Girl Scouts - North Carolina Coastal Pines, Inc. 6901 Pinecrest Road, Raleigh, NC 27613 800-284-4475 EVENT CONFIRMATION: CHOOSE YOUR WEEKEND TROOP CAMP ADVENTURE Event Name: Date & Time: Event Location: Choose Your Adventure Troop Camp Friday, March 24, 2017 at 6:00pm*- Sunday, March 26, 2017 at 10:00am Camp Hardee 752 Camp Hardee Road Blounts Creek, NC 27814 *Evening activities will begin 7:45pm. If you re troop will arrive after 7:30pm, please let me know your approximate arrival time so that there will be staff available to assist you. Check-In: Troops may begin to arrive at Camp Hardee no earlier than 6:00pm. You will meet staff in the lodge, have your troop roster (last page of this packet) ready to hand in. If the original number of girls and/or adults change, please contact me as soon as possible so that arrangements can be made. You will be given cabin assignments during check-in. Feel free to use the wagons in the parking lot to haul gear to your cabins. All cars should be backed in and must remain parked in parking lots until check-out Sunday morning. Health History forms and emergency contact information should remain with the troop first-aider. TP105 Parent/Guardian Permission for Troop Outing and Health History Form for Girls TP106 Adult Health History Form Sleeping Arrangements: All troops will be in cabins, few are heated. Plan accordingly and bring layers, nights can get chilly. Girls and adults will sleep in separate cabins however they will be in close proximity to each other. Girls and adults from different troops may share cabins depending on numbers. ALL adults MUST be registered and have successfully completed a background in order to participate in this event. Attire: All activities will take place outdoors; we encourage all girls and adults to bring layers as well as wear closed toed shoes with socks. If you will be participating in waterfront activities, it is suggested that you bring an extra pair of shoes. Please see the attached packing list for additional items and suggestions. Troop First Aiders: Troop First Aiders are responsible for having a troop first kit and a TP105 Troop Permission and Health History form for each girl on hand at all times. It is recommended, but not required, that each adult in attendance complete a TP106 Adult Health History form as well. Snacks/Food: Everyone should plan on eating dinner prior to arriving Friday evening. S more will be provided at campfire. For troops who have purchased meals, provided meals include breakfast, lunch, dinner and snacks on Saturday and breakfast on Sunday. If you have purchased meals and have food allergies within your troop, please send a list to nbailey@nccoastalpines.org. For troops who are providing their own meals, there will be adequate time allotted for cooking meals. Please store ALL food in air-tight containers and cooler. We ask that all food be stored in the Davenport Shelter, not the cabins. Please be sure to bring enough containers to protect food and supplies from critters. At the conclusion of each meal, it is your responsibility to clean the area and haul all trash to the dumpster in the

parking lot. Every girl and adult are asked to bring a dunk bag and mess kit. A mess kit includes an unbreakable and reusable plate, bowl, cup, fork, spoon & knife in a mesh bag. Already assembled mess kits can be purchased or piece can be brought individually at your local dollar store. All troops: please do not bring food and sugary drinks into the cabins. Water only! Check-Out: Troops can expect to leave at 10:00 am on Sunday March 26, 2017. All cabins and bathrooms must be swept clean and free of trash and belongings before leaving. All shelters and fire rings must be cleaned and all trash placed in dumpsters before leaving. Cabins, bathhouses, shelters and fire rings will be checked by event staff prior to check out. TROOP CAMP POLICIES Troop Leader Responsibilities: Leaders and chaperones are responsible for their camper s safety at all times. Campers should always use the buddy system and be accompanied by an adult. Leaders should make sure campers are practicing proper hygiene and have blankets and clothing appropriate for the weather. Automobiles: Cars are to remain parked in the parking lot from check-in on Friday until check-out Sunday morning. Drive slowly and with caution; cars are used for emergencies only. Shoes: Closed toed shoes with a back must be worn at all times and at all activities. Tobacco and Alcohol Free Zone: All Girl Scout properties are tobacco and alcohol free and the use of such products is prohibited on all council properties, buildings and vehicles. Buddy System: Campers should always use the buddy system; they should never go anywhere alone. This is a safety practice in which girls look out for their buddy or partner. Girls should always be within sight of their troop leader and/or chaperones. Medications: The troop first aider is responsible for dispensing all prescription medications to girls. All medications should be kept in a locked box or the troop s vehicle. Camp Kapers: Kapers are part of the camping experience, it is every Girl Scout s duty to leave a place cleaner than they found it. Each group is responsible for keeping their sleeping areas tidy, putting all trash in the trashcan and cleaning the bathroom prior to checking-out.

TENTATIVE SCHEDULE Friday, March 24, 2017 6:00-7:30pm Check-In and unpack in units 7:45-8:00pm Leaders Meeting Please send one adult from each troop to meet with event lead in the lodge. We will discuss the plan for the weekend, schedules, camp rules and procedures as well as answer questions. 7:45-8:45pm Campfire, SWAPS* and S mores at the Fire Circle 10:00pm Lights out *SWAPS are a special Girl Scout tradition. It stands for Special What-cha-ma-call-its Affectionately Pinned Somewhere, they are little trinkets girls make and can trade with each other. If your troop has time, feel free to bring SWAPS for the campfire. Saturday, March 25, 2017 All registrants will have a nature activity and themed craft. Depending on your activity registrations, your troop may have several activity blocks for troop specific activities and to explore camp. You can use this time to work on badges, Journey activities, craft projects, play games or just spend time together. It s up to you!
