CHANGE AND CONTINUITY: CELEBRATING BIR s 70 th ANNIVERSARY In 2018, BIR will celebrate its 70th anniversary. This coincides with a growing recognition of the importance and success of the recycling industry at a global level. The recycling industry s contributions to global GDP, employment and waste reduction, which indirectly also controls human health, cannot be overlooked. Over 1.6 million people worldwide are active in the recycling industry. Together, they handle more than 600 million tonnes of recyclables every year. With an annual turnover of more than US$200 billion, the sector is a key driver for sustainable development. Our industry is coming into sharp focus as an essential contributor to help meet some of the UN 2030 sustainable goals by promoting the Seventh Resource, i.e. recyclables, and above all annually saving over 700 million tons of CO2 emissions. For over 70 years BIR has guided the global recycling industry sector, which has grown during that time from a small group of processors and traders to a major, mainstream industry. The recycling industry has an enormous potential for growth and change. We hope you ll join us in Barcelona and continue to help us drive the industry forward for decades to come. BARCELONA AN EXCELLENT LOCATION Located on the shores of the Mediterranean, Barcelona features pleasant and warm temperatures, inviting you to enjoy one of the world s best city beaches all year round. A Gothic and Modernist marvel, Barcelona is quirky, cosmopolitan and effortlessly cool. It breathes life, with its busy street markets, trendy bars and cafés, pulsating night clubs and the breeze from the Mediterranean sea. The city offers excellent transport links by air, by rail, on the road or on water. The international airport El Prat is located 16 kilometres south of the city and is connected with airport shuttles, trains and buses to the city center. Barcelona has also direct national and international train connections, a comprehensive regional and suburban rail network, as well as excellent road links and motorways. 2

It is located on the renowned Avenida Diagonal in the heart of Barcelona s most exclusive residential, financial and shopping district, and within 15 minutes reach from Barcelona Airport. BIR has pre-booked rooms at preferential rates for its delegates. Participants should register online and book their hotel room online via the BIR convention website by 15 April 2018 at the latest. After this date, accommodation at preferential rates cannot be guaranteed. CONDITIONS OF ATTENDANCE The convention is only exclusively accessible to fully registered delegates representing member companies and national associations affiliated to BIR, which have paid their 2018 annual membership dues to BIR, as well as to special guests and Observers (subject to conditions). Membership within a national federation affiliated to BIR does not automatically entitle a company to register delegates to the convention at the reduced BIR member conditions, apart from members of the host country s national associations FER, GREMI, and REPACAR. BIR does not offer a daily registration rate. Each delegate must pay the FULL registration fee mentioned below, regardless of the time spent at the convention and the number of meetings they are interested in. You are not a BIR member Observer registration status can be granted to representatives from non-bir-member companies for a maximum of ONE convention. After that, every observer needs to make sure that his/her company joins BIR as a member in order for him/her to attend any future conventions. Please note that for new members to be able to register to the BIR 2018 Barcelona Convention, their membership applications must be submitted by 2 May 2018 at the latest. You are an Exhibitor The exhibitor s official representatives must register by filling in the online registration form via a dedicated link and password which will be sent to you by email as soon as stand booking is confirmed. You are a Young Trader Young executives (up to the age of 35) of BIR members companies can participate in BIR conventions at a reduced fee. A Young Trader can participate in all commodity and trading sessions and is entitled to take part in the Young Traders Networking Evening (at an additional fee), which represents an excellent networking opportunity. Please note that a passport copy must be provided when registering as Young Trader. PAYMENT We accept bank transfers and Visa, MasterCard and American Express credit cards. Payment is due upon receipt of the invoice and must be made in Euro, without deduction of any bank charges. Bank transfers must specify full details of the payer. Deadline for acceptance of bank transfers: 27 April 2018. After this date, only credit card payments will be accepted. CANCELLATION AND REFUND POLICY BIR is aware that your business environment is continuously changing, and our aim is to support you with a flexible approach when it comes to BIR convention registration cancellations. However, please keep in mind that we commit to expenses for each participant well in advance of the event and we must strictly adhere to the cancellation and refund policy outlined below. REFUNDS There will be no refunds: - On Divisional Luncheon tickets; - On 70 th Anniversary Celebration; - To participants not attending plenary meetings, workshops, coffee breaks, luncheons or evening functions included in their registration fees. CANCELLATION All cancellations of registration must be notified in writing to bir@clq-group.com and will be subject to the following conditions: - Cancellations received on or before 27 April 2018: full refund of the registration fee minus an administrative fee of 250 EUR; - Cancellations received after 27 April 2018: no refund will be granted. Any applicable refunds will be processed after the convention. Any refunds to credit card payments may only be credited back to the original credit card and cannot be refunded to a different card. In case of overpayment or double payment, refund requests including valid proof of the overpayment or double payment must be made in writing to bir@clq-group.com no later than 2 weeks after the closure of the convention. SUBSTITUTION Substitutions are permitted until 4 May 2018. Substitutes must work for the same company as the original registrant, must be in the same registration category (or additional fees may apply) and invoicing information must stay the same. Substitutions must be notified in writing to bir@clq-group.com. Once a badge has been issued onsite, substitutions are no longer allowed. Sharing of registrations is not permitted. The BIR Convention Registration Terms and Conditions apply to all registrations. VISA Some participants may need a letter of invitation from the convention organisers in order to obtain a visa for entry into Spain. The organisers will not be able to contact or intervene with any Spanish embassy or consulate office abroad on your behalf. This procedure is intended to assist participants who need to obtain a visa or permission to attend the 2018 BIR World Recycling Convention & Exhibition and is not an official invitation covering fees and/or any other expenses or financial support from BIR. Please start the visa application process as early as possible and at least six weeks prior to your departure. The organisers are not to be held responsible for the outcome of your visa application. When you are registering, please tick the appropriate box to indicate that you require an official letter of invitation. Passport number, date and place of issue and expiry date will need to be filled in. You will receive your official letter of invitation automatically by email within a week after receiving your payment. Important: BIR declines any responsibility in case a participant does not obtain his/her visa in due time. Should a delegate cancel 11

his/her registration/hotel reservation because a visa has not been granted, the delegate will be bound by the convention registration terms and conditions. We recommend that delegates subscribe to an insurance covering any possible cancellation charges of their trip. ACCOMMODATION BIR has pre-booked rooms at preferential rates for its delegates at the convention headquarter hotel, the Sofia Hotel. Participants should register online and also book their hotel room online via the BIR convention website by 15 April 2018. After this date, accommodation at preferential rates cannot be guaranteed. IMPORTANT: Only reservations made through the supplier officially appointed by BIR will be subject to preferential rates*: Sofia Hotel Plaça de Pius XII, 4, 08028 Barcelona, Spain Unauthorised vendors/booking agents might contact you by phone or email using a fake BIR logo or fake BIR credentials. DO NOT enter into a commercial relationship with such companies under any circumstance. *If booking is made through the Online Registration Portal: Category Occupancy Room rate* Single 278 e Harmony Double 318 e *HOTEL ROOM RESERVATION CONDITIONS These rates are per room and per night. These rates are quoted in Euros; add 10% VAT and add City tax 2.48 euros (VAT included) per person and night. BUFFET BREAKFAST: included in the room rate. Full payment is required upon reservation. CHECK IN / CHECK OUT: rooms will be made available to guests from 15:00 on the day of arrival. Likewise, rooms must be vacated by guests by 12:00 at the latest on the day of departure. 12

SERVICES AT THE CONVENTION REGISTRATION DESK OPENING HOURS Sunday, 27 May 2018 14.00 to 18.00 Monday, 28 May 2018 08.30 to 18.30 Tuesday, 29 May 2018 08.30 to 18.00 Wednesday, 30 May 2018 08.30 to 15.00 Upon arrival at the BIR convention registration desk, all registered delegates will receive their badge, invitation cards and ordered tickets, as well as the final programme of the convention and a list of all registered participants. ACCESS TO THE CONVENTION, EXHIBITION AND NETWORKING AREA Registered delegates and guests must wear their badge at all times. Access to all meetings, exhibition & networking areas, plenary sessions, luncheons and social events is restricted to registered delegates and guests wearing their badge and showing the relevant invitation cards or tickets. For security reasons, badges are strictly personal and will include a photograph of the badge holder. Registered delegates and guests are kindly requested to always carry a photo ID or a copy of their passport. YOUR BADGE IS YOUR PASSPORT TO THE CONVENTION! Lost badges and tickets will not be replaced and will imply new registration. Registered delegates are directly supporting the global recycling industry, as all BIR convention profits are reinvested in BIR s policy, lobbying and research work to enhance membership service. LIST OF PARTICIPANTS A list of participants (registered by 10 May 2018) is provided to all registered delegates in order to help identify potential business partners (including delegates names, company names, division codes and email and/or mobile phone number when authorised by the delegate). An additional list of late registrants is available at the convention registration desk. Registered BIR Gold Members will have regular priority access to the updated list of participants as from 16 April 2018. As from 30 April 2018, all registered BIR Members will have access to this list. 13

BIR CONVENTION MOBILE APP A dedicated BIR convention mobile app will be exclusively available to all confirmed registrants as from 15 April 2018. It will allow you to: View schedules, explore sessions, and find networking events See who s at the convention, and connect with them on the app Find exhibitors and sponsors, and leave comments or ratings Create your personal schedule for easy conference attendance Access location and speaker information at your fingertips Participate in live polls during sessions and complete surveys Interact with a real-time feed of all event activity that showcases which sessions are trending, most popular photos, and popular discussion topics Earn points and prizes for being active on the app and at the event An email with instructions to download the app will be sent to all participants upon confirmation of their registration. SIMULTANEOUS INTERPRETING Simultaneous interpreting in English, French, German and Spanish will be provided during all plenary sessions. Workshops will be held in English only. DIVISIONAL LUNCHEONS Three divisional luncheon tickets are included in the delegate s registration fee. Please indicate the day of your required luncheon(s) by checking the appropriate box on the online registration form. COMPLIMENTARY COFFEE/TEA AND CASH BARS Complimentary coffee and tea will be served and a full cash-bar will be available in the exhibition and networking area (for opening hours see the provisional schedule of meetings). PRESS Registered journalists will have access to telephone and Internet facilities in the BIR press room. In addition, a press table will be available in the exhibition & networking area for the trade press to display their publications. Commercial advertising is not permitted on the press table.

BIR GOLD MEMBERS Delegates representing BIR Gold Member companies benefit from special discounted reduced registration fees (20% discount as from the 3 rd registered delegate) and priority access to the list of participants (as from 15 April 2018 for registered BIR Gold Members). They also have exclusive access to the Gold Member Lounges (open on Monday, Tuesday and Wednesday) with DISCLAIMER BIR may not be held responsible for any loss, injury or damage to any property, whatever the cause may be. Liability of persons and enterprises providing means of transportation or other services, however, remains unaffected. Should the venue or speakers change, or should the event be partially or completely cancelled for any reason outside the organiser s control (including, but not limited to, acts of terrorism, extreme weather conditions and/ or industrial action), the organisers will endeavour to re-schedule, but shall not be held responsible for any costs, damages or expenses incurred by the registrants. If for any reason the organisers decide to make material changes to this convention, they are not responsible for airfares, hotels or other costs incurred by the registrants. The customer takes part in the convention, all tours and functions at his/her own risk. The organisers may not be held liable for any costs or damages incurred as a result of events outside of their control; including, but not limited to, force majeure, strikes and/or public manifestations. Only written arrangements are binding. The sole registered office of BIR is located in Brussels (Belgium). In any disputes that may arise concerning the execution or interpretation of the present General Regulations, both parties agree that they will be subject to Belgian law and that the commercial courts of Brussels will be competent, without prejudice to BIR s right to initiate proceedings under the laws and before the courts of the participant s registered office in the event any sums are due by the participant to BIR. Registration of a participant entails acceptance of these conditions.
