PITA s 20 th AGM 2016 Hosted by Post Office and telecommunications Group of French Polynesia 25 th - 29 th April 2015 Intercontinental Tahiti Resort and Spa, Tahiti PARTICIPANT INFORMATION PITA AGM is an annual event and this year will be held along with the Tradeshow in the island of Tahiti, French Polynesia, from the 25 th to the 29 th of April, 2016 at the Intercontinental Tahiti Resort and Spa, Tahiti, French Polynesia. All Members, Associated Members and Government members are invited to attend and participate. The PITA s 20 th AGM 2016 Conferences and Tradeshow is kindly hosted by : Post and Telecommunications Office Group of French Polynesia (OPT Group) 1. REGISTRATION All participants must pre-register online using the Registration form available at www.pita.org.fj 2. TENTATIVE PROGRAMME Initial outline is available here at the appendix 1 on Page 4, further updates will be made available at the PITA website www.pita.org.fj and by email circulation. VENUE The venue for PITA s 20 th AGM is the Intercontinental Tahiti Resort and Spa, situated in the city with close proximity to the International Airport, to the Capital city Papeete, other hotels and all institutions. 4. ACCOMODATION Please see list of hotels in appendix 2. 5. TRANSFER FROM FAA A INTERNATIONAL AIRPORT Faa a International Airport is located approximately 2kms (5 minute drive) away from the venue and from the Capital city of Tahiti, Papeete. Shuttle services will be prearranged for transfers to and from the airport. All Shuttles will be stationed outside Arrivals at Faa ainternational Airport. For pick up, email PITA2016@opt.pf with your flight and hotel information before 31st of March 2016. Any requests after that may not be adequately provided for. Alternatively, approximate taxi fare from the airport to the Intercontinental Tahiti Resort and Spa is 3000 FCFP (30$USD). For town area transferring, taxis services can usually be requested at the Hotel reception. Participant Information 2

VISA & IMMIGRATION REQUIREMENTS Delegates from countries from which entry into French Polynesia authorized may not need a visa for short term visits. Please check the list in appendix 3. However, delegates must have a valid, ongoing or return airline ticket and passport must be valid for six months beyond the intended stay. Attached to this information, an invitation letter from the host will help delegates in their Visa Application. For a complete list of countries exempted from the necessity of having visas to land in French Polynesia, refer to appendix 3. Participant Information 3

8. INSURANCE PITA and the Host Member will not able to bear any cost of insurance for participants, any medical expenses or any other expenses. It is therefore required that your administrations/organizations to kindly make necessary arrangements for insurance and medical coverage of your participants before travel. 9. TEMPORAY IMPORTS FOR GOODIES / GIVEAWAYS Delegates from countries who need to import temporarily equipment, material or goodies, giveaways need to declare merchandise upon arrival in Tahiti. To facilitate temporarily import declaration and avoid caution on declared merchandise, delegates must bring their own ATA Carnet provided by their respective chamber of commerce. The ATA Carnet is an international customs document that permits the duty-free and tax-free temporary export and import of goods for up to one year. CLIMATE French Polynesia has a tropical climate. Tropical temperatures show mean annual temperature for range from 23-30 C and the mean humidity persists around 75%. Daily maximum temperatures are highest generally in February which makes it the hottest month even though some extreme high temperatures often occur in September and the coolest month is July or August. The climate is characterized by the contrast between a wet season (Nov-Mar) and a dry season (Apr- Oct). About 60-70% of the rain falls during the wet season. 11. ELECTRICITY Electricity is 230 volts AC 60 Megahertz with 2-round pins plug (like the ones we find in Europe. You are advised to take along your universal adaptor if you are from any other country with similar plug and voltages. 4

12. CURRENCY French Polynesia local currency is XPF. Exchange rates vary around USD 1.00 = XPF 110.0 Banks established in French Polynesia are mainly French Banks. Credit / Debits Cards are widely accepted in shops and restaurants in French Polynesia 13. TIME Local time in French Polynesia is GMT/UTC -10. There is no daylight saving in summer. 14. TELECOMMUNICATIONS SERVICES Communication services in French Polynesia include fixed line telephony, internet, and GSM mobile phone & data services. Post and Telecommunications Office (OPT) is the sole service provider for fixed line telephony. GSM Mobile services (3G and Beta 4G/LTE) are provided by Vini and Vodafone, Internet services are provided by Vini and Viti. Internet Access will be provided on the Conference site and is available at the hotels. French Polynesia IDD Country Code: +689 GSM Mobile: Mobile network provided by Vini under its brand Vini has offering for Voice, SMS and data Services on 2G / EDGE / 3G / beta 4G / LTE. Local networks offer roaming to most developed countries including some Pacific Islands. For those that prefer using prepaid SIM cards, starter packs will be made available upon arrival. Prepaid recharge will be available at the Conference venue. 15. DRESS CODE Island smart casual / Business smart casual. Strongly Recommend no suits and ties. 16. APPENDIX 3: VISA REGULATION 1. Nationals from the following countries are entitled to a three-month stay without a visa European Union: France, including New Caledonia, Wallis and Futuna. Other countries: Australia, including Norfolk Island (Australian passport holders), United States, including American Samoa (American passport holders), Marshall Islands, Kiribati, Northern Marianas Islands, Federated States of Micronesia, Nauru, New Zealand including Tokelau, Niue and Cook Islands (New Zealand passport holders), Palau, Samoa, Solomon Islands, Tonga, Tuvalu. 2. Nationals from the following countries are entitled to obtain a visa prior their travel Nationals from Fiji, Papua New Guinea, Vanuatu are submitted to the obtaining of a visa with the embassy of France or the French consulate of their place of residence, including the foreigners holders of a temporary resident's permit (on 1 year in metropolitan France). This visa has to wear the compulsory mention: valid for the French Polynesia. Foreigners who have a permanent residence permit for continental France do not have to secure a visa. With the exception of citizens of the European Union and foreigners holding a permanent residence permit for continental France with 10-year validity, foreigners arriving in French Polynesia must be able to show proof a return ticket or, upon arrival, pay a repatriation deposit.
