Event Overview Focus On India 2016 will take place in New South Wales (NSW) from Monday, 22 February 2016 to Monday, 29 February 2016. Tourism suppliers from NSW are invited to attend a one-day workshop held in Sydney on Wednesday, 24 February 2016 to meet with 30 key Indian travel agents. The structured workshop will include one-on-one appointments with Indian agents, followed by further networking at a dinner event. The Indian agents will also attend a pre-workshop familiarisation program in Sydney and a post-workshop familiarisation program in Regional NSW. Focus On India is designed to showcase Sydney and NSW products and destinations to key Indian trade partners. Ultimately, the event is designed to increase overnight visitor expenditure to NSW. Market Profile India is Australia s ninth largest inbound tourism market. Visitor arrival figures from Tourism Research Australia (TRA) for 2015 indicate NSW received 103,500 overnight visitors from India - up by 19.6% on YE Jun 14. Visitors from India spent nearly 4.0 million nights in NSW - up by 16.1% on YE Jun 14 and contributed 5% of visitor nights in the State. Indian overnight visitors spent $255 million in NSW up by 42% on YE Jun 14. On average, they spent $2,397 per visitor and $64 per night in the State. Indian visitors to Australia are expected to increase from 220,000 in 2014/15 to 405,000 in 2024/25, an average annual growth rate of 6.3% Destination NSW (DNSW) will continue to showcase the strengths of NSW as a destination in cooperation with industry partners, as well as highlighting the welcoming and multi-cultural elements that make NSW an ideal place for Indian visitors. DNSW has an office in Mumbai and works closely with its industry partners to promote NSW as one of the world's premier tourism and major events destinations. Objectives Grow overnight visitor expenditure for NSW by: Increasing destination and product awareness Raising the profile of NSW tourism product suppliers Growing business opportunities for NSW tourism suppliers with key trade partners Establishing and strengthening travel industry relationships with product Educating agents on Sydney and NSW tourism products via a familiarisation and workshop program. Eligibility to Participate With a maximum of 30 registrations available, preference will be given to NSW tourism product suppliers who most strongly meet the eligibility criteria. Each applicant must demonstrate how they meet these criteria via their application. 2
In order to showcase the depth and diversity of NSW tourism products, and to maintain and stimulate interest in the destination, DNSW reserves the right to determine final participation. Eligibility criteria: Tourism product suppliers must be export ready and paying appropriate commissions Suitability of product for the Indian market Availability of product in the Indian market, appropriate booking facilities or inclusion in trade programs Marketing collateral relevant to the Indian market (i.e. brochure, factsheet, online collateral) Demonstrated marketing activities in the market including advertising in trade/consumer promotions and/or participation in previous in-market initiatives Long-term operational stability and commitment to selling to the Indian market Support of the Destination NSW s Familiarisation Program with free-of-charge or discounted industry rates offered to DNSW Total emphasis must be on NSW based tourism products. National tourism product suppliers or products representing destinations other than NSW will be requested to not promote those products at the event Inbound Tour Operators are not eligible to attend the Workshop Tourism suppliers must be represented by a NSW based representative Tourism suppliers must have no outstanding debts with Destination NSW Receipt of requested materials and payment by deadline dates. Participation Package Participant cost for a tourism supplier is $1,000 (inclusive of GST) If successful, the following will be offered for one delegate: Attendance at the full-day workshop and dinner function on Wednesday, 24 February 2016 Welcome pack including: market intelligence, name badge, uniform and detailed contact list of the agents attending Inclusion in the tourism product suppliers directory which is provided to all attending agents Market briefing hosted by DNSW (if required) Meals as indicated in the program. The participation package excludes the following: Meals and beverages not outlined in the program Accommodation Access to equipment such as Internet, email, printers, scanners, photocopiers, stationery etc. Transport to/from the event locations Travel insurance Other personal incidentals. 3
Payment Invoices will be sent to tourism suppliers by DNSW. Payment must be made as per the terms stated on the invoice. Failure to meet deadlines and payment will result in the cancellation of your application, as space is limited. Cancellation and Refund Policy This event will consist of a minimum of 15 and maximum of 30 suitable tourism product suppliers. Should the minimum number not be reached, the event may not proceed and this decision will be made at the discretion of DNSW. The decision will be made by Monday, 14 December 2015 and all registered applicants will be advised. For cancellations received on or before: Friday, 15 January 2016-5pm Sydney Time. Refund of total fee $1000.00 (inclusive of GST). For cancellations received after Friday, 15 January 2016-5pm Sydney Time. No refund will be provided. All cancellations must be received in writing to emma.l.kelly@dnsw.com.au The package is taken as is with no discounts provided if you do not attend a particular element of the event. Tourism product suppliers will meet with the agents in one-on-one table top appointments. The venues for the workshop and dinner function will be confirmed shortly. 4
NSW Familiarisation Program The event will incorporate a one-day Sydney and a three-day NSW familiarisation program. Where possible, preference for inclusion in the familiarisation program will be given to participating tourism product suppliers. Tourism product suppliers will need to offer free-of-charge or discounted industry rates to DNSW to be included in the familiarisation program. The final familiarisation itinerary and tourism product inclusions will be at the discretion of DNSW. Freight and Collateral DNSW will create and distribute a NSW tourism supplier directory. This directory will be distributed to all agents and will contain the NSW tourism suppliers product information. The directory is invaluable during the workshop. It reduces the need for NSW tourism suppliers to bring hardcopy brochures and it serves as a reference tool for workshop participants after the event. Contact details, a company logo, one product image and a company biography will be included for each tourism supplier. You will be required to upload your company logo, one product image (hi res.jpg or.eps file format) and a 250 word biography during the application process. You will be contacted on Monday, 14 December 2015 to confirm the information you submitted in your application. It is suggested that you bring a minimum of 30 brochures to distribute during the workshop. USB/memory keys are a common form of information distribution and are welcomed by the travel trade. We also recommend you bring 30 business cards. Any courier costs are the responsibility of the NSW tourism supplier. Theming and Giveaways The workshop venue will be themed with DNSW branding. Each tourism supplier will have a small area to theme these items can include ipad/tablet, small table-top brochure rack, tent-card or laptop plus table decor. You are welcome to provide small giveaways for agents. You can anticipate approximately 30 giveaways such as pens, USB keys, stress balls etc. Prizes Tourism suppliers are encouraged to donate prizes and offer complimentary accommodation, tours, attractions so that the prize winners can experience your product. DNSW will source and supply return airline tickets for two passengers. The prize package will be drawn at the dinner function on Wednesday, 24 February 2016. If you would like to donate prizes please outline your offer during the application process and advise of any applicable terms and conditions. You will also need to supply a voucher for the prize to DNSW prior to the dinner. 5
Insurance All participants are responsible for personal travel and health insurance including public and product liability, workers compensation and property insurance coverage for the duration of the Workshop. DNSW does not accept responsibility or liability for any loss suffered by participants; does not provide or arrange any insurance for or on behalf of participants and does not provide any indemnity for loss or injury suffered by participants. Terms and Conditions Terms and Conditions apply to participate in the DNSW Focus On India event. These are outlined during the application process and NSW tourism suppliers are asked to sign indemnity forms on acceptance of their place in the Workshop. Draft Program Monday, 22 February 2016 Agents from India arrive in Sydney. Tuesday, 23 February 2016 Agents attend a full-day Sydney familiarisation program. Wednesday, 24 February 2016 AM/PM Focus On India workshop Inclusions: Full-day one-on-one appointments with agents Morning/afternoon tea and lunch PM Dinner function for agents and participating NSW tourism product suppliers Inclusions: Food and beverage Entertainment Thursday, 25 February Saturday, 27 February 2016 Agents transfer to Regional NSW for the familiarisation program. Agents return to Sydney on Sunday, 28 February. Sunday, 28 February 2016 Agents return to Sydney in the late afternoon for a group activity and dinner. Monday, 29 February 2016 Agents depart for India in the morning. The program is subject to change at the discretion of DNSW. 6
