Travel Coaches Tuesday 15 th July 2014 We will be depart Horizon CC on Oakleaf Coaches on Tuesday 15 th July at 02.00am prompt. You need to arrive at Horizon CC at 01.15am. As you can appreciate there is much to organise and it is essential you arrive on time. Standard procedures apply; Seatbelts to be worn at all times (a legal requirement) No Rubbish to be Left on the bus no fizzy drinks allowed The bus and its driver are to be treated with care and respect. The coach will have the following: Coach Leaders, Christine and Hugh, who will be responsible for all passengers welfare and who will be in direct contact with the travel leader Toilet facilities although will only be used if people are desperate! We expect passengers to go to the toilet before setting off. MD s/volunteers to supervise members (all CRB Checked) Qualfied First Aiders A First Aid Kit, Sick Bags and Rubbish Bags Please make a volunteer aware as soon as possible if young people do not travel well. Any travel sickness tablets should be taken in advance and handed in to a volunteer for the return journey. Flights Airline Wizz Air Flight Numbers: Outward W6 2502 Inbound W6 2501 Depart 15/07/14 07.35 Luton to Riga - Arrive 12.15 local time Return 20/07/14 06.00 Riga to Luton Arrive 06.50 local time Baggage 1 case/bag allowed in the hold weighing no more than 22kg 1 bag allowed on the plane (hand luggage) measuring no more than 42x32x25 cm. If you wish to take a handbag this must be placed inside your Small bag prior to check in. No liquids are allowed on the plane except medication (please speak to Hugh or Christine prior to the 15/07/2014 if you need to take medication on the plane) All makeup should be put in your case in the hold not in hand luggage. No glue is allowed in either bag or case this includes nail glue. No meal included in the flight Snacks are available on the plane these will need to be paid for by the individual Any flight delays will be published on the BYC Website

Accommodation Doma Hostel, 8 Maza Jaunavu Street, Riga, Latvia Phone - +371 67213101 The hostel consists of 80 rooms in total BYC have sole use of the hostel during their stay Rooms to be allocated on arrival Kitchen and laundry facilities available Meals Breakfast, lunch and evening meal will be provided by BYC Other food/snacks/drinks will need to be purchased by the individual. Medication/Medical Conditions Any medical conditions should be disclosed to Hugh Ritchie by the 26/06/14 as failure to do so could invalidate our Insurance. You should advise Hugh Ritchie of any medication you will be required to take during the trip by 26/06/14. Paracetamol not to be carried by individual as BYC will provide these where necessary. Medication will remain the responsibility of the individual throughout the trip. Mobile Phones Children are permitted to take a mobile phone. Please note that these will remain the responsibility of the individual at all times. Any roaming or data charges incurred whilst in Riga or the UK will remain the responsibility of the individual and will not be paid by BYC. We strongly advise that you check the charges you will incur whilst in Riga with your network provider prior to leaving. General Please ensure your parents have signed a consent form by 03/07/2014 We recommend that members bring no more than 80 Euro s and 20 sterling spending money and this will be the individual s responsibility throughout the trip. Passports and EHIC cards should be checked to ensure they are valid and will remain the responsibility of the individual throughout the journey. On arrival at Doma Hostel they will be locked in a safety deposit box for the duration of the trip.

In the unlikely event that parents need to contact us about an emergency a volunteer will always be available on this number. The phone will never be switched off. What do I need to bring? Please ensure you have a cabin bag to carry things round with you, ie uniform, shoes, whilst you are in Riga. Passport & EHIC Card Toiletries (no aerosols please) and Towel Underwear 2 pairs of smart black trousers (Including concert trousers for boys) & 2 other of own choice (4 in total) No Shorts 3 x BYC Riga T-Shirts (provided by BYC), Blue rehearsal BYC t-shirt, Coloured BYC t-shirt (should already have) Navy Blue BYC Polo Shirt (should already have) 1 BYC Riga Hoodie (provided by BYC) & 1 BYC Hoodie (if have one) 1 BYC Concert Dress (Girls only) (Provided by BYC at a cost to members of 25) 3 Performance Shirts, 1 pair performance trousers, (Boys only) (all provided by BYC) 1 pair of concert shoes (Provided by BYC) 1 pair of comfortable shoes & Girls 1 pair of flat black shoes 1 pair of slippers/indoor shoes Pyjamas and Dressing Gown 5 pairs of black socks 2 pairs knee length flesh coloured pop socks or tights (girls) Spending money no more than 80 Euro s and 20 sterling Books, playing cards. Mobile phones are allowed but will not be the responsibility of Doma Hostel or BYC Travel Plug, Hairdryer, Straighteners, Plain Navy/Royal Blue hair bobbles / hair clips for girls Only Clear nail polish should be worn no coloured nail polish will be allowed. Jewellery should be kept to a minimum and should not be worn during performances Please ensure you write your name in all clothing.

BYC Code of Conduct Riga 2014 Volunteers We will remember that this trip is for the enjoyment of everyone concerned We will behave at all times as we would expect the members of our choir to behave, and be ambassadors for Barnsley and Great Britain. We will not smoke or drink alcohol during the trip We will have the safety and wellbeing of our choir members and fellow volunteers in mind at all times. We will be clear in what we expect from our choir We will be consistent in our interpretation of the Choir Code of Conduct We will not tolerate inappropriate language, bullying, fighting or racism. Choir Members We will remember that this trip is for the enjoyment of everyone concerned We will behave at all times as ambassadors for Great Britain, Barnsley and our Choir We will listen to, and follow the instruction of, our volunteers, knowing that they have our interests and safety in mind We will be mindful of our own safety and carry emergency contact details with us. If we have a problem of any kind we will inform a volunteer immediately. A policy is in place to mediate in disputes. If we break the terms of this Code of Conduct, our parents will be informed and sanctions up to and including exclusion from the trip and immediate return home at parent s expense will be invoked. We will have the safety and wellbeing of our choir members and volunteers in mind at all times. We accept the volunteers have the right and duty to examine the contents of our bags and pockets on request. No Alcohol or tobacco to be carried or consumed for the duration of the trip. There will be Zero-Tolerance policy on drugs. Possession of any amount will lead to immediate exclusion. There will be no inappropriate sexual behaviour for the duration of the tour. We will not tolerate inappropriate language, bullying, fighting or racism Irrespective of the conduct of non-members we will ensure that our standards of conduct are exemplary.

Questions and Answers Q. When do you know results? A. Not 100% sure but we think Saturday PM at the Arena. Q. Is there a weight limit on the hand luggage? A. No weight limit just size limit. Q. How long is the flight? A. Approximately 2.5 hours Q. Have you seen any menus for the hostel? A. No we will source food when we get there as we don t know exactly what will be available in each location until we arrive. Q. What about mobile phones? A. These can be taken but are the responsibility of the member at all times and cannot be taken in to certain events such as the closing ceremony. Q. On the Saturday morning would members be able to buy souvenirs? A. If we have time we will need to decide this on the day. Q. Will there be rules for how the hair should be worn? A. It will be the same as normal concerts off the face. Q. Should we take another pair of smart shoes? A. Boys if you want to you can. Girls should take a pair of smart flat black shoes to wear with black trousers. Q. Should members wear BYC t-shirts/hoodies when travelling? A. Yes Q. Have sleeping arrangements been decided? A. No this will be decided when we arrive. Q. Will the performances be recorded for families to see back home? A. We are not sure at this point what filming can be done but we will look into this.

Q. Could members take a camera? A. With the quality of cameras on phones being so high we would hope this wouldn t be necessary. However a compact camera can be taken if needed but this will be the responsibility of the member at all times and may not be allowed into some venues. Q. What does insurance cover them for? A. We will send out details of the insurance for your reassurance. Q. Can members take hairspray/razors? A. Yes but they must be put in your case in the hold not taken onto the plane.
