Room Rate: The negotiated tariffs for the standard deluxe rooms will be approximately USD 80 per night per person inclusive of bed and breakfast. The participants will be required to produce their passport while checking-in to the hotel. Participants are requested to kindly settle payments for accommodation and related expenses directly to the hotel. Payments to the hotel can be made either by credit cards or in cash. 5. Confirmation of Participation We are glad that many of you have already confirmed your participation. We would greatly appreciate receiving confirmation at the earliest convenience, whoever have not confirmed your participation as yet. Kindly note that confirmation of your participation requires (1) Completed Registration Form sent earlier and attached herewith, (2) Scanned Passport Copy, (3) Travel Itinerary, and (4) Colored Photograph. The documents and information are essentially required for the hosting Agency in Indonesia for obtaining administrative clearances, arranging necessary logistics, such as retaining the hotel reservation, airport pick-up on arrival and drop-off on arrival and departure. 6. Ticket and logistics arrangements Participants are requested to make their own travel arrangements and send the itinerary to the Focal Persons of PPD and Govt. of Indonesia mentioned above. All the delegates are requested to secure their Indonesian Visa before travelling to the country. Visa on Arrival will be arranged for nationals of the countries having no Indonesian Embassy on receipt of the documents and information mentioned above. 7. Airport Transfer and hotel to meeting/conference venue Kindly note that the events will take place in the provincial city Yogyakarta, NOT in in the capital city Jakarta. Therefore, kindly arrange your travel accordingly. The name of the Yogyakarta International Airport is Adisutjipto International Airport. Distance from Airport to Hyatt Regency Hotel is approximately 8.7 km. The complementary airport pick-up and drop-off on arrival and departure will be provided by the Indonesia Government Hosting Agency, subject to receipt of the confirmed travel itineraries well in advance. 8. Insurance Participants are advised to obtain their own insurance coverage for sickness, accident (including the cost of medical attention), temporary or permanent disability, death, injury and third-party risks, covering the entire duration of the meeting including travel time. PPD would not be responsible for any such costs nor would it have any liability whatsoever. 9. Visa Invitation letters from the Government of Indonesia will be sent to all the participants on receipt of confirmation of attendance to facilitate obtaining their Indonesian Visa. and have proof of return after the events (round-trip air-ticket). The Indonesian Government issues Visa on Arrival to the nationals of 61 countries, which can be obtained at designated entry airports. Information on Visa on Arrival and visa application requirements is available at the following website: www.imigrasi.go.id Visa on Arrival will be arranged for nationals of the countries having no Indonesian Embassy on receipt the above-mentioned information. Currency Exchange Facilities Foreign Currency Exchange Booths are available at the Hotel and Yogyakarta Airport. You may also exchange your foreign currency with different banks in Yogyakarta. The currency used in Yogyakarta is the Indonesian Rupiah (IDR). The exchange rate between USD to IDR is approximately 1 USD = 13,480 IDR, which is subject to change over time. 11. For long-distance calls, please contact the front desk, for which additional charges will apply. All fixed-line and mobile phone services providers ensure full coverage of the host city. They also provide access to the Internet by GPRS or 3G/4G. You can buy Mobile SIM Cards from the Airport. Recommended Mobile Operator is TELEKOMSEL. 13. Power Voltage Power in Indonesia is 230 volts with a frequency of 50 Hz. For delegates from countries with a different voltage, a transformer is required unless the appliance has a multi-voltage option. The primary sockets in Indonesia are the two-pin Europe and Schuko type plugs. Several hotels and public places also use the British three-pin plug. 14. Weather http://www.accuweather.com In Yogyakarta, during meeting time the average temperature will be between 22 C to 31 C and weather will be wet due to rainfall.
