RWC 2019 PAGE 67 Terms & Conditions Flights and Other Travel Services Each separate service will be subject to its own terms. These will be outlined to you on your confirmation letter. Individual flights require full payment however there will be a deposit and final payment structure in place for Group flights once released. We will have a full range of airfare options available late 2018. All are based on a maximum of 39 fans including escorts. The minimum number is based on 25 guests travelling. Should the number booked on a tour fall below 25 we will need to adjust the tour price and you will be notified by 30 June 2019. You will have the option to change to another Tour, Match Package or to have a full refund. If we cancel a Tour before departure due to numbers not being met: (a) We will use reasonable endeavours to offer you the closest available Tour. If the proposed alternative Tour is: (i) cheaper than your original Tour we will refund the difference to you; or (ii) more expensive than your original Tour price, you must pay the difference to us; (b) If you accept the proposed alternative Tour, your itinerary will be amended accordingly and we will give you an updated itinerary; (c) If you do not accept the proposed alternative Tour within 7 days of being notified by us of the alternative, we will: cancel your booking, refund to you all monies paid directly to us and will have no further liability to you; and (d) We are not liable for any third-party costs you may incur, which we have not booked on your behalf, for example airfares or other arrangements booked independently through or paid to a travel agent. Hotels Events Travel have confirmed hotel allotments at featured hotels in Tokyo, Osaka and Fukuoka as listed. Other hotels have been requested from the official hotel supplier for Rugby World Cup and will be updated on a regular basis. Where a Match Package states hotel or similar these will be updated as they come to hand and are either added or changed. In the case of Oita we have back up rooms in Fukuoka. Once we are offered rooms in Oita you will be given the option to move based on your deposit date. Its important to book Fukuoka now. (details below) The Finals Collection All finals packages except the Tokyo quarter-finals package include return match transfers. In all Tokyo based finals packages including the quarter-finals we include a SUICA card with a value of 2,500, which can be topped up at any station with cash or a credit card. The SUICA Card covers all trains in Metropolitan Tokyo and Yokohama. All transportation is included domestically in Japan. You do not have to purchase any further transportation other than optional individual requirements in local cities. In all we include a SUICA Card which can be used in Tokyo and Yokohama. This has a credit of 2,500 per person which can be topped up at any station. Japan Rail Pass Prices listed are adult prices current for early 2018 and are likely to be increased marginally by 2019. If we have to issue a separate invoice for a Rail Pass at a later date an administration fee of A$25 will apply. Once rates are confirmed your invoice will be adjusted to go with your final balance payment. If you decide not to go ahead with a Rail Pass we can remove this from your final balance invoice providing we are notified prior to that date. All Rail Passes will be bulk ordered by us in July 2019. If you add a Rail Pass after 30 June 2019 a higher booking fee may apply. SUICA card s included in Finals Collection Match Packages and can be used for train access in Tokyo and other metropolitan areas across Japan as well as non-train purchases (vending machines etc.). Learn more or ask us today. Trains & Planes within Japan in our Economy class flights are included in some tours. We have included 1 piece of baggage up to 23kgs per piece within the tour cost. Trains included within a tour are standard class as part of a group booking. Flights to Japan Events Travel are an IATA Travel Agent. We issue our own flight tickets in-house on most airlines. Flights are not available to book until around 300 days prior to departure. Even then special fares may not be available that early. We will be monitoring opportunities around individual flights as best we can however if you see a special fare please feel free to let us know. Current fares for October 2018 from Sydney to Tokyo in economy including taxes range from A$950 to A$1,300 pp direct. We will have fares on direct airlines including All Nippon, Japan Airlines, Jetstar and Qantas. Nondirect airlines include Cathay Pacific (via Hong Kong) and Singapore Airlines (via Singapore). Fares change daily and according to your requirements. Airport Transfers for On arrival we include either a Group Transfer or a Limousine Bus Transfer to your starting hotel in Tokyo, Nagoya, Osaka, Sapporo or Fukuoka. This depends on how and when you arrive. It s better where possible to book with us but we understand if you prefer to do your own flights.
