BOOKING TERMS & CONDITIONS a) Check Availability: Call our offices to check availability. You are required to confirm the booking prior to the expiry date otherwise this will automatically expire. If you require more time to confirm the booking, the expiry date may be extended on request (subject to availability). c) Confirm Booking: A booking will only be confirmed upon receipt of a booking voucher from the tour operator. Please ensure the booking voucher contains the following information: 1. Property you wish to book (specify if family tent, house, cottage, etc.) 2. Date and time of arrival and departure 3. Mode of arrival and departure 4. Number of pax., rooming list and configuration (# of doubles, twins, singles, etc) 5. Names of clients, and clients ages and especially of any children in the group* 6. Any special requirements 7. Nationality of Clients 8. If booking residents indicate this clearly on voucher and attach proof of residency. *Please note that at all properties, extra beds are designed to accommodate children under the age of 16 yrs only. Once a voucher confirming the booking has been received, the voucher will be stamped CONFIRMED and a copy will be sent back. On receipt, please double check details. Any further amendments or cancellations should follow the same procedure. d) Deposits: For certain times of the year when there is high pressure request for accommodation, or for very large groups, you may be asked to make a non-refundable deposit of up to 30% of the booking value in order to confirm your booking. This deposit will override cancellation policy 1 & 2 below. e) 100% Confirmation & Payment: 1. An Elewana Collection Confirmation Voucher will be issued only on receipt of full payment of booking. Bookings may be lost if payment has not been received within 2 weeks from accommodation date. 2. Correct payment details for cheque payments are detailed for each property beneath property rates. Please ensure that clients have a copy of their Confirmation Voucher, as they are required to present this voucher on arrival at the corresponding camp / lodge. f) Cancellation & Reduction in Numbers Policy: All cancellations must be done in writing. Cancellations are only effective on receipt of written notification. In case of cancelation or reduction in numbers, the below charges will be levied as a percentage of the booking value: 1. Between 60 & 45 days, 15% of the total costs will be charged. 2. Between 44 & 30 days, 25% of the total cost will be charged. 3. Between 29 & 22 days, 50% of the total cost will be charged. 4. Between 21 days & a No Show, 100% of the total costs will be charged. The agent shall be responsible, for a cancellation payment within 15 days of the cancellation. g) Refunds: Whilst the company uses its best endeavors to ensure that all anticipated accommodation is available as planned, there shall be no claim whatsoever against the company for a refund either in whole or a part, if any accommodation or excursion is unavailable, or the passenger was unable to use this service. h) Insurance: You must take out comprehensive insurance cover before travel for cancellation, medical expense, personal baggage and money. i) Triples for Adults: At all properties, extra beds are designed to accommodate children under the age of 17 yrs only. 1
