SIDMOUTH & OTTERY HOCKEY CLUB REPAYMENT FOR DRIVING POLICY Aim This policy sets out the arrangements for making payment to reimburse drivers that transport payers to away matches. Introduction The Club repays drivers who use their cars to transport themselves and other players to matches. This policy sets out arrangements to ensure standardised arrangements across the Club. The Club does not require players to make an on the day contribution towards their travel costs. The Club covers this using income from players match fees and their annual subscriptions. Who is Affected by this Policy? Team players and coaches - including Junior Academy coaches - travelling to away friendlies, league games and tournaments. It excludes repayment for travel to senior tour venues costs for these events must be factored into the overall cost of the event paid by each player. Procedures Local Venues. The Club makes no re-payment for players for home or local fixtures in: Cullompton, Exeter and Honiton. Payment Start Points. As the Club has two central pick-up points, mileage is measured to matches from both locations: Colin Tooze Sports. Cadhay Lane, EX11 1QW. Sidmouth Sports. Primley Rd, Sidmouth, Devon EX10 9LH. Club Repayment rate. The rate per mile is 20p. Administration Procedures. Before the journey takes place make sure the driver knows the amount he/she will receive is they drive. Check out the table at Annex A for driving repayment amounts. It is very important that the captain makes clear which cars will receive official repayment. If a player choses to travel to the game direct or to use their own car when there are spaces in the official cars, then no repayment for driving can be offered. There is no payment for players who take their own car and carry non-playing passengers i.e. spectators or friends/family. Use discretion for two seaters but, if a 5 seater car is available this should be used instead. Ensure the car is not overloaded! If there is insufficient capacity to carry all the team and a parent (for example) helps out, offer payment to them if they ask. 1
Example: it is normal for a team with 2 subs, to take three cars 15 seats in total. Each driver will receive repayment for driving. For a larger squad add an extra car and pay the same rates. Where a coach travels to the game, every effort should be made to travel in cars with players or visa versa. Documentation. Always take in and record all player drivers match fees in the Captain s Match Day Income and Expenditure book. Record the total amount paid to drivers in the Captain s Match Day Income and Expenditure book. Do not simply calculate the net amount, i.e. Driving Repayment take away the driver s Match fee paid and record that! The figures above are based on the Club mileage rate of 20p per mile set by the Club Committee. Captains should be aware that the amount paid for driving to matches may exceed the income from match fees. They should plan to carry a float to help their cash flow in such instances.
