Unloading
Unloading Instructions The South Town Expo Center will open at 7:00 a.m. Your display MUST be completed by 7:00 p.m. Enter from the South and follow the signs. Large trees only will be allowed on the East dock. Drop off points for other items are on the West side of STEC. Personnel will be available to direct you when unloading Large Trees. Fire lanes must be left open. Please follow directions, unload quickly, and promptly move your vehicle to the West parking lot. After unloading Large Trees, you MUST move your vehicle to the West parking lot. Parking is allowed on the West side of STEC only.
Check-in
Check in at the registration table by aisle to: 1) review your sign, 2) turn in cost itemization, 3) receive other information, and 4) turn in gift certificates.
Follow the Aisle Worker Check List at your Tree.
Tree Doctors
Tree Stand and Tree Bag Large Trees will need to purchase/pick up a FOT approved tree stand and a tree bag along the East Wall just North of Scones. Tree bags will be provided for Small Tree and may be found at assigned space. See Large Tree Policies and Procedures for Tree Stand pickup days/times.
FOT approved tree stand is mandatory.
*All trees must have their trunks reinforced with rebar. *Use PVC pipe if possible. *Refer to Policies and Procedures or online video for exact specifications.
Don t forget: Decorator MUST provide their own PVC pipe, rebar, hose clamps, etc. Decorator MUST provide a 6-9 extension cord and power strip that will be sold with the tree Tools such as: brooms, ladders, chairs, power and hand tools, saws, etc. Dress Warm! The hall can be extremely cold when the dock doors are open.
Please Note If you plan to include items that are larger or heavier than the tree, please be prepared to help with delivery. Remember, the trees are being delivered to homes and businesses. Trees need to fit through a regular-sized door. If you don t follow the policies and your tree breaks during delivery, you will be asked to help repair or replace it.
Use NEW artificial trees only. The tree (including topper) can NOT be taller than 10. (They don t fit on delivery trucks.) Each tree space measures 9 feet wide by 7 feet deep. Christmas-themed trees sell best.
Pre-lit trees are preferred. Otherwise, be sure lights are new and wired onto tree.
To reduce risk of fire, use no more than 75 to 100 lights per foot. Bring replacement lights on Decorating Day. Attach any replacement bulbs and fuses to your tree skirt. Lights
Decorations and ornaments must be glued together and wired onto the tree.
EVERYTHING must be secured onto the tree with wire.
Furnish a tree skirt
All items under and around the tree will be sold with the tree.
To avoid an electrical overload, be careful of the amount of items displayed around your tree requiring electricity.
Mark boxes with your tree space
An Aisle Worker (in a floral lei) must complete the LARGE TREE CHECK OFF LIST upon completion of your tree.
Return to Check Out table to complete check out process and receive a pink voucher to exchange for opening night invitations or thank you tickets.
Large Tree Donors can choose between: 3 Opening Night Invitations (total of 6 adults) Opening Night is Tuesday, November 28, 2017 from 8:00 p.m. 10:00 p.m. Opening Night Invitations each admit two (2) adults 6 Thank You Tickets (total of 6 adults) Can be used any day Festival is open to the public: Wednesday, November 29 Saturday, December 2 10:00 a.m. 9:00 p.m. Babies and children under 16 will not be admitted. If you wish to purchase an Opening Night ticket to attend the AUCTION at 5:00pm on Tuesday, November 28 th go to: www.festivaloftreesutah.org Additional Wednesday Saturday tickets also available online: Discount before Thanksgiving (Adult $6, Child 2-11 $3) Regular price after Thanksgiving (Adult $7, Child 2-11 $4)
Memorials Large Trees: If your large tree is dedicated to an individual, you may bring one 8 x10 photocopy to be placed with the tree. The matte or frame cannot exceed 11 x14. Other Auction Items: You may bring one 5 x7 photocopy to be placed with the tree. The matte or frame cannot exceed 8 x10. No other personal photos will be allowed on or around the tree.
Invoicing and Donations Properly list your prices in either the donated or purchased column respectively. List exactly what you paid for purchased items. This itemization will be a factor when pricing your tree for sale but may be adjusted up or down in order to reflect Fair Market Value. Be accurate, don t over- or under-value your donated items.
Gift Cards/Certificates If you re item includes a Gift Card or Gift Certificate: Mark the appropriate box when registering your auction item online. Turn in the card/certificate at the check-in table on Decorating Day. DO NOT leave your gift card or gift certificate on your tree. The Department Chair will make a sign for your tree indicating that it includes a gift card/certificate.
If your Tree is Sponsored For Cash/Money Sponsor: You must complete and mail in the Contribution Form and Check (payable to Primary Children s Hospital) to the address listed on the form. Once you have purchased the desired sponsored items, you will complete the Check Requisition Form and attach your receipt(s) which ONLY show those items for which you are asking reimbursement. Don t purchase personal items on the same receipt. Total reimbursement amount must NOT exceed the total contribution amount.
If you have Donated Items If you have donated items valued greater than $250 you must complete and mail in a Gift In Kind donation form. The donor will receive an acknowledgement letter from Primary Children s Hospital to use for tax purposes. DO NOT contact businesses to ask for donations without first clearing it with Primary Children s Hospital Foundation @ 801-662-5958.
Discount Card Be respectful to the business who have partnered with Festival of Trees. Do NOT use the discount card for personal use. Please DO use it for Festival purchases.
Important things to Remember Read all registration materials carefully. Please leave children at home. Groups larger than 10 individuals must make special arrangements with Department Chairwoman. Keep a record of expenses. Come prepared with supplies and tools. Do NOT remove chairs from South Towne chair racks.
