Introduction Welcome to our latest copy of information for group leaders who are visiting Porthpean Outdoor Education Centre. All the information included here is posted on the Centre s notice boards which are located in the dining hall. A copy of the Centre s Health and Safety Policy is available for the group leaders. This is underpinned by the Local Authority Guidelines and covers daily routine and procedures. General Information Porthpean Centre is situated overlooking St Austell bay just 2 miles from St Austell. All sleeping accommodation is under canvas tents except one chalet per village which will accommodate two adult members of the group. Porthpean is a campsite, and as such, when it rains everything gets wet and with as many as 180 people on site conditions are not at their best. Please be aware of the extra pressure on our resources during these times.

Before your visit Read and understand the Cornwall Outdoor Safety Policy 2016. This can be accessed via our website www.cornwalloutdoors.org. Clicking on Schools and Groups and then Useful Documents. You should act on all the requirements of the document which relates to your stay at the centre. Ensure that all accompanying staff have also read all the guidelines. Please ensure that the on-line Education Visit Form has been completed well in advance of your visit. Any problems contact Paul Parkinson 07973241824. pparkinson1@cornwall.gov.uk Understand that in certain isolated areas simple accidents may cause major problems, therefore establish emergency procedures for locations in which you intend to work and make these known to your staff. At least eight weeks before your arrival please complete and return the pro-forma to the centre. Late arrival of this form may result in logistical problems when you arrive on site and could affect your activity programme, food and accommodation. Ensure you have made provision for First Aid cover and equipment. On Arrival Report to the office to find the duty staff member allocated to your group. They will allocate your village and give you a full site tour on arrival. if you have any problems or questions please see him/her in the first instance. You should have available List of group members names including adults. List of any medical conditions, dietary requirements. A copy of your emergency procedures. Photo check sheets Please check through all tents on arrival and report any concerns you my have to centre staff. Car Park Please leave all vehicles in the car park. Parking elsewhere may cause congestion with centre vehicles and trailers. Cornwall Outdoors cannot accept any responsibility for the safety of any vehicles or its contents. Please do not drive on the grass field. During your stay The pastoral welfare and care of the group is the responsibility of the visiting group leaders. When a member of the Centre s staff is running a session he/she shares responsibility but does not take the place of the group leader. At all other times, including the lunch period and overnight the group leader is responsible for the welfare of the group. Overnight routine must include the following procedures: Students must know where to find leaders if a problem occurs Routine for overnight use of toilet blocks Children should be made aware of the presence of the overnight security guard. Where it is necessary for a child to leave their tent at night, they must not do so alone. Overnight Security As in previous years, the centre will contract an overnight guard (23:00 07:00). For single school occupancy and at weekends, the cost of this service (if required) will be passed onto the school or group.

Domestic Arrangements There are 5 villages. Each village has 7 tents and 1 cabin (sleeps two). All the tents have floor boards and the centre provides a vinyl foam mattress. All campers must bring their own sleeping bags and pillows. The cabin is lockable and is for leaders use only. Each group on site is allocated a village on the basis of accommodating 36 youngsters in 7 tents and 4 staff. It is possible to accommodate slightly bigger groups but please note that this could affect the activity days. Any extra numbers over 36 will have to bring their own mattresses/airbeds etc. Group leaders are responsible for the tidiness of their village and for the children s behaviour at all times of the day and night. Schools bringing low numbers of pupils may be asked to share a village which will include the allocated activity day. Whilst at the Centre It is the group leader s responsibility to: Ensure the tents and personal items are secure at night and when you go out Enforce group rules and responsibilities Regulate the groups behaviour during activity sessions Manage group logistics such as getting to dinner and activities on time Take charge of group during lunch breaks whilst on activities Ensure group members do not enter any of the out of bounds areas on site Ensure you are in possession of parental consent forms Deal with group medicine and first aid requirements Catering Arrangements Meal times: 8:00am Lunch: 5:00pm Breakfast by rota Group leaders are responsible for collecting their group s packed lunches at breakfast time. Evening meal by rota The Staff and children will have serving and cleaning duties during their meals to ensure mealtime run smoothly and it is clean for the next group. This will be done by rota. Visiting staff will be required to help serve drinks and meals to their own group only. Children will be required to clean up after themselves and clear tables and chairs away at end of service in preparation for the evening activities.

Packed Lunch Please remember that on your first day you will need to bring packed lunches for your pupils. Dining Hall Drinking water is available from the sink in the corner. Tea and Coffee is provided for staff members. Between meals the hall may be used as an indoor facility. Please liaise with centre staff if you wish to use the hall during the day. Please note the hall is closed for cleaning on Friday between 10am and 4pm. Please do not remove chairs or tables, cutlery or crockery from the dining hall or kitchen. There is strictly NO SMOKING in ALL rooms and tents. First Aid All groups should be self sufficient with First Aid equipment as recommended in the County Safety Guidelines. Therefore, there will be no First Aid supplies kept on site for group use. All centre staff are equipped with their own First Aid kits. Any accident must be reported to the centre office and logged in the appropriate record book. Accident Procedure Any accidents or illness occurring during your stay should be noted in the accident book and on the relevant forms, the latter being completed by the centre First Aid Officer who will then forward them to the district office. It is therefore essential that the Centre Manager is notified of any incident to members of the group or accompanying staff as soon as possible. Fire Drill The following procedures must be followed in the event of a fire. In the tented area: 1. Evacuate the area immediately 2. Sound the Alarm 3. Dial 999, ask for fire brigade. 4. Assemble group by fire assemble sign. Take register In the Buildings 1. Evacuate the building immediately 2. Sound the Alarm 3. Dial 999, ask for Fire Brigade 4. Assemble group by fire assembly sign. Take register. Please clarify these procedures to your group on arrival at the centre. Please point out that the water butts and buckets are for fighting fire and not for fun! There are various fire points and extinguishers around the site. These are potential life saving devices and should not be abused. Anyone found tampering with this equipment will be asked to leave the centre immediately. It is essential that all group leaders advise the centre of the total number of staff attending during the week and of any change, or additional visitors during the stay.

Planning your Programme After your booking has been confirmed you will be sent a diary sheet indicating on which days your centre led activities have been arranged. It will be necessary for some schools to have an activity day on Monday or Friday (travelling days). Centre staff will make every effort to co-operate with schools arrival and departure times. Centre staff can assist in most aspects of programme planning so if you require information beyond that which you have received please ring us. The usual session content will be a blend of building self confidence, co-operation and teamwork, skills acquisition, environmental and ecological issues and above all children will be encouraged to think about safety considerations for themselves The centre aims to provide the allocated activities given reasonable weather conditions. If the activity is called off for weather reasons an alternative will be arranged between group leaders the centre. Where students have particular medical conditions or special requirements, the centre must be informed in writing or by email and the instructor on the day must be made aware of the situation. The staffing is arranged on the basis that the number of students per village is 36. It may be possible to accommodate larger numbers on some activities but please be aware that we will not compromise the safety on any activity. Visiting staff will be wholly responsible for supervising any children not on centre led activities. The centre provides specialised equipment including wetsuits and buoyancy aids. Students should bring suitable footwear for the activities they are taking part in. If you would like any more information on this or any particular aspect to be emphasised please discuss this before arrival. On Departure Please check all your tents and village are tidy and clean of litter. Check lost property and drying room. Complete leavers form in the office to avoid invoice errors. Hand in any chalet keys. Please note that groups staying on a Monday to Wednesday basis need to vacate their village by 9:30 on Wednesday. All Wednesday to Friday groups can access their village from 10 am onwards. All bags etc. may be left in the dining room or barn.

Activities At Porthpean we specialise in outdoor and adventurous activities and our experienced instructors have an excellent reputation for delivering safe and enjoyable activity sessions at all levels, from simple tasters for beginners up to instructor training and assessments in most aspects of canoe sport, moorland walking and climbing. The instructors are qualified as a minimum standard to a Cornwall Council Approved level. Their qualifications often exceed those required. Residential Activity Entitlement Option A A five day programme consisting of 2 half days, 3 full days and 4 evenings. Full days: The Beach Exploring the coastline in canoes and kayaks; or work your way back by foot along the cliffs with coastal traversing, also try your hand at dingy sailing. Fowey Cruise the historic estuary in our Drascombe Gig and canoe rafts on the river. Half days: Archery & Climbing A day climbing on our indoor wall and testing your skill in the Archery range. Cycling and Problem Solving Learning good communication skills while working in a small team then a cycle ride through the woods on a circular course. High Ropes Test your nerve on the leap of faith, Fly down the zip wire and tackle the Jacobs Ladder. Building a crate tower and descend the abseil wall. Option A bookings will receive all 3 full and 2 half days as listed above, plus all 4 evening activities. Option B will receive one full day water based activity and the 2 half days from the list above. Half day activities can be increased to full days for an extra charge. Please contact the centre to discuss. All activities are subject to change and weather conditions. Evening Programmes Option A all the evening programmes are included. Option B we can arrange evening programmes at an extra cost please contact the Centre s office. The evenings will consist of a Sports Night, Circus Workshop, Mega Fun Evening and Disco.

Remember the Cornish climate cannot always be relied upon. Make sure you bring warm clothes - even in July! Personal Kit List It is not possible to give a comprehensive list of kit requirements as this will vary according to the length of stay and activities undertaken. Below is a set of guidelines from which you should draw up your own list. 1. Suitable clothing and footwear for activities planned. Footwear MUST be worn when participating in water sports activities. Old trainers, plimsolls, wet shoes etc are all fine. (Flip Flops, Crocs and Reefs ARE NOT SUITABLE). Wellington boots or old trainers for land based activities. A general rule of thumb is plenty of OLD clothing. 2. Night wear 3. Waterproof jacket and trousers 4. Swim wear 5. Sun hat, woolly hat and sun cream 6. Personal toiletries including towel and hand soap 7. Sleeping bag, pillow. blanket if required 8. Torch 9. Lunch box and drinks container 10.Mug for bedtime drink 11.Any medication needed (asthma inhalers, allergy tablets etc) given to leader. 12.Notebook and pencil 13.2 black bin liners for dirty and wet clothes 14.Small rucksack for day use 15.Disposable camera Please pack everything into a medium sized bag preferably not a suitcase ensuring: EVERYTHING IS LABELLED WITH YOUR NAME Please note: No knives, chewing gum, i-pods or other expensive items. Every year we have massive amounts of lost property, which is never claimed. Where possible, please ensure all children s clothing etc is accounted for. The centre will not take responsibility for the loss of personal equipment.

How to find us From Truro: Follow the A390 through St Austell. After passing Asda Superstore on the right, take next right signposted Porthpean. Take this road for about 1 mile past Penrice Hospital and Porthpean golf course. The centre is situated on the left just past the golf course, opposite the new children s hospice. From Liskeard: Take the A390 towards St Austell. Pass Tesco store and take 2nd exit at next roundabout (straight over). After roundabout take next left signed Porthpean. Take this road for about 1 mile past Penrice Hospital and Porthpean golf course. The centre is situated on the left just past the golf course, opposite the new children s hospice.
