Advanced Worldspan Travel Segment Lesson: Travel Segment (TVL) General Description Objectives A Travel segment (TVL) is an itinerary segment that can be created for travel services or related information (e.g., bus, charter, seats, transfers, etc.) not booked through Worldspan. They can be used to book air space in place of a memo segment. TVL segments allow flexibility in creating, changing, or deleting information. They print on itinerary/invoices and ship to the interface accounting systems on interface level 15 or higher. Advanced Worldspan Travel Segment Mandatory fields of a TVL segment Identifier Description TN ZZ MK1 CRU 09OCT AN- Mandatory function identifier TN (travel need) changes to TVL once entered Mandatory two character vendor code. The vendor code indicates the company providing the service. Mandatory segment action/advice code and number of services confirmed or requested. Allowable action/advice codes are MK, ML, MN, MR. Mandatory three character associate type code. Associate type codes indicate the type of service confirmed for the traveler. Mandatory date. The year is assumed. Associate Name - this field identifier is mandatory when using generic vendor code ZZ. Vendor Codes The vendor code indicates the company providing the associate service. Only airline, car, and hotel vendor codes are valid for this field and are decoded and printed on itinerary/invoice documents. Activity: Vendor Codes 1. Access the vendor type code list for car companies. TVLCAR* A list of vendor type codes by associate type displays. ZZ - Other Vendors For any other vendor, use the code ZZ and include the Associate Name field, /AN-. The /AN- field prints on the itinerary/invoice. If an /AN- field is entered along with a valid vendor code, the information in the AN- field takes preference. Status Codes TVL segments with the status code of MK, ML, and MR print on the itinerary/invoice. The status code of MN is used for interface accounting and does not print on the itinerary/invoice. Advanced Worldspan Travel Segment MN Not available Quantity of Services The quantity of services only prints on the itinerary/invoice if the amount is greater than 1. This number prints after the decoded status (e.g., CONFIRMED - 2). Activity: Travel Segment - Status Codes Access INFO TVLS and review travel segment status codes. INFO TVLS Associate Type Codes The associate type code indicates the type of service confirmed for a client. Activity: Associate Type Codes 1. Access TVL* for an alphabetical list of all associate type codes. TVL* The description indicates what prints on an itinerary/invoice. Descriptions print only when an /IC-, /CRD-, or /DUE- field is included in the TVL segment. The above field identifiers are discussed later. 2. Access INFO TVLA and review. INFO TVLA 11/01 Page 12-5
Travel Segment Advanced Worldspan All associate type codes print with the exception of the ACC (Accounting Information). This associate type code does not print on the itinerary/invoice. Date Only the first date of the TVL segment prints on the itinerary/invoice. Access HELP TVLD and review the formats that can be used for dates in a travel segment. Assumed Year Indicator HELP TVLD Worldspan automatically appends a two-digit year indicator after the service begin and/or end date for all TVL segments. The year indicator prints on the itinerary/invoice documents and appears in history. Activity: Create Basic Travel Segment 1. Create a travel segment for Celebrity Cruises as an MK segment for the 15 th of April. TNZZMK1CRU15APR/AN-CELEBRITY CRUISES Celebrity Cruises does not have a vendor code identifier in Worldspan; therefore, use the ZZ vendor code and include the identifier /AN-. 2. Advanced Worldspan Travel Segment Field Identifiers Field Identifiers are 2 or 3 character codes that define the optional fields used in a TVL segment. There are approximately 120 field IDs available to create a TVL segment. All Field IDs are preceded by a slash (/) and can be entered in any order after the mandatory fields. Activity: Field Identifiers Access HELP TVLOPT and review the travel segment optional field identifier index. Remarks Section HELP TVLOPT The remarks section of the itinerary/invoice contains optional information entered in the TVL segment using the field identifiers /SI-, /FF1-,/FF2-, /FF3-, /FF4-, /FF5-, and /FF6- The contents of the optional fields print on itinerary/invoices; however, the field IDs do not decode or print on itinerary/invoices. Each remark option can contain up to 60 characters of freeflow information. The remarks print on a separate line on the itinerary/invoice. The optional remarks fields print last on an itinerary/invoice, regardless of the order they appear in the TVL segment. The /SI- field prints first and the /FFX- (X = 1-6) fields print in the order they appear in the PNR. 11/01 Page 12-7

Using the same PNR, create a travel segment for Royal Caribbean cruises departing the 15 th of May, returning the 22 nd of May, with a freeflow line for a non-smoking cabin. Include the confirmation number AB234. Service Fees 2.Display the PNR. Access INFO TVLEX and review travel segment booking examples. INFO TVLEX Service fees are an important part of an agency s daily operation. When this option is used in a travel segment, the service fee prints on the invoice and transfers to the back-office accounting system. Service fee travel segments can also be added to a World File to save time. Activity: Service Fees 1. Access HELP TVLSF and review the example for travel segment service fees. Add a $35.00 total service fee to your PNR using the 15 th of May as the date. /IC-, /DUE-, /CRD- TNAGMK1SVC15MAY/DUE-T35.00 If a /DUE- is entered, Worldspan automatically appends an /IC- field. The three field identifiers /IC-, /DUE-, and /CRD- affect the total invoice amount on an itinerary/invoice. If any of the three fields is included in a travel segment, the association type description prints on the itinerary/invoice. /IC- ITEM COST /DUE- AMOUNT DUE /CRD- AMOUNT CREDITED Equation: /CRD- + /DUE- = /IC- /IC-, /-DUE, and /CRD- are covered in greater detail in the Worldspan Mastering Documentation class. Modify/Cancel TVL Segments All areas of a TVL segment can be modified; however, only Field IDs can be deleted. One or more areas can be modified at once. Travel segments can also be canceled. Activity: Modifying a TVL Segment 1. Access HELP TVL@ and review the formats to modify a TVL segment. Switch to the opposite window. HELP T@ <F8> 2. Display your PNR. *R 3. Change the date on segment 1 to the 15 th of June. T@1/D-15JUN Booking messages are not generated when a TVL segment is canceled or modified. 4. TVL Retention Segments Retention segments are used as a means of keeping PNRs available for quality control purposes after a client completes his travel. PNRs with retention segments often appear with non-flown PNRs in a similar or exact name list display. Use the following procedures to place PNRs with retention segments at the bottom of a name list display: Create a TVL segment and add information according to agency procedures. End transaction and redisplay the PNR. Cancel a TVL segment and end transaction. The canceled TVL retention segment enables the PNR to remain in the Worldspan system 30 days past the segment date.
