Sunquest Collection Manager (Monitor) Collection Manager is a Sunquest application that is used to positively identify patients and print labels at the patient s bedside to eliminate the risk of specimen mislabeling and streamline specimen collection workflow. The following documentation provides the proper workflow to utilize for this application. 1. Begin by accessing MyApps with Tap and Go and enter your User name and Password, Figure 1. Within the erecord folder locate and double click the Collection Manager icon, Figure 3 Figure 3: Collection Manager Page 1 of 16
4. The Sunquest Collection Manager application opens, Figure 4. Figure 4: Sunquest Collection Manager 5. Users will be automatically logged in with the Sentillion Single Sign On, Figure 5. Figure 5: Login 6. The Patient List screen displays. Select Edit from the tool bar and select Search to locate the Unit and Patients, Figure 6. Figure 6: Patient List Page 2 of 16
7. The Modify Patient List screen displays. In the Locs field enter the unit location to monitor patients and press Tab on the keyboard. Note that after the first log in the user s selected location will be the default, Figure 7. Figure 7: Modify Patient List 8. Specify the Unit locations and rooms by placing a check mark in the designated radio button, Figure 8. Figure 8: Modify Patient List Page 3 of 16
9. At the Work List screen left click the ID Patient button to access the Patient Scan screen, Figure 9. Figure 9: Work List 10. The Patient List screen displays orders with Priorities in Red. Patients with orders display the scheduled collection times. Users have the ability to sort by Location by selecting that column heading. An asterisks (*) displays when multiple orders are present. Priority is identified with S= Stat, TT=Timed Test and are color coded. Orders to be Collected displays 4 hours back and 2 hours ahead. Orders will stay on the screen until collected or cancelled. Left click the Refresh to update the screen. Add or Remove patients with the + or buttons: patients must be manually removed, Figure 10. Figure 10: Patient List Page 4 of 16
11. Double click a desired patient to display orders. Click ID Patient to display the Patient Scan window, Figure 11. Figure 11: Patient List 12. The Patient ID CLM window displays. 13. Upon scanning the wristband the Patient ID window displays. Verify the patient ID and click Confirm, Figure 13. Figure 13: Patient ID 14. After selecting Confirm the Collect CLM screen displays. The first order defaults as highlighted; note the patient demographics, accession number time and date of order, test code and laboratory identifier. 15. Click the patient s name to highlight multiple orders. Always leave the tubes checked and send all labels to the lab, Figure 15. Figure 15: Collect 16. Click individual orders (accessions) to collect. Green highlighted orders are selected for collection. Timed test is not highlighted leave for collection at the intended time of 1600, Figure 16. Rescheduling in Collection Manager Reschedule an order or portion of an order if unable to obtain the specimens required. Move an order to a future time if the patient is unavailable for intended time of collection (ex. Patient off unit for other testing). Move one or more tests in an order if unable to obtain during collection (ex. the blue top was collected, but the gold top was not able to be collected). Routine specimen was not yet collected and is reaching the set window in Collection Manager for viewing and collection. (ex. the intended collect time is 4 am and at 8 am, the order will no longer be viewable). 1. At the Collection screen click Edit after printing labels. Two options exist: Select the entire order (accession) or a single test, Figure 21. Figure 21: Collect Page 10 of 16
2. Select Reschedule from the drop down menu, Figure 22. Figure 22: Collect, Reschedule 3. Reschedule one test by clicking it once, Figure 23. Figure 23: Collect Page 11 of 16
4. The Reschedule screen displays with that test displaying in the Tests to Reschedule window. Select Save to continue, Figure 24. Figure 24: Reschedule 5. Reschedule multiple tests by selecting the entire order (accession) on the Collect screen. Select the individual test from the Test window and select the double arrows to move those tests to the Tests to Reschedule window, Figure 25. Figure 25: Reschedule Page 12 of 16
6. Change the time by hour or minutes as required. Enter a reason code in the Reason Code field. Hard errors will display when these fields are not populated, Figure 26. Figure 26: Reschedule 7. Uploads reschedule to the Lab system. The order moves with a new accession number and time and reason code. The Containers also update and the tube for the rescheduled test is removed, Figure 27. Labels 1. The Collection Manager Label Custom is designed to meet label information requirements. Ensure that the patient name is aligned with the top of the tube. Remove the small bottom foot labels before placing on the tube, Figure 28. Figure 28: Collection Manager Label 2. Temporary Labels can be used for labeling samples with no orders or samples that do not print labels. The temporary label prints the Patient ID and Time and Date, Figure 29. Figure 29: Temporary Labels 3. Blood Bank Labels and Collection Manager electronic TECH CODE is generated from the logged in user. It is labeled to indicate BLOOD BANK sample, Figure 30.
