Overview What is Hotel Gainsharing? The Hotel Gainsharing process will provide all Flight Attendants the ability to create a request to cancel hotel reservations for either domestic or international hotel rooms for trips where they have found alternative lodging, in order to possibly receive a reimbursement for a portion of the resulting savings. Reimbursement is currently $20, this amount will be reviewed on an annual basis. How does it work? Gainsharing applies to both domestic and international rooms for trips where a Flight Attendant has found alternate lodging. A Flight Attendant needs to request cancellation for his/her hotel room in the Crew Communication System (CCS). o The window for making the hotel room cancellation request for a layover hotel (including day rooms) within the 48 contiguous United States and the Hawaiian Islands is no more than seventy-two hours (72:00) and no less than twenty-four hours (24:00) prior to the original check in time for the trip. o The window for making a hotel room cancellation request for all other layover hotels (including day rooms) is no more than seventy-two hours (72:00) and no less than forty-eight hours (48:00) prior to the original check in time for the trip. Once a room cancellation is made via CCS, it is final and you will not be able to undo the cancellation later. If your request is approved, you will be reimbursed a set amount for each cancelled room, currently $20. Gainsharing payments will be included in your 16 th of the month paycheck in the month following the room cancellation. Hotel Gainsharing Request Timeline 3

What additional things do you need to keep in mind? Room cancellations may only be accomplished by accessing and submitting a request via the CCS website. The amount reimbursed will be reviewed annually but will be no less than $20 for each cancelled room. A room may only be cancelled by the Flight Attendant who is scheduled to occupy it; Flight Attendants may not cancel hotel rooms for other Flight Attendants. A Flight Attendant who wants to do a Down Line Check-in must request the Down Line Check-In from Crew Scheduling prior to submitting the Hotel Gainsharing request. A Flight Attendant who has cancelled a hotel room shall thereafter be ineligible to trade or drop the trip on which the cancellation occurs. A Flight Attendant who becomes ill or who is reassigned or recrewed after canceling her/his hotel room must notify Crew Scheduling as soon as possible that she/he cancelled the room so that prompt arrangements for overnight accommodations may be made for the replacement Flight Attendant. Request Hotel Gainsharing via CCS You can make hotel room cancellation and view your cancellation requests electronically through the Crew Communication System (CCS). Please reference the CCS Overview on how to log in and navigate CCS. The CCS Overview can also be accessed by going to Flying Together > Inflight Services > OneUnited > s. Accessing Hotel Gainsharing Request Hover your cursor over Hotel Gainsharing in the CCS Main Menu tabs on the upper right hand corner in order to display the available transactions. Click on Hotel Gainsharing from the pulldown menu in order to access the Hotel Gainsharing screen. On your Link device, tap the second Hotel Gainsharing link under Mobile Menu. Terms of agreement Read the terms of agreement for Hotel Gainsharing. If you agree with the terms, click on Yes radio button and then click on Submit. You must click on Yes in order to proceed. If you click No and then click Submit, you will not be able to proceed. The terms of agreement will appear each time you access the Hotel Gainsharing Request page. 4

Selecting Hotel Gainsharing Items Pick the hotel(s) that you want to utilize Hotel Gainsharing for, and click on the checkbox next to your selected hotel. You may make more than one selection. Click Submit Selection. You will have a chance to review your selection in the next page. Note: Only the hotels that fall within the Hotel Gainsharing request window will appear on this screen. The window for making the hotel room cancellation request for trips operating solely within the 48 contiguous United States and the Hawaiian Islands is no more than seventy-two hours (72:00) and no less than twenty-four hours (24:00) prior to the original check in time for the trip. The window for making a hotel room cancellation request for all other trips is no more than seventy-two hours (72:00) and no less than forty-eight hours (48:00) prior to the original check in time for the trip. Confirming Hotel Gainsharing Selection(s) Review and confirm your Hotel Gainsharing selections. Click on the checkbox(es) under the Confirmation column and then click Confirm Selection. You may make more than one selection. Once you click Confirm Selection, you will be forwarded to the confirmation page and cannot change your selection(s) anymore. 5

Submitted Request Confirmation A confirmation page with your Hotel Gainsharing selections will appear. You may print the page for your records. Review Hotel Gainsharing Status via CCS You can view the status of your Hotel Gainsharing selections via CCS. Accessing your Hotel Gainsharing Report through CCS Hover your cursor over Hotel Gainsharing in the CCS Main Menu tabs on the upper right hand corner in order to display the available transactions. Click on Hotel Gainsharing Report from the pull-down menu in order to view your Hotel Gainsharing request status. On your Link device, tap the Hotel Gainsharing Report link under Mobile Menu. 6

Hotel Gainsharing request monthly view Under Select Month, select the month you want to review from the pull-down menu and click Retrieve. Note: Only the last 4 months (including the current bid month) will appear in the Select Month dropdown. Results will display the Hotel Gainsharing requests that you made for that month. For example, if you made a Hotel Gainsharing request in October 2016 for a hotel stay in November 2016, that request will appear in the October 2016 result. Hotel Gainsharing request results Once you click Retrieve, a list of Accepted, Denied, and Pending Hotel Gainsharing requests will appear for the month if any requests have been made for the month. The requests are grouped by their status. Frequently Asked Questions 1. Why does my December 2016 hotel room not appear in My Hotel Gainsharing Request screen under December 2016? If you made the request in November for a December hotel room, then the request will appear under November in the My Hotel Gainsharing Request search results. 7

2. Why do I only see a subset of hotel rooms when I go to the Hotel Gainsharing Request screen? The only hotel rooms that will appear in the Hotel Gainsharing Request screen are the hotels that fall within the cancellation window. The window is 24-72 hours prior to original check-in time of the trip for domestic hotel rooms, and 48-72 hours prior to original check-in time of the trip for international hotel rooms. In addition, please note that it is based on the original check-in time of the trip, not the hotel check-in time. 3. If the check-in time for my trip changed, does it impact when I can make my Hotel Gainsharing requests? A Hotel Gainsharing request window is based on the Pairing Start Date and Time. If the Pairing s Start Date and Time is changed, then the window to create the Hotel Gainsharing request will also change based on the new Pairing Start Date and Time. 4. Why is my Hotel Gainsharing request in pending status? If a Hotel Gainsharing request has not been approved, the request will be in a pending status. 5. I have a question about the Hotel Gainsharing reimbursement in my paycheck. Who do I contact to find more information? Please contact Crew Pay if you have any questions regarding the reimbursement in your paycheck. 6. What is the window for making Hotel Gainsharing cancellation requests if there are both international and domestic hotels in the same pairing? The window for making cancellation requests is based on the location of the hotel. If the hotel is located within the 48 contiguous United States and the Hawaiian Islands, then the window for making cancellation requests is 24-72 hours prior to the original trip check-in time. If the hotel is located outside of the 48 contiguous United States and the Hawaiian Islands, then the window for making cancellation requests is 48-72 hours prior to the original trip check-in time.
