimentary coffee bar is open from 14.00 to 18.00 near the registration desk. On the following days, complimentary coffee and tea are served in the exhibition and hospitality area from 08.30 to 18.00 (17.00 on Friday 1 June). A cash bar is also available throughout the convention in the exhibition area. Business suite rental BIR is renting additional meeting rooms which you can book for up to 2 hours for your business appointments. Prices and availability can be checked at the convention registration desk during the convention but advance booking can be made as from 14 May 2012 with the BIR Brussels secretariat. LME and COMEX quotations are provided during convention hours. 12

Gold Member Privileges Delegates representing BIR Gold Member companies benefit from special discount registration fees and early access to the list of participants. They also have exclusive use of the Gold Member Lounge (open from Wednesday, 30 May to Friday, 1 June) with complimentary coffee/tea, secretarial facilities and Internet access. For full details on Gold Membership privileges please visit our website (www.bir.org) or contact the BIR Brussels secretariat. Press Registered journalists have access to telephone and Internet facilities in a special press room. In addition, a press table is available for the trade press to display their publications. Other commercial advertisement is not permitted on the press table. Conditions of attendance The Convention is open to fully registered delegates representing BIR member companies and to elected officers from national federations (i.e. President and/or Executive Director) which have paid their 2012 membership dues to BIR. Membership within a national federation affiliated to BIR does not automatically entitle a company to register delegates to the Convention. However, we will exceptionally offer the same fees as BIR ordinary members to the representatives of the Italian companies which are not affiliated to BIR but are members of the Italian recycling associations ASSOFERMET, UNION MACERI, AIRA. Observer status can be granted once to representatives from non-member companies. They must first submit their request along with a supporting letter from a BIR member to the BIR Brussels secretariat for approval. After the convention, an observer must make sure that his/her company joins the organisation if he/she wants to attend any future BIR conventions. Registration BIR does not offer a daily registration rate. Each delegate must pay the full registration fee mentioned below, regardless of the time spent at the convention. One registration form must be filled in for each attending delegate. A spouse is not a delegate and is not entitled to participate in the business sessions. Registrations will not be processed without proof of payment, i.e. credit card details or copy of bank transfer. A confirmation will be sent by EGA by e-mail or letter when above conditions are fulfilled. In order to facilitate your registration, we strongly encourage you to register and pay online. 13

Fees A delegate s registration fee covers: Participation in plenary meetings and workshops Invitation to the Welcome Evening on Wednesday, 30 May 2012 One divisional luncheon (to be selected on the registration form) Access to the exhibition and hospitality area The accompanying spouse s complimentary registration* * When mentioned on the registration form, the spouse (under the condition that he/she is not involved in business) receives a complimentary badge and free access to the exhibition, the hospitality area and to the Welcome Evening). Hotel accommodation BIR is aware that some travel agencies or online booking services might offer special packages and cheaper rates than those negotiated by BIR. Feel free to take advantage of these offers. Our delegates and guests are under no obligation to make their hotel reservation through EGA. However, in order to assist its members, BIR has pre-booked a limited number of rooms at preferential rates (applicable only if the reservation is made by 26 March 2012 at the latest). This is a special service that BIR offers its members, but it cannot be held responsible for any problem related to accommodation bookings. The hotels and rooms are allocated on a first-come-first-served basis. Please check the allocated hotel/ room as soon as you receive confirmation. If the allocated hotel/room does not meet you requirements, please inform EGA immediately. Reservations can only be made if the booking is guaranteed by a credit card upon the time of booking or by a prepayment covering your entire stay. Upon confirmation of your reservation by EGA, the reservation is binding for the hotel as well as for the guest. The guest is the contract partner of the hotel. Any modification or cancellation of a reservation shall be made in writing to EGA. Each delegate must pay his/her hotel room and any other extras directly to the hotel upon departure (unless the room was pre-paid to EGA). 15 In order to ensure a smooth check-in, we recommend that you present your confirmation letter from EGA at the front desk of the hotel.

Bank transfers must specify full details of sender and payer. A copy of the proof of transfer must always be attached to the registration form(s) which are covered by this transfer, or, in case of online registration, sent to EGA within 48 hours. In order to facilitate your registration we strongly encourage you to register and pay online on the BIR convention page. Also, preference will always be given to credit card payment. Cancellation Registration - Cancellation of the convention registration must be notified in writing (e-mail, fax) to EGA. - Cancellations before 7 May 2012 will entitle registered delegates to a full refund of the registration fee (minus e 200 to cover administrative expenses). - After 7 May 2012, no refund will be granted, except for justified reasons Accommodation - Cancellation of the hotel room must be notified in writing (by e-mail or fax) to EGA. - In case of cancellation after 7 May 2012 or no show, the hotel will charge the full price for the entire period booked. However, EGA and the hotel will try to re-sell the room to another delegate to avoid unnecessary costs. Convention - In the case of strikes, flood, fire, force majeure or any other circumstances beyond the control of BIR resulting in the partial or complete cancellation of the convention (and of any part of its programme), BIR cannot be held liable. As a result, no refund of the registration fees or of the hotel pre-payment/ deposit will be made to BIR registered delegates and guests.
