Inner Tables located in the center of the ballroom have height restrictions. To keep the view open, from the floor, nothing can be over 72". No space can disrupt view of neighboring space. USE OF SPACE To maintain uniformity and prevent visual obstruction of adjoining space, inner displays must not be higher than 6 and in all locations nothing may be erected which interferes with the view or visitation of adjoining spaces. All exhibit materials and equipment must be contained within the space purchased. CFDA reserves the right to ask that exhibits be redesigned on the spot if necessary. NOISE Sound or amplifying systems that project beyond the exhibit space are prohibited. LIABILITY The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor s activities on the Hotel premises and will indemnify, defend, and hold harmless CFDA and the Hotel, its owner, and its management company, as well as their respective agents, servants, and employees from any and all such losses, damages, and claims. Exhibitor will give CFDA and the Hotel prompt notice of any claim made or suit instituted against the Hotel which would result in indemnification by Exhibitor hereunder, CFDA and the Hotel shall have the right to compromise or participate in the defense of same to the extent of its own interest. SECURITY The Ballroom will be locked and secured each evening and morning hours, exercising reasonable care for the protection of exhibitor s materials and equipment. Neither CFDA, the show facility, nor any officers, directors or staff thereof will be responsible for the safety of property or exhibitor personnel. RESTRICTIONS CFDA reserves the right to prohibit any display or exhibit, or any part of a proposed exhibit, that it deems unsuitable or not in accordance with the accepted professional ethics of its members. TAX DEDUCTION Contributions or gifts to CFDA are not deductible as charitable contributions for income tax purposes. EXHIBITOR REPRESENTATIVES CFDA shall have sole control over all admission policies at all times. Up to two (2) exhibitor representative badges per space are available. Exhibitor badges must be worn at all times. Badge swapping is strictly prohibited. Additional badges are available for $200 each. CANCELLATION POLICY Cancellations must be received in writing and will be confirmed by envelope postmark or fax transmittal dates. In the event an exhibitor must cancel, the following refund policy applies: A full refund will be issued if space is cancelled by March 9, 2018; a 50% refund will be issued if space is cancelled by April 6, 2018; no refund will be issued for cancellation received after April 6, 2018. RIGHT TO REFUSE CFDA reserves the right to review and reject any registration for exhibit space without prejudice. NO EXHIBIT DECORATOR THIS YEAR - YOU ARE ON YOUR OWN. If you use one of the three corner space you are still responsible for loading / unloading labor. There is no shipping dock, no additional workers and no forklift. It is your sole responsibility. MEETING PACKAGES & DELIVERIES Special arrangements must be made for receiving any equipment, goods, displays or other materials, which will be sent, delivered or brought into the Hotel. (This excludes delivery of any food or beverage items that are also sold or furnished by the Hotel. The Hotel will not accept delivery of such items.) Failure to do so may result in deliveries being refused or materials being unavailable when required. The Hotel s receiving entrance is open from 7:30 a.m. to 4:00 p.m., Monday through Friday. 7:30am to 12:00pm on Saturdays. Any materials being sent to the Hotel must be marked as follows: Please make sure the Guest receiving the boxes on-site at the hotel is the same name listed on the boxes being shipped to the hotel. Guest must be present at Exhibitor Table to accept boxes and approve handling charges. The Group is responsible for insuring its property for loss or damage. Please note the following charges relating to meeting packages and deliveries: Guests and groups will be assessed a $5.00 handling fee per inbound box and a $5.00 handling fee per outbound box. This service fee includes receiving, basic storage and delivery. There is an additional $10.00 charge for items being packed for shipment by Balboa Bay Resort. This service is limited. Please check with your Hotel Representative for details. Due to the hotel s limited amount of storage space, it is asked that packages be shipped to the hotel with arrival no more than 3 days prior to the program start date. Your hotel representative can also advise of the availability of storage space prior to your program start date if needed. Billing can be made to a guest room folio or a group Master Account. Please advise your hotel representative how you would like to settle charges relating to envelopes and packages. It is strongly suggested that exhibitors be prepared with their own shipping account number and be prepared to pack and tape their own boxes. FOOD AND BEVERAGE All food, beverage, and miscellaneous concessions prepared, sold or consumed on the tradeshow floor must be supplied by the Convention Hotel. No popcorn, etc. INSTALLATION AND DISMANTLING If the exhibitor fails to set up its display in its assigned space by 4 PM, Sunday June 24th, leaves its space unattended during show hours, or fails to remit payment at times specified, CFDA shall have the right to take possession of the space and utilize such space in any manner. Exhibitor may not breakdown until the Tradeshow closes on Tuesday June 26th, at 10:00 AM. AGREEMENT TO TERMS, CONDITIONS AND RULES Exhibitor agrees to observe and abide by the foregoing terms and conditions and by such additional terms, conditions, and rules made by CFDA from time to time for the efficient and safe operation of the Exhibition. In addition to CFDA s right to close a display and withdraw its acceptance of the registration, CFDA in their sole judgment, may refuse to consider for participation in future trade shows any Exhibitor who violates or fails to abide by all such terms, conditions, and rules. This registration represents the entire agreement between the Exhibitor and CFDA concerning the subject matter of this registration.
