EXHIBITOR PROSPECTUS The International Bottled Water Association (IBWA) and the National Automatic Merchandising Association (NAMA) will again conduct two of their conferences over the same dates and at the same location. The 2014 IBWA Annual Business Conference and Trade Show will be held on November 10-14 and the 2014 NAMA CoffeeTea & Water Show will be held November 12-14. Both conferences will be held at the Hyatt Regency, Dallas, Texas. The two organizations met together in 2012 and 2013. Feedback from conference attendees indicated that the co-locations were successful. In 2013 joint attendance reached 1000 registrants, an increase over 2012. Attendees were able to experience a new level of networking and education through access to 142 exhibiting companies during the trade show and by participating in the 33 educational sessions that were offered. IBWA and NAMA plan to continue to build on this success for their 2014 conferences in Dallas. PLAN TO EXHIBIT Many bottled water companies, particularly those in the home and office delivery (HOD) business, also offer coffee and tea to their customers. Co-locating the IBWA and NAMA conferences will enable attendees and exhibitors to achieve a greater return on their investment by providing expanded educational programming, exposure to a broader range of products and services, and increased networking opportunities. Joe Doss, IBWA President and CEO The IBWA Annual Business Conference is the only national bottled water-centric event held in the United States. According to the Beverage Marketing Corporation, bottled water sales increased by 4.0% in 2013, now totaling $12.3 billion. With sales on the increase again, and new regulations under the Food Safety Modernization Act (FSMA) being rolled out by the US Food and Drug Administration (FDA), attendance at the IBWA conference will provide the networking and educational opportunities companies and individuals need to continue to grow. Plan to exhibit at the 2014 IBWA Trade Show. IBWA and NAMA educational seminars, business sessions, and networking events will be held throughout the meeting dates, and the combined IBWA and NAMA trade show will be held on Wednesday, November 12, 2014. IBWA registration fees are again discounted for 2014 and they include access to all NAMA events. This will create an added incentive for bottlers to attend the 2014 IBWA Annual Business Conference. The exhibit fee includes: 5.5 hours of exhibit time with no competing conference events, followed by a one hour reception One complimentary badge for booth personnel; $289 for each additional badge Listing in the 2014 Conference and Trade Show Program Guide Post-conference attendee contact list Tabletop Exhibit Space 10 W x 8 D with 8ft. skirted table, 1 chair, carpet o $1,500 Member (Includes Speed Meeting Event) o $2,000 Non-member (Speed Meeting Event is not open to non-member suppliers) Deadlines: o Wednesday, September 24 Last date to submit application for inclusion in first round of the lottery drawing for booth assignments. o Thursday, September 25 Booth selection will be done via a lottery with IBWA members who have submitted completed Exhibitor Applications and provided payment. Five to eight companies will be notified each day and given 24 hours to respond with a selection. The floor plan will be updated and sent to the next group of exhibitors. Non-members will be notified shortly thereafter. o Wednesday, October 8 Last date to make corrections to listings for IBWA Onsite Program Guide; last date to order services from GES at discounted rates Badges: Each exhibiting company will receive 1 complimentary badge for booth staff. Each additional badge is $289. A registration form is attached that can be completed for badges. Badges cannot be swapped between employees or given to customers. Violations will result in confiscation. Furniture: One 8 long x 30 wide x 30 high draped table in a 10 ft. wide x 8 ft. deep space; one chair Display Rules: Materials must be displayed on the draped table. Displays/pop-ups can be used as long as they fit on the table and are stabilized to avoid falling. Coolers can be on the floor. One retractable banner stand is allowed within the booth space. No floor pop-up booths can be used. Staffing: Exhibit Kit: Each display must be staffed from during open exhibit hours. Exhibit kits will be mailed mid-august to each paid-in-full exhibitor by GES, the selected decorator. It will include information about shipping; audio-visual equipment rental; electric, Internet and lead retrieval services. The exhibit hall will be carpeted so there is no expense to exhibitors for carpeting. Exhibitor List: A description of the company and the products and services it provides will be listed on the IBWA conference web site and in the Onsite Program Guide that each registrant will pick up at the registration desk. It will also list the sales contact information the company provides. This roundtable event will have each participating IBWA Supplier member rotate throughout the room to meet with tables of bottlers. This will create a learning environment for suppliers and bottlers to discuss the latest products and services and how to apply them to current operations. Bottlers will be given a game sheet to complete with a buzz word that each Supplier will provide. When the event draws to a close, the game sheets will be collected for a prize drawing. Fee: Included in the trade show fee (suppliers must reserve an exhibit space to participate in this networking event and must be an IBWA Supplier member) Room Set: Tables and chairs; spaced throughout the room. Due to limited space, product displays will not be permitted. The trade show will provide ample time and space for actual product displays and discussions. HOTEL INFORMATION The Hyatt Regency Dallas will serve as the headquarters location for all meetings and events related to the 2014 IBWA Annual Business Conference and the NAMA CoffeeTea & Water Show. Room Rates: $199 traditional single or double + 15% taxes ($228.85 total per night) The conference rate is being offered on a space available basis 3 days prior to and post the meeting dates. To make early arrival/extended departure reservations you will need to contact the reservation line directly (888-421-1442). The reservation cut-off date is Wednesday, October 15, 2014. Available rooms at the group rate are limited, and may sell out prior to the cut-off date, so make your reservations today! If you make reservations and then decide not to use them, please release them immediately to make them available for other attendees. The room block and rates are intended for conference registrants only. Registration lists and hotel reservation lists will be monitored carefully. Individuals who have made hotel reservations but are not registered will be notified and given a grace period to register. After that they risk having their hotel reservation moved to the public rates or having the reservation cancelled. TRAVEL INFORMATION AIR TRAVEL/GROUND TRANSPORATION Dallas is serviced by two airports with easy access to the Hyatt Regency DFW International (20 miles/30 minutes) and Dallas Love Field (8 miles/10 minutes). Taxi service to the Hyatt Regency will be $45 from DFW International and $20 from Love Field. Another transportation option is Super Shuttle which provides daily service beginning at 5:20 am. The price from each airport is $17 one-way. Reservations are required for Love Field, but not for DFW. For additional information, and to make reservations, go to www.supershuttle.com. WEATHER Temperatures in November in Dallas are quite pleasant with an average high of 59 degrees Fahrenheit and a low of 38. Average rainfall for November is 3.5 inches so you may want to pack an umbrella just in case. ATTIRE Be comfortable in business casual attire, and good walking shoes. The air conditioning is running year-round and may at times be cool in public areas of the hotel and in the meeting rooms.
