WELCOME Welcome to Day Camp 2018 Our goal in 2018 is to make Day Camp convenient for our parents, and exciting for our Scouts. It is vitally important that all of our Cub Scouts attend a Day Camp at some point when they are a Cub Scout. For many, this is the highlight of your Scouting year. 2017 was a year of new format and change in day camp and we found that what we were offering did not fit the needs of our Cub Scout Families. For 2018, we have hosted many meetings and conducted many surveys to ensure that our program this year truly meets the wants and needs of our Cub Scout Families. We are proud of what we are presenting for Day Camp in 2018. New this year, we are experimenting with offering Day Camp where we provide the leadership for your Scouts. This is in respons to overwhelming request for this type of camp. We are also offering the opportunity to drop off your Scout earlier than check-in and pickup until 5:30pm. Again this is done to make day camp easier for families to make happen. This guide is designed to provide dates and pertinent information for our Day Camps this year. GLACIER S EDGE COUNCIL, BSA DATES AND PRICING Day Camp Dates June 18-20: East Madison June 28-30: Portage June 21-23: Walworth County July 30-Aug 1: Janesville June 25-27: West Madison Aug 2-4: Mt. Horeb Exact Locations will be determined and announced on January 2nd. Day Camp Pricing Pricing Early Bird Fee (Pay by Mar 31st) - $100 Regular Fee (Pay by May 1st) - $125 Late Fee (If paid after May 1st) - $150 Adults - $25 Day Camp Leadership Packs must provide a minimum of 2 leaders. The only exception to this rule is if a parent wishes to attend camp with their son individually. Sometimes, we can help pair up dens to maintain adequate leadership. Call and ask! EARLY DROP OFF, LATE PICKUP NEW FOR 2018! We realize that it can be difficult to get your Scout to and from day camp within our check-in and out times. To help you, we are offering the opportunity to drop your Scout off early (starting at 7am) and pick up late (until 5:30pm). Our staff will check them in and provide program and supervision! There will be an extra $25 fee to use this service. COME TO CAMP WITHOUT LEADERS Sibling Discount: $25 Off Per Scout - you may take this discount for any siblings attending ANY GEC Camp. This includes Sisters too. Den Discount: Get 50% of your Den to Sleepover Camp SAVE $15 per Person NEW FOR 2018! If your Scout wants to attend camp, but you our your pack cannot provide leadership, they can come anyways! Each session of day camp will have 30 spots open for Scouts to attend without leadership. This program will be staffed by Camp Staff who are specifically selected and trained to serve as Den Leaders for the session. Due to National Standards, this program is only available to Wolf, Bear, Webelos, and Arrow of Light Scouts. There is an additional $50 fee per Scout to utilize this program. To Register for Day Camp Follow this link www.scoutingevent.com/620-daycamp2018 Campership Your Cubmaster or Pack Committee Chair should make the request for a Campership with the help of the Scout applying. Applications can be found on the Glacier s Edge Council Camping website or at either Council Service Center and must be completely filled out and returned to the Council Service Center no later than March 15th. Those Scouts joining a unit after March 15th may apply as soon as possible, up until June1st. www.glaciersedge.org

GLACIER S EDGE COUNCIL, BSA Check In/Out Check-in for Day Camp will run from 8am-8:30am each day and program will begin at 9am. Please plan for check-in on day one to take more time than the rest of the camp. Please work through your Pack coordinator for camp check-in. It is much easier to have one person communicating with the camp staff, rather than every parent checking in their Scout. We also ask that you submit your full Pack roster through the ScoutingEvent.com site where you registered. Camp wraps up every day at 4pm and all Scouts need to be picked up by 4:30pm. It is the Pack s responsibility to ensure that all Scouts have transportation to and from camp. For those utilizing the Early Drop Off, Late Pick Up you may drop off your Scout with camp staff beginning at 7am and must pick up your Scout by 5:30pm. You will be charged an additional $30 if you pickup more than 10 minutes after 5:30pm Meals and Food Meals are not included in the price of day camp. Each participant should plan to bring with them a bag lunch daily. Pets With the exception of service animals, NO pets are allowed at camp. Sibling and Walk-Along Policy Siblings of Cub Scout Age are (at least 4!) are able to tag along (register and pay as a youth) and participate in the program. Older siblings can volunteer as Den Chiefs and attend free of charge. This includes sisters! POLICIES AND DETAILS Refunds Refunds will only be made if requested in WRITING prior to June 1st. Refund requests must be made by the Pack Coordinator and should be directed to the Glacier s Edge Council Program Director, Nick Rose at nicholas.rose@scouting.org. Packs may choose to credit program fees to new camper replacement registrations. Transfer requests must be submitted to the Council Program Specialist for consideration (callie.fritchen@scouting.org. Any refunds requested after June 1st will be reviewed by the Camping Committee in August and a decision will be made at that time. Approved refunds will be credited to the Pack account with a 25% per scout cancellation fee deducted. Packs may appeal any refund decisions to the Glacier s Edge Camping Committee in WRITING before the start of the registered session.
GLACIER S EDGE COUNCIL, BSA COORDINATOR The Pack Coordinator acts as the liaison between the camp and the Pack and is responsible for the following: -Familiarize themselves with the Cub Scout Catalog -Promote camp and programs to the Pack -Ensure Pack camp registration and payment are correctly submitted in a timely manner to the Council Service Center -Oversee general coordination of the Pack while at camp -Attend and recruit adults for the Cub Scout Program Orientation & Training A training will be held January 16 at the Madison Office and January 18 at Camp Indian Trails. Both trainings will start at 7pm and will help ensure a great camp for you and your boys. How to Get Your Pack to Day Camp - With Dates! Below is an in depth timeline and checklist to help you plan your pack s summer camp! Follow it closely to get more Scouts to camp with less headaches! Do By December 15: Receive Camp Dates and Pricing and distribute to your families Schedule a Camp Promotion Date with the Order of the Arrow or District Representative Do In January: January 1 - Camp Registration Opens online at Glaciersedge.org Attend Camp Coordinator Training (Jan 16 in Madison, Jan 18 in Janesville) Gather Early Sign-ups and Interest Plan Leadership needs and guage interest of parents Develop and implement plan to fund camp (Popcorn Funds, Camp Cards, etc) Do in February: Host Camp Promotion at Blue and Gold Pack Meeting (resources, videos, available at glaciersdge.org) Do in March Campership Applications do March 15th. Email to glaciersedgecamps@scouting.org Gather Early Bird Registrations and regsiter online! Do in April Continue Camp promotion to get to 50% of your Den attending for discount! Register additional Scouts at Regular Fee (Due May 1) Do in May Register Any additonal Scouts Begin planning logistics to get to and from camp, and equipment needed Do in June Order T-Shirts online By June 1 Finalize logistics in transportation and equipment needed 2 Weeks Prior Collect Health Forms for all attending Ensure all adults are registered with the BSA and have current Youth Protection Training Week After Send Thank you letter to your fellow camp leaders who attended Ensure any Scouts who received Camperships send Thank you note to Council.
