EXHIBITOR INFORMATION How to Apply After reading this information packet, please complete our attached exhibitor application to begin the process of partnering with FlightSimCon. Exhibitor package Exhibiting at FlightSimCon 2018 includes the following: A booth space at the Hyatt Regency Hotel. 6 table with black table cloth and two chairs 8 tall draped backdrop - black 3 tall side draped black (1) 7 x 44 ID Sign Additional furniture, etc. may be ordered upon request as your own expense. An order form packet will be sent to all exhibitors in advance. Wireless internet connection for your booth. Electricity is an additional charge. An order form will be emailed to you in advance. Exhibitors are responsible for all costs associated with shipping, drayage, electric, etc. Please ensure that you have the necessary power cords, adapters, and splitters for your exhibit space or you can order for an extra charge through show management in advance. Two complimentary, full-access conference registrations. Additional registrations are available for $50 per person for all weekend and must be requested in advance. Admission to Sky Lounge social event on Saturday night with complimentary hors d oeuvres and beverages. Your company logo on the FlightSimCon 2018 website. Exhibitor Hall Floor Plan Please refer to attached Exhibit Hall Floor Plan. Booths are selected by each exhibitor based on desired size and availability, and all spaces will be allocated first-come, first-served. FlightSimCon can assist in selecting best locations. Your setup includes items cannot extend beyond the indicated booth space. Please email contact@flightsimcon.com to verify that your desired booth location and proposed exhibitor setup are compatible. The locations shown are approximate. Exact booth placement may vary. Additionally, as booths may be added or removed depending upon demand, the exact location and spacing of your booth may differ slightly from the diagram. Selling Merchandise on Site Exhibitors are encouraged to sell products on-site. Large hardware items must be approved by FlightSimCon in advance. In addition to selling products on-site, exhibitors are encouraged to take orders for products on-site and also to hold giveaways or give out product samples at their booths. 3
Exhibitor Registration Timeline Exhibitors are added to our website, press releases, and announcements as they are confirmed. We encourage all exhibitors to register early! Securing your place at FlightSimCon early ensures you have access to the best rates, top locations, and the most online exposure. Exhibitor rates increase by 10% after Friday, March 30, 2018 and the deadline for securing an exhibitor booth is Wednesday, April 30, 2018. Hotel Reservations Exhibitors are responsible for booking their own hotel accommodations. A link for the exhibitor special room block at Hyatt Regency will be provided after you are confirmed as an exhibitor. The rate is $154/night + tax. Please do not use the link on our website, which is for attendees only. The deadline for hotel room reservations is Friday May 25, 2018. Logos When registering as an exhibitor, please include both color and black and white versions of your organization s logo in.eps,.png, and.pdf formats. These files will be used for our website and various print materials. Daily Breakfast, Lunch and Saturday Evening Social Breakfast and lunch are on your own. The hotel will open a buffet in one of the restaurants and there are several other restaurants in the hotel offering plated service too. For exhibitors who are also Sky Lounge, Private Jet, Flight Deck, or Premier sponsors, complimentary lunch and refreshments will be provided via a private, VIP sponsorship room. This room will be pre-stocked with refreshments throughout both days of the conference for your convenience, as well as serve as a break room for company representatives. All exhibitors are invited to join us for the fun Sky Lounge Networking Social on Saturday, June 23, from 5pm-6:30pm in the Hyatt Regency Foyer. More information about the event will be provided in the next few months. We encourage all exhibitors to plan to attend the social, as it is a great opportunity to interact with attendees and other exhibitors in a more personal setting. Shipping Show management will be happy to assist with you with in and out shipments, if any. Shipments can be made to our expo company or to the hotel Fed Ex Center in advance. Details regarding how and where to ship and prices will be emailed to you in advance to help you determine which route is best for you. Exhibitor Booth Setup and Breakdown Note that the following information is subject to change, but is provided at this time so that exhibitors may get a general sense for the operation of the conference. A final, more detailed setup and breakdown schedule will be sent out to exhibitors approximately 8 weeks prior to the start of the conference. Exhibitor booth setup is Friday, June 22, from approx. 12:00pm to 6:00 pm. An additional setup period is available beginning at 7:30am on Saturday, June 23 for last-minute adjustments to your setup. However, we encourage all exhibitors to arrive on Friday to avoid any last-minute surprises on Saturday morning. The Product Announcement Forum will provide a one-stop overview of some of the latest and upcoming releases for the flight simulation community. The session will take place at the beginning of the conference on Saturday and each participant will be allotted approximately 5 minutes to demonstrate their products. The entire session is expected to last 30-45 minutes, depending on interest. Participate in Product Announcement Forum $100 Whova Mobile App Banner: FlightSimCon is partnered with Whova, a leading mobile event app, to provide conference attendees with an easy platform to communicate and find information. The app will include the conference schedule, networking opportunities for attendees, and real-time notifications and alerts from the conference organizers. The conference will encourage all attendees to download and use the app throughout the weekend. Basic logos and descriptions for all sponsors will be included in the app by default.
