The 2018 EPCHS Music Disney Travel Guide

Rules and Regulations The following DO s and DON T s are not meant to put a damper on your trip- just the opposite! These precautions are meant to insure that you have the best trip ever! General Rules DO s 1. Students MUST obey all requests and instructions given by the directors and chaperones. 2. We reserve the right to inspect any and all baggage before and during the trip. 3. Prior to departure, all students bags will be inspected by District 231 staff. 4. Listen carefully for announcements and changes or additions that may occur. Sign up for Remind and carry a charged cell phone with you at all times to receive updates. Follow all written and verbal instructions to the letter. 5. Report PROMPTLY for EVERYTHING! Don t ever be the last one to arrive. You ll make over 100 people wait for you. Early is on time, and on time is late! 6. There is to be NO changing of assigned rooms or buses at any time. 7. Any restrictions set forth by District #231, the airports, the hotel, Disney Parks, or Bob Rogers Travel will be enforced for all travelers. 8. Parents, chaperones, and students are to follow the itinerary and instructions as established. NO INDIVIDUAL ALTERATIONS CAN BE MADE. Students not following rules, directions, or the basic code of conduct will be subject to disciplinary action, including possible removal from the trip at the family s expense. 9. All students will be assigned to a chaperone. This chaperone will be responsible for you and you will contact them if you need help, have an emergency, etc. 10. DO NOT TAKE CHANCES/RISKS AT ANY TIME. You should be careful with whom you talk and NEVER be alone, anywhere at any time. 11. Always be on your best behavior to proudly represent your family, your school, and your community. The likelihood of future music department trips will be determined by the success of this one. Make a packing list. Check items off as you pack and triple-check the list! Bring a jacket for evenings it may get cold after dark. Bring school and weather appropriate attire. Have your instrument checked before we leave and bring extra reeds, oil, supplies, etc. Bring the appropriate photo ID for the airport. Keep it in your carry-on, NEVER in your packed luggage. Take plenty of sunscreen, at least SPF 15. No suntan oil the Florida sun feels different than here! Bring prescription medication in the original bottles clearly labeled with instructions.

DON T S Take expensive jewelry or other valuables with you. Neither EPCHS, the directors, Bob Rogers Travel, the chaperones, the hotel, or Disney Magic Music Days will be responsible for items lost or stolen on the trip. Bring coolers there won t be room on the truck or in the rooms. Bring excessive amounts of food or entertainment for the room. You won t be there long enough to enjoy them. Your room is essentially for a bed and a shower. Bring large radios. Your personal music device with headphones is adequate. Bring excessive amounts of cash. Skip meals, especially breakfast! It s FREE and ALL-YOU-CAN-EAT. Save money later and start the day full! Attendance/Check-in TO BE EARLY IS TO BE ON TIME! Before we leave from any location, we will take attendance. Each bus will have assigned seating for attendance purposes and efficiency. Please help to speed up the process by always going directly to the correct bus and bus seat. Bus/Airplane Rules 1. No instruments are to be played on the bus at any time. 2. No music should be played without headphones on either the bus or the airplane. 3. Please remain seated on the plane unless you need to use the restroom. The restrooms on the buses are for EMERGENCIES ONLY. 4. Please respect the other travelers on the plane and keep your conversations to a low volume, particularly because we will be traveling early in the morning and later at night. 5. Follow all instructions given by staff, bus drivers, flight attendants, etc. 6. Bring a book or something to do on the plane that does not require Wi-Fi. Devices will need to be placed in Airplane Mode and WiFi is not free on the plane. 7. NEVER joke about terrorists, bombs, violence, etc., ANYWHERE at ANYTIME during the tour, PARTICULARLY on the plane or in the airport. Curfew/Lights Out/Hotel Rules 1. No one is allowed out of their room after the scheduled Lights Out time for ANY REASON other than to contact a chaperone in case of an emergency. 2. No person of the opposite gender is EVER allowed in the room. Don t ask if you can visit and leave the door open. The answer is no. 3. Hotel room doors are to be propped open if someone else is visiting your room. This will really only be useful on the first day since that s the only time you ll have any extra time at the hotel. 4. Obey all room curfew and Lights Out instructions. Sleep when you can you ll need it! 5. Keep your room clean. Report anything that is missing or damaged AS SOON AS YOU CHECK IN. Otherwise, you will be held responsible for anything missing or damaged when we leave. Any damages from lost or stolen items will be charged to all residents of that room. 6. You may NEVER leave the hotel property without the group FOR ANY REASON barring a medical emergency. 7. Chaperones must be given full visual access to your room during room checks and lights out. They should not have to wait for you to open the door.

8. Please respect other hotel guests by keeping noise at a reasonable volume. 9. Rooms may be checked at any time. Any problem found in the room will be blamed on the ENTIRE room. Disney Theme Parks 1. NO PHOTOGRAPHY IS ALLOWED in the backstage areas of Disney World. Your camera/film/phone/etc. will be confiscated by Disney security if you break this rule. 2. KEEP YOUR PARK TICKET IN A SAFE PLACE! IT CANNOT BE REPLACED! Your tickets will be collected at the end of each day and redistributed in the morning to help you keep track of them. Dress Code ALL EPCHS DRESS CODE POLICIES APPLY. Bathing suits for Cocoa Beach should be tasteful. Rule Infractions 1. All rules in the EPCHS Student Handbook and Co-Curricular Code apply for the duration of the trip. 2. Students must obey all instructions given by chaperones, directors, and any other facilities staff. 3. Possession and/or use of an illegal substance are grounds for immediate expulsion from the trip at the family s expense. Disciplinary action from the school will also be taken. 4. Possession and/or use of any weapons are grounds for immediate expulsion from the remainder of the trip at the family s expense. Disciplinary action through the school will also be taken. 5. Any illegal activity (shoplifting, drinking, smoking, vaping, etc.) is grounds for immediate expulsion from the trip at the family s expense. Disciplinary action through the school will also be taken. NOTE: While smoking and vaping may be legal for students that are 18, they are against school policy and thus forbidden for ALL travelers on this trip. 6. Any infractions observed by a chaperone should be reported to a director immediately.

PACKING LIST LABEL EVERYTHING WITH YOUR NAME! ON THE TRUCK (DOUBLE CHECK) -Instrument (with extra reeds, valve oil, etc., in good working condition. Complete all repairs BEFORE loading.) -Choir Formalwear (dress, tuxedo. Guys MAKE SURE you have tux shirt and bow tie. You will not perform without a tie.) -Band/Guard Marching Uniform -Flags for parade -Banner for parade -Keyboard/amp for hotel -Djembe -Plume case -Garbage bags -First aid kit IN YOUR SUITCASE - NOTE: Check the long range forecast the week that you pack. Plan accordingly. -Choir Black dress shoes for formalwear -Choir Black pantyhose (girls), black dress socks (guys) -Band/Guard Black crew socks and Drillmaster/guard shoes NOTE: IF YOU ARE MISSING ANY PART OF YOUR PERFORMANCE UNIFORM, DISNEY WILL NOT LET YOU PERFORM. -Music Changes Lives shirt (AT LEAST 1) -Clothing for 4 days plus extras -Undergarments (NOTE: Girls make sure you have a bra that is appropriate for the concert dress) -Socks -GYM SHOES (you ll be glad you did with all of the walking) -Tank tops and/or t-shirts (dress code appropriate) -Shorts (dress code appropriate) -Pants or jeans -Long-sleeved t-shirt -Hoodie or jacket -Rain poncho -PJ s (appropriate) -Contacts/Glasses/necessary accessories -Guard hair bands, bobby pins, parade makeup -Soap -Shampoo/Conditioner (travel size is fine) -Toothbrush and toothpaste -Comb/brush -Deodorant -Other personal hygiene items -Regular cell phone charger (portable charger in your carry-on) -Spending money -Camera (optional) -Refillable water bottle (you will save a TON of money in the parks!) Nothing with a plastic straw they are prohibited in the parks. -Snacks for the room (don t go crazy you won t be there much. Nothing that will spoil or potentially melt in the truck.) -LOTS OF SUNSCREEN!!! SPF 15 or higher - 1 large bottle for the majority of the trip, a 2 nd travel size bottle for the last day in your carry-on. NO SUNTAN OIL! (Travel size cannot be aerosol) Remember: you are only packing for 4 days. 1 large suitcase or two smaller ones should suffice.

IN YOUR CARRY-ON BAG: -ID 18 and older MUST HAVE a state ID or driver s license in order to get through security! Under 18 should bring a driver s license or state ID if you have one. Otherwise, bring school ID. -Swimsuit (tasteful please) -Beach towel -Sandals/flip-flops -TRAVEL SIZE sunscreen (SPF 15 or higher) NO LARGER than 4 ounces NO AEROSAL CANS -Headphones -Portable charger A GOOD ONE! YOU LL NEED IT! -Cell phone -Cards, small travel games -Sunglasses/hat -Camera (optional) -Money for breakfast/ lunch/shopping at Ron Jon s -A plastic grocery bag to hold your wet bathing suit after you change -Small travel pillow for the plane NOTE: YOU MAY NOT BRING FOOD OR EVEN BOTTLED WATER THROUGH AIRPORT SECURITY MEDICATION -ALL prescription medication MUST BE handed to a staff member upon luggage check-in in the original prescription bottle. Instructions should be clearly written for each medication. Please DO NOT assume that the student will explain their needs. -The student will be responsible for checking in with a chaperone or staff member to take said medication at the appropriate scheduled times. -It is our hope that most students will be able to take their medication in the morning on the first day prior to going through airport security and then an evening dose after we check in to the hotel at around 7:30 CDT. If their needs dictate otherwise (lunchtime dose, etc.), please communicate with the Kazin s as soon as possible. -All medication will travel on the truck and MUST be turned in at luggage check-in; this is to minimize difficulty for all at the security checkpoint. -Students are NOT ALLOWED to carry ANY OVER THE COUNTER MEDICATION in their luggage. If a student will require ibuprofen, non-prescription allergy medication, etc., it ALSO must be handed to a staff member with instructions at luggage check-in. Under no circumstances can over-the-counter medication be shared among students or chaperones. Any over-the-counter medication found in luggage during inspection will be confiscated. -

Attendance and final instructions 4:15 AM Group departs via school bus for Midway Airport 5:00 AM Group arrives at Chicago Midway Airport Begin check-in process and head through security. EVERYONE needs to bring a picture ID along with their ticket. Any traveler 18 yrs or older, will need a state issued id. Keep them handy throughout check-in and security processing. Eat breakfast at the airport while you are waiting to board the plane. Watch for texts to know when you need to be back at the gate to board. Lay out your clothes for the next day and pack your carry-on with only what you need in the park: a poncho (if necessary, spending money, portable charger, water bottle, SUNSCREEN, sunglasses, hat) 10:00 PM Chaperone Meeting- Kazin s room 10:30 PM LIGHTS OUT. GO TO SLEEP!!! YOU LL NEED IT! MOTOR COACH NOTE: Two motor coaches to HOLD all day

If you are in choir also, maybe pack a snack in your bag for in between the workshops since lunch will be late. 6:20 AM Load motor coach; depart for Costuming and Auditions Building aka Hippo Room Rehearsal Room 6 6:45 AM Meet your Disney Performing Arts Specialist; prep for workshop REMINDER: THERE IS NO PHOTOGRAPHY IN ANY BACKSTAGE AREA IN THE DISNEY PARKS.
