Technology Tools Choosing the Right Tool for the Job Understanding the Tools Internet Connectivity App or Website When to Use Which Tool 2
Choosing the Right Tool 3
Choosing the Right Tool Phones Advantages Most Mobile Access almost anywhere Convenient Takes up very little space, always around Best Tool for quick simple information Disadvantages Small Display Limited Information Most websites built for larger displays Not the most convenient when you need a lot of information 4
Choosing the Right Tool Tablets Advantages Larger display than Phone More Information Still pretty small and easy to bring with you Most websites display well Disadvantages Possibly less connectivity than Phones WiFi vs. 3G/4G 5
Choosing the Right Tool Computers Advantages Large Display Keyboard / Mouse Most application possibilities Disadvantages Not as mobile Not convenient to look up information 6
Connectivity Wi-Fi Availability not guaranteed Usually fastest speed Wireless Networks 3G (3 rd Generation) Available almost everywhere Speed / Availability based on network (ATT, Verizon, Sprint, etc ) 4G (4 th Generation) Available in most large cities Depending on Carrier Fast enough to support most regular internet access 7
Apps and Websites Applications (Apps) Runs locally on your Phone / Tablet / Computer Saves data locally on your Device. Allows you to bypass logins and save other settings specific to your phone. Offline capability Websites Content displayed on Device, website runs on remote server Limited data saved Very Limited offline capability Same site runs on all devices Updated for everyone at the same time 8

Using Technology to Streamline 3 rd Party Logistics Typical situation Using Technology Available Technology Summary FBO/Handler Communication Hotel Ground transportation Catering International Trip Support Some low tech options Using Directories and going direct to the Service Provider. Email and fax tips Trip System integration
Typical Situation
Using Technology Goal of reducing phone and fax Goal of reducing errors and adding control System to System Integration allows Relay of information instead of re-typing. Consolidation one system that connects to multiple systems and vendors Standardization standard process regardless of service type or vendor Web based tools allow everyone (Schedulers, Crew, Service Providers) to be on the same page and see real-time information and status. System keep audit trail of changes, versions, who did what when Provides secure data link
Examples Sophisticated custom systems for large aircraft operators Trip system add-ons and integration for users of sophisticated scheduling systems Self-service tools from sophisticated service providers Portals from affiliate network providers Systems that consolidate information from multiple service providers New Products emerging
FBO and Handler Notifications and Requests Automatically relay: Your contact info Tail Number Aircraft Type Pax and Crew counts Arriving from Arrival Date/Time Length of Stay Departure Date/Time Departing to Services you ve arranged that they should be aware of. Scheduler / Crew: Optionally click checkboxes for quick turn, fuel, hangar, etc Optionally Enter any additional requests Automation: Confirmations captured from FBO. Detect relevant trip changes and automatically alert the Scheduler to send update to the FBO.
Hotel Bookings Automatically uses: Arrival Airport Arrival Date Crew Manifest Pre-negotiated rates Preferred Hotels Loyalty Numbers Scheduler / Crew: Review available chains and rates Pick the property Verify cancellation policy and enter credit card info Confirm booking. Automation: Confirmation info captured Detect relevant trip changes and automatically alert the Scheduler
Ground Transport Requests Automatically Relay: Tail Number Scheduled arrival or departure date/time Your contact info Automatically uses: Arrival FBO Address (as pickup or drop-off) Arrival Date/Time to compute Pickup date/time Pax List for Lead Passenger Pax count Ground preferences Preferred Vendor Scheduler / Crew: Choose the Provider Choose the car type Pick Lead pax from list Enter stops address(s) Enter special requests Automation: Capture confirmation from service provider Detect relevant trip changes and automatically alert the Scheduler
Catering Requests Automatically Relay: Pax / Crew count Trip duration Aircraft Type Catering allergies and preferences Your contact info Automatically use: Departure Airport Departure FBO Address (as delivery) Departure Date/Time (to compute delivery date/time) Preferred Vendor Scheduler / Crew: Choose service provider Enter desired line items Enter special requests Automation: Capture confirmation from service provider Detect relevant trip changes and automatically alert the Scheduler
Trip Support Automatically relay: Itinerary Passenger and Crew manifest Scheduler / Crew: Choose Trip Support provider Specify services expected, specify if you will handle on your own, or if you want the Trip Support provider to handle it. Additional relevant information for each service request. Automation: Capture confirmations from service provider for each requested item. Detect relevant trip changes and automatically alert the Scheduler to notify the Trip Support vendor.
Directories and Going Direct No single source for a directory there are new options and you ll want to supplement with your own experience and NBAA Airmail. Your scheduling system has notes fields by airport and other systems let you define your favorites. Go direct to the service provider when possible but keep the FBO in the loop when you ve arranged your own.. The FBOs don t mind if you arrange your own services as long as they know what to look out for. If you know who your favorite local provider is they re happy to setup direct billing and take requests directly from you. Affiliate Networks can also direct bill and vet the local providers at each airport so you don t have to rely on the FBO for that. Other benefits: Many are tech savvy, 24x7x365, and do a much better job at dispute resolution than a typical FBO.
Standard forms and information Lets you Get it in writing and avoid the Whisper game. Cuts down the back-and-forth The more specific and the more extra information the better the service will be. Helps you remember what information is important to relay for each type of service request. Ability to retain copies and Save as for future, similar, requests.

Going Paperless 25
Paperless Why? Easier to Record and Store Records Computer, Tablets and Smartphone s Scheduling Software/Web Programs Ease of Use Pilot Jepp Charts and Checklist S/D Record Keeping (Files i.e. FlightLogs, Passports, etc.) Your Department Save Time Instantaneous Real Time Records No Paper Trail (Hangar to Corp) It s Green 26
Paperless CHANGE Change is Hard.
Paperless CHANGE Education and Communication To inform and educate staff about the change beforehand, early approaches and communication helps.
