Camp Drop-Off & Pick-Up Location & Times PRIMARY CAMP ENTRANCE SECONDARY CAMP ENTRANCE Primary Day Camp Drop-Off & Pick-Up Location: South Entrance of the Davidson Centre (across from the Skateboard Park.) Entrance is located to the left as you enter parking lot from Durham Street. Secondary Day Camp Drop-Off & Pick-Up Location: Main Entrance of the Davidson Centre. Located just outside the Gymnasium. This location is used, when the primary Drop-Off & Pick-Up Location is unavailable. ALL PARENTS, GUARDIANS AND CAREGIVERS ARE REQUIRED TO SIGN CHILDREN IN AND OUT OF CAMP. EARLY DROP-OFF: 7:30 am 9:00 am PROGRAM TME: 9:00 am 4:00 pm PICK-UP TIME: 4:00 pm 5:00 pm LATE FEE: $10 fee every 10mins after 5:00pm Please Note: On July 11 th Pick up ONLY will be located in the Gymnasium Drop-Off & Pick-Up Locations are subject to change (See Secondary Camp Drop-Off & Pick-Up Location) Notifications may come in the form of: signs, notes home, and/or emails.

All cheques must be made out to the Municipality of Kincardine. 5

Paying In Full The Non-Refundable Deposit is included in the weekly registration fee. Paying with Post-Dated Cheques At the time of registration, the Non-Refundable Deposit must be paid for all weeks registered. Post-dated cheques should be written out with the amount less the 10% Non-Refundable Deposit paid at the time of registration. **NEW** Paying with Credit Card We now offer payment by Credit Card. We will accept phone and email registrations if we have all mandatory forms completely filled out at the point of payment. All balances must be paid in full at the time of registration OR post-dated cheques must be submitted with your registration. If camp is paid by a third party a letter or email must be sent to the Recreation Supervisor in order to Summer Day Camp Cancellation Policy register. To cancel camp registrations, notification in writing must be received by the Administrative Assistant, Financial Assistant or the Recreation Supervisor. Cancellations may be sent to: cmurphy@kincardine.net *Cancellations due to medical reason must be accompanied by a doctor s note at the time of request and will receive a full refund.* 10% Non-Refundable Deposit A 10% Non-Refundable Deposit (per camper/per week) is required for all Summer Day Camp registrations at the time of registration. Participants will be charged this fee if cancellation of any week occurs. 25% Cancellation Fee & Trip Weeks Cancellations must be received no later 7 days prior (14 days for trip weeks) to the start of camp by 4:30pm in order to receive a refund (less the 10% Non-Refundable Deposit.) If cancellations of trip weeks occur after the 14 days, participants will be charged the trip fee for the cancelled week. Refunds Refunds take between 2-4 weeks to process and will be received in cheque form via mail. Refunds will NOT be given in the form of cash, credit or debit returns. Waitlists Waitlists work! Camp and administrative staff review waitlists on a daily basis. Staff work hard to accommodate as many participants as possible. Please use the waitlist system, when spots are available parents, guardians or caregivers will be contacted. 6

Summer Day Camp Weekly/Daily Information Camp Plans Weekly emails are sent out on the Thursday prior to the following week of camp. These emails will include: weekly schedule, activities, additional items to be brought to camp, and trip information. Sign-In/Out & Attendance Attendance is taken upon arrival to camp. Staff ensure attendance is taken regularly throughout the duration of the camp. Attendance is taken before camp is taken offsite and before returning camp. Participants must be signed in and out of camp each day. All approved guardians may be asked to provide a piece of ID upon pick-up. Approved parents, guardians and caregivers must be listed on camper registration form. In the event an additional guardian or caregiver is picking up the participant an email must be sent to camp@bmts.com to confirm. Participants may leave on their own, when a parental consent form is filled out (in registration form). This is only applicable for participants 10+. Sign-In & Out All participants must be signed in and out by parents, guardians or caregivers every day, unless otherwise indicated on Participant Information Forms. Late Drop-Offs & Early Pick-Ups will take place in the Camp Office. Please let staff know if your children are getting dropped off late or picked up early. Safe Arrival Program If a participant has not arrived to day camp by 9:30 am and prior notice of his/her absence has not been received the Program or Inclusion Coordinator will call the child s home and/or parents place of work to determine the participants absence. Late Pick-Up Policy Late Fees ($10) will be applied for every 10 minutes after 5:30 pm. $10 $20 $30 $40 $50 $60 (10 minutes) (11-20 minutes) (21-30 minutes) (31-40 minutes) (41-50 minutes) (51-60 minutes) Late Fee charges will be applied to your account with the Municipality of Kincardine. Registration for additional programs cannot take place, unless this fee has been paid. 7

Quality Supervision Staff to participant ratios reflect our commitment to quality program supervision. All Municipality of Kincardine camps follow the Parks & Recreation Ontario HIGH FIVE Principles of Health Child Development. Staff are required to be First Aid & High Five certified and provide a criminal reference check upon employment. Camp Age Staff Ratio Child Ratio Munchkins 4-5 years (2013-2014) 1: 5 Lions 6-7 years (2011-2012) 1: 8 Critter Crew 8-9 years (2009-20010) 1: 8 Peaks 10-12 years (2006-2008) 1: 10 Illness, Allergies & Medications Please ensure the Participant Information form is complete to ensure the most accurate and up to date information about medications, medical conditions, allergies, etc. Please list all emergency contacts who can be reached between camp hours. (7:30am-5:00pm). Photograph Release & Consent Please fill out the Photo Release form. All pictures taken throughout camp are used for promotional and marketing materials for the Municipality of Kincardine recreation programs. Pictures are also taken for camp crafts and activities. Participants will have the opportunity to swim in the Davidson Centre Pool, 3 days a week. Swim supervision will be provided by lifeguards and camp staff. Only participants who pass the swim test (one length of the pool) will be permitted to use the slides. Offsite Trips/Excursions & Special Guests Community excursions and special guests may be planned weekly. Please ensure all participants are at camp and on time for scheduled trips and excursions. All offsite trips and excursions are subject to differing arrival and departure times, between 7:30 am 7:00 pm. The Municipality of Kincardine Summer Day Camp has the right to cancel trips due to inclement weather or other extenuating circumstances. Trips will be cancelled by 7:30 am on the scheduled trip day. Refunds will be issued in the event a trip is cancelled. 8

Offsite Trips are scheduled for Weeks 3 & 7. Week 3: Campers will be traveling to Kitchener to Go Banana s and the Kitchener Children s Museum. Campers will enjoy an hour of adventure climbing at this new activity center then travel up the road to the Children s Museum to explore their latest exhibit. Tentative Departure time: 8:00am Thursday July 19th Tentative Davidson Centre Arrival Time: 4:45pm Week 7: We had such a great response from our trip to Grand Bend last year visiting the Huron County Playhouse that we decided to visit again. How fitting that The Little Mermaid will be showing the week of our Disney Week! Tentative Departure Time: 9am Wednesday August 15 th Tentative Davidson Centre Arrival Time: 6:30pm (Play does not start until 2pm) WHAT TO BRING: Lunch & Snacks The Municipality of Kincardine does not provide lunch or snacks for participants. Please send your child with nut-free lunch and snacks, as well as reusable water bottle. As part of camp, food crafts and activities may take place. Please indicate any allergies your child may have on the Participant Information Form. Clothing Please send your child to camp with appropriate clothing for camp. Including: hats, closed toe footwear, bathing suit and towel (everyday) and any special items requested by camp staff. 9

Optional Purchase Every Friday we will be offering the purchase of pizza slices at $1.50 per slice. Slices can be purchased up until the Wednesday of each camp week. Menu options are limited to pepperoni and cheese. Every Thursday afternoon we offer the purchase of a frozen ice cream treat. Prices will vary according to treat purchased. Sample menu would be Rocket Popsicles, Fudgecicles and Ice Cream Sandwiches. These options may change. Frozen Treats are supplied by Emilio s Frozen Treats. Inclusion Services If your child requires assistance or accommodations in Summer Day Camp please fully complete the Participant Information Form. Any information given helps to improve your child s experience at camp. The Inclusion Coordinator may conduct meetings upon the family s request to ensure a positive experience at camp for camper, parent and staff.
