What is the Historic Traveling Camporee The Historic Traveling Camporee is a three-day weekend adventure by chartered bus, and is an event designed to expose our Boy Scout youth and leaders to, and expand their knowledge of, our country s heritage. It is fun, educational and one-of-a-kind ~ one of Scouting s mountaintop experiences. Out of almost three hundred councils across the United States, Northeastern Pennsylvania Council is the ONLY Boy Scout Council to host Traveling Camporees on a biennial basis on this large a scale. Optional expenses may be souvenirs, snacks and/or added attractions as decided by your individual troop or crew. WHO CAN GO: By Troop or Crew at least two registered adult leaders MUST BE in attendance from each Troop or Crew registering. Reminder: ALL leaders and/or parents MUST be registered with their Troop or Crew and MUST have completed Youth Protection Training and PA Background Clearances!) 2 nd -yr. Webelos if invited by their Troop only! (MUST attend with a parent, who must be registered with their unit first [if not already registered as a leader], and will need to complete Youth Protection Training and PA Background Clearances!) Individual Scouts any registered Boy Scout or Venturer. Individual Scouts must go with a parent or connect with a Troop or Crew already signed up. (Note: If not already registered, a parent must register with their Troop or Crew first and will need to complete Youth Protection Training and PA Background Clearances.) Note: Please remember.this is a weekend campout accompanying adults (and Scouts) MUST be prepared for all contingencies. You WILL be doing a LOT of walking!!! RESERVATIONS: A $50 non refundable deposit for EACH individual attending will reserve your seat. PLEASE NOTE: Deposits may be transferred to a new participant, but cannot be returned or transferred to an individual already registered! Deposits made by May 31 st will guarantee you a seat on a bus! After May 31 st, as buses fill up, you may be placed on a waiting list until there are enough reservations to fill the next bus. Don t delay this trip is going to be a popular one! After initial deposit is made, payments can be made in $35 increments, or paid in full at any time; however, whatever way you decide to pay, payment in full is due on or before September 10 th, 2016. Any payments made after September 10 th will be required to add a $25 late fee! Note: payment books are available if you would like to pay off your balance in monthly increments. However, payment books are not necessary to make a payment; only if you think it will make it easier for you. DRESS: Class A Scout field uniforms ARE REQUIRED! (pants, shirt, socks, belt &Scout hat). This is the uniform of the Boy Scouts of America. Remember, we are going to be ambassadors of our Northeastern Pennsylvania Council AND the Boy Scouts of America. PLEASE keep shirts tucked in! General neatness is the order of the day. NO camouflage clothing is allowed! (Leaders and Senior Patrol Leaders are responsible for enforcing these rules.) Departure time from PNC Field (Yankees Stadium in Moosic) will be 6:00 a.m. on Saturday, October 8 th. Plan on arriving at the stadium at 5:30 a.m. for a 6:00 departure. Return arrival time will be approximately 9:30 p.m., Monday, October 10 th. Cars may be left in the Stadium s parking lot over the weekend. You will be directed where to park. Keep in mind, that the Stadium will not be responsible for your car, so leave it at your own discretion! WHAT TO BRING: Following are basic items you will need to bring a full checklist is at the end of this packet. Each person must bring a tent or share a tent with another Scout from his troop (or parent). Also, sleeping bag, uniform, change of clothing, extra socks, underwear (also long underwear & gloves, if weather indicates), toiletries, flashlight, spending money, day pack, water bottle, rain gear, jacket, personal first aid kit, note pad, pen and some optional items camera and pedometer. Remember.BE PREPARED for any kind of weather! Note: ALL sleeping bags must be placed inside a stuff bag or extra strong garbage bag. NO LOOSE SLEEPING BAGS WILL BE ALLOWED ON THE BUS! in order to avoid lost or misplaced gear, ALL GEAR MUST BE MARKED WITH YOUR NAME or INITIALS & YOUR TROOP or CREW NUMBER! Use duct tape or waterproof tags! WHAT NOT TO BRING: Because of limited space on the bus, NO large, external frame backpacks, fold-up cots, foot lockers, large picnic coolers or other unnecessary gear will be permitted. A duffel or gym bag is best. AGAIN MARK YOUR NAME or INITIALS and UNIT NUMBER ON YOUR GEAR! Due to ICC regulations, NO liquid fuel or propane tanks or canisters may be carried on board or in the underneath storage bays of the bus!
Northeastern Pennsylvania Council 2016 Historic Traveling Camporee Leader s Checklist Updated 3/26/16 ALL participants must use the Individual Registration Form found at the end of this packet. No exceptions. This form MUST be completed by the parent or guardian of the attending youth Scout! A BSA Consent Form (http://www.scouting.org/filestore/pdf/19-673.pdf ) must be completed by a parent or guardian for each Scout under the age of eighteen, even if the Scout s parent/guardian is accompanying them on the trip. These consent forms MUST BE in the possession of the trip leader at all times. All participating Scouts and adults MUST HAVE a current (one year old or less) BSA Health Form (signed by a doctor) can be a copy, but HAS to be legible and COMPLETE! These health forms must be in the possession of the trip leader at all times. Make sure all allergies (including food) are noted! Important: If your troop keeps all of their member s Health Forms in a binder, they MUST make a copy of your form to bring along on this trip!!! (Note: Just a reminder because of HIPA laws, health forms should be kept as private as possible.) (If you cannot get an appointment with your doctor to sign your Health Form in time for the trip, consider using a walk-in medi-center!) NOTE: Make sure all signatures lines are signed and immunization information is either attached or written in for BOTH youth and adults! All participants must have some form of identification on their person at all times. Group photo of all adults and youth participating from their unit. TO BE CLEAR the trip leader must have in their possession at ALL times the following items: Health Forms for ALL participants Consent Form for ALL youth participants A roster of ALL participants who are traveling with you from your unit. A group photo. Plan for the weather!! Make sure your Scouts and adult leaders bring gloves, hats, warm coats, long underwear and rain gear in the event of a cold and/or rainy weather forecast. We will be outside a large majority of the time. Be prepared! EVERY adult attending this trip MUST have completed Youth Protection Training and PA Background clearances! Adult & youth involvement in planning your Traveling Camporee experience! Assign an adult/s to work with your Troop or Crew s youth leadership. Patrol Leaders will work with their patrol members and report back to the Senior Patrol Leader as needed. Make sure adult and youth leadership have access to the registration packet for informational purposes. Checklist for Adult leadership: Trip fees have been paid. An up-to-date list can be obtained from pgibbons251@verizon.net All participating adults are registered members of the BSA & have completed Youth Protection Training and PA Background Clearances. A group picture has been taken of trip participants. Your trip leader has cell phone numbers for all adults and youth attending (for those who have cell phones). Health forms, signed by a physician, have been collected for each adult. Note: must be a legible copy. All participating adults have a form of identification on them. Checklist for Senior Patrol Leader. Senior Patrol Leader will task each Patrol Leader to assign a patrol member for each item. Once paperwork and information is collected, Patrol Leaders and Senior Patrol Leader will combine information with the assigned adult leadership. Trip fees have been paid. BSA Consent Forms have been signed by the Scout s parents and have been collected. Assist the assigned adult leader with the roster and collect youth cell phone numbers if any. Prior to the trip, plan your day in Niagara Falls, including looking for places to eat. Have each Scout be responsible for a different venue along the route, and be able to share with the group, any information regarding this venue. Assign sleeping arrangements. Have a plan in place for placement of tents. Bring a marker or small sign with your name & troop number on it to stick into the ground in front of your tent (or hang on). Use an identifying feature to mark your leader s tent. A glow stick works well! Remind Scouts that Class A (field uniforms) must be worn the whole weekend except while in camp. Remember, no one should be wearing camouflage clothing. If rain is indicated, remind Scouts to pack extra clothing inside Ziploc bags. Scouts should wear their uniforms to the bus on Saturday morning and will be required to wear them ALL weekend, except when in camp. Make sure ALL equipment is marked with each participant s name or initials and troop number. Use duct tape or waterproof tags. Each troop is responsible for enforcing this rule. Assign someone to bring extra duct tape and a black marker with you on Saturday morning. Remind Scouts that any personal equipment they bring onto the bus must be able to fit into the overhead compartments. If they are bringing cold drinks, a soft-sided cooler is best. Remind Scouts to bring their personal first aid kits. If rain is indicated, bring two tarps - one to set your equipment on and one to cover it while you set up your tents. Ask for volunteers to bring pedometers. You will be doing a lot of walking. Patches will be presented to you at a leader s meeting during the trip. Remind participants to use the Leave No Trace method of camping at ALL times. Remind Scouts to be neat and keep shirts tucked in at all times. We are representing the Northeastern Penn. Council and the Boy Scouts of America. We want to leave a good impression on everyone we meet. Remind Scouts to follow the Scout Oath & Law and be kind and courteous to all they meet. Help Wanted BUS CAPTAIN A Great Volunteer Position Duties include, but not necessarily limited to: Being second in charge of your bus, after the bus driver. Assisting in loading and unloading equipment on your bus. Taking accurate head counts (don t want to leave anyone behind). Making sure meal monies, if any, are distributed appropriately. Helping the bus driver get to the right destination. Helping your group stay on time and that they stick to their itinerary. Finding answers to your leader s questions. Attending bus captain s meetings before and during the trip Relaying information back to your group after these meetings. Bottom line helping to move a mass of people in a safe manner from here to there and back thereby, providing a great experience for our Scouts and Scouters.
