ED-04/MINEPS IV/INF.1 Venue of the Conference 1. At the invitation of the Government of, the Fourth International Conference of Ministers and Senior Officials Responsible for Physical Education and Sport (MINEPS IV) will be held at the Astir Palace Hotel, located in Vougliameni, outside Athens. 2. The Secretariat of the Conference will function as from 1 December 2004 at the General Secretariat of Sport of. During the Conference, participants will normally receive their mail, messages and telegrams at the Reception Service of the hotel. Registration 5. Participants are requested to register at the Reception Desk of the Conference Hall, Astir Palace Hotel, on Sunday, 5 December 2004 (between 10 a.m. and 6 p.m.) or on Monday, 6 December (between 8 a.m. and 8.45 a.m., or after the opening meeting).

On registration, participants will be provided with a full set of working documents for the Conference and a badge which they are requested to wear conspicuously for the duration of the Conference for purposes of identification and to facilitate contacts with other participants and with the members of the MINEPS IV Secretariat. Opening meeting 7. The opening meeting of the MINEPS IV Conference will be held on Monday, 6 December 2004 at 9 a.m. in the COSMOS Room. Participants are requested to be in their places before 8.45 a.m. 8. The first ordinary plenary meeting of MINEPS IV, during which the Conference will adopt its agenda and elect its Steering Committee, will be held in the COSMOS Room immediately after the opening ceremony. Organization of work 9. The organization of work of the Conference is as follows: Provisional timetable of work 10. Meetings will take place at the following times: Morning: Afternoon: 9 a.m. 12 noon 2 p.m. 5 p.m. 11. The programme of meetings will be announced daily. It is recommended that it be consulted for any changes, although such modifications will also be notified orally during the meetings of the Conference. Working languages 12. The working languages of the Conference will be English, French and Spanish. Statements in any of these languages will be interpreted into the other two. Speakers wishing to use other languages may do so provided that they arrange to have their statements interpreted into one of the working languages. Working documents of the Conference 13. The working documents are listed in document ED-00/MINEPS IV/INF.3. The main working documents will be issued in the working languages of the Conference and will be sent to participants in advance. Additional copies of these documents will be available at the venue of the Conference. Documents prepared during the Conference, including the draft final report, will be issued in the working languages. 14. Participants are reminded that the Secretariat will not be able to handle the typing, translation or reproduction of documents other than those directly related to the work of the Conference, namely, draft resolutions, draft reports and so forth. Heads of delegation and other participants are therefore kindly requested to provide typed copies of their main statements so as to facilitate the work of the Conference Secretariat and the Press Liaison Office.

ED-04/MINEPS IV/INF.1 page 3 Press, radio and television 15. An Information and Press Liaison Office will operate at the venue of the Conference under the auspices of UNESCO. It will give the representatives of the press, radio, television and photographic news agencies all necessary assistance in covering the work of the Conference. 16. The Information Office will provide journalists, at their request, with the Conference documents, basic documentation and press releases. The Office will also be responsible for organizing press conferences, as appropriate, and helping journalists to obtain interviews with delegates and senior officials of the UNESCO Secretariat. Ancillary services 17. Medical and nursing services will be available to participants at the venue of the Conference. Accommodation 18. These prices reflect the special conditions granted exclusively to official participants in the Conference. 21. Participants are invited to indicate their order of preference for hotels: the Greek authorities will endeavour to meet their requests as far as possible. 22. In order to facilitate the task of the Greek authorities, participants are requested to announce as soon as possible, and by 20 November 2004 at the latest, the date of their arrival in Athens, indicating the flight number of the head of their delegation and of the other participants, together with their departure arrangements from. Bars and restaurant services 23. The above-mentioned hotels have bars and restaurant services where participants can obtain drinks, snacks and meals. In addition, there are many restaurants in Athens offering local and international cuisine. Transport service 24. A transport service will be provided free of charge by the Greek authorities for all official activities connected with the Conference. Reception on arrival 25. Participants will find a special reception service at Athens International Airport to help them with customs formalities. The Greek authorities will provide transport between the airport and the hotels on arrival and departure. Entry formalities 26. All participants entering must be in possession of a valid passport and entry visa. For further information in this regard, participants are invited to contact the nearest Greek Consulate as soon as possible. Exit formalities 27. An airport tax of 48.56 is payable on leaving the country. Health provisions 28. There are no special health precautions for entering and no vaccinations are required.

ED-04/MINEPS IV/INF.1 page 5 Currency regulations 29. There is no restriction on the amount of currency that people may bring with them to in bank notes or travellers cheques. 30. The monetary unit in is the euro, designated by. The coins and bank notes in circulation are as follows. Notes: Coins: 5, 10, 20, 50, 100, 200 and 500 euros 1 et 2 euros, and also 1, 2, 5,10, 20 and 50 cents 31. In November 2004, the exchange rate was 0.84 to 1 US dollar. Climate 32. The average temperature in Athens in December varies between 7ºC min. and 15ºC max. Electricity 33. The electricity supply is 220 volts.
