IVC MARCHING GREY GHOST BAND CAMP FEES The camp fee is non-refundable once the student has paid the first installment of the registration fee on May 26th. There are several reasons for this disclaimer. The drill is written for each member and we are paying for every spot per page on the field. That process starts May 2017 and everyone is locked into all fifty pages of drill. It takes countless hours to redesign the program for the drill designer and the IVC band staff to reteach each spot seventy plus times. It causes lots of confusion and stress. We encourage your students to understand this hard work really pays off by the end of the season. Band Camp The IVC marching band has had band camp at Allerton 4-H camp in Monticello, IL for over 38 years. Monticello is located just west of Champaign-Urbana off of route 72. We have included a copy of google maps on the next page (extra maps are always available prior to our departure for camp in the band room or you can go on our website (www.ivcbands.com). Outside the grounds of the 4-H camp is Allerton mansion and gardens. It is an amazing setting for our students to explore during our days at camp. Several parents are volunteer chaperones and will keep an eye on your student. Usually one of the parents has a medical background and will dispense medications and other important safety essentials. If there is anything they need to know about your student s health, please make sure to put that information on the medical form that is required prior to departing for camp. Parents are welcome to come down on Friday afternoon or Tuesday during the entire day. If you do plan to come down to camp on Friday to drop off or pick up large items, please depart prior to dusk or arrive on Tuesday around 11:30 am to support our students. The gates to the park are locked at dark, so parents need to leave before dark. Students will be encouraged to drink lots of water or sports drinks (Gatorade). If we are playing music, it is asked that students not drink sugar drinks because it will damage the instruments over time. The cabins are not air-conditioned. Although there is a large fan in each cabin, it is recommended that they bring a clip on fan for their individual use. The activity code will be strictly enforced. If a student breaks the code, you will need to make arrangements to pick your child up from camp immediately. Only extreme circumstances are warranted to miss band camp and the individual is responsible for learning his or her music and drill in a very short time frame. This camp is designed to make sure we establish a great start to our year. It is mandatory to attend this week of activities. We grow and become a band in a very short period of time. We strive for excellence at camp and work very long days. We will have down time too. We also set aside time for the student to bond, get to know their sections and explore the gorgeous grounds that the park has to offer. Cell phones are not to be used while we are in a rehearsal setting. They are to be totally turned off, not even on the vibration setting. If this policy is violated, we will remove the phone until rehearsal is completed. If the violation continues, we will remove the phone until the end of the day s activities. The reason we ask you to honor this request is so we can be at the best we can be and minimize distractions that could cause us to suffer.

WHAT TO BRING TO BAND CAMP 1. Any kind of hat, sunglasses and water container that will protect you from the powerful sun, humidity and heat. We spend a lot of time exposed to these stressful elements and these items will keep you comfortable and safe. A water container can be kept on the side of the field as we march. Put your name on it!! This way it can be easily identified as well as save money on purchasing disposable cups. In fact, we would like to eliminate using those cups all together, so please make an effort to obtain a container. 2. Lots and lots of sunscreen!!! You will need it immediately when you get to camp. Someone always seems to forget, then gets burnt and is out for the rest of the rehearsals. This puts us way behind. 3. Comfortable tennis shoes!!! Absolutely NO FLIP FLOPS or Sandals. Anything that does not support you ankles and feet is unacceptable. There are bugs, rocks, sticks, etc. that are on that field and could lead to injury, which again, causes us to fall behind. 4. Proper and comfortable clothing. Nothing fancy. Just enough for 5 ½ days. Shorts and light colored T-shirts are appropriate. A sweatshirt, light jacket and one long jean/sweat pant will work for the cool nights. Remember, you are limited to one suitcase and one carry on bag. A swimsuit is optional since there is the green pond to swim in when a lifeguard is on duty. An extra pair of shoes would be wise to take also. The grass is very dewy in the mornings and shoes can get damp. 5. ABSOLUTELY NO COOLERS ON DISTRICT VECHICLES PERIOD. 6. Sheets, blankets, pillows or a sleeping bag. It can get quite chilly at night. In fact, some years it has been downright cold. These items can be carry on. 7. Only one stereo/sound system per cabin. A couple of fans to keep the air moving. There is a huge mounted fan in each cabin. 8. Soap, shampoo, towels and other necessary toiletries. Lip balm (DCT is excellent) Lots of good quality bug spray to keep those mosquitoes away at night. We rehearse well past dusk and those bugs like to bother us. 9. A pencil, clip clothespins so music doesn t fly away in the wind, proper tools for your instrument to work properly (oils, reeds etc.) and music folder! Memorize as much of your music prior to camp. Take it slow and steady and you should be fine. 10. If you are under any prescribed medications, please let the chaperones know so we can be sure they are taken properly and on time. All medications must be put in a zip lock bag with the members name on it and given to head chaperone / medical person prior to leaving IVC unless parent/guardian gives permission for the member to self administer the medication. 11. If you use an inhaler, epipen, any joint brace (even if you do not use it all the time) please bring it with you to camp. 12. Money for treats, extra Gatorade, etc. You can carry your own snacks in your carry on bag. In extreme circumstances the chaperones can make a run to the store. We also have extra water, Gatorade and treats to sell. 13. A positive attitude! Be prepared to work hard so at the end of our season, we can reap the benefits of our hard work! We are IVC!

What Not to Bring to Band Camp The following items are forbidden from the 4-H Allerton Park Camp grounds. If any drugs, nicotine or alcohol are found on your member s possession/luggage, we will call and ask you to make arrangements to remove your member from camp immediately. The administration will be contacted, the activity code will be enforced, and consequences will be applied. We have had this happen to two members over the past 33 years. One brought tobacco products and the other a quarter cup of alcohol in a Gatorade bottle. Both students agreed it wasn t worth it. We will check every area of the camp, luggage and cabins. FORBIDDEN ITEMS 1. Firearms, paintball guns, fireworks. 2. Pornography which includes but is not limited to music with inappropriate lyrics. If we hear inappropriate lyrics referring to fowl language or inappropriate behavior, the music device will be confiscated and given back when we return to school on Friday afternoon. 3. Air conditioning units, microwaves or other items to cook in the cabins. 4. Anything else that we, the camp staff/chaperones, determine to be harmful to all the members of this program. 5. Behavior not conductive to our camp situation will result in the expulsion from camp and a meeting with the school administration will be recommended. This includes a member leaving the campgrounds at night. We cannot tolerate those that endanger themselves by wandering into the strange woods at night. 6. If any vandalism occurs within the cabins, camp buildings or other members things, the parents of those responsible will be notified and the student will be charged for the replacement and/or repair by the U of I 4-H Allerton Park office. Other Important Information about Camp to Consider 1. Please make an effort to eat all the meals at camp. Even if you dislike an item, please also eat other things that are provided. EVERYONE is required to meet in the dining hall during Breakfast, lunch and dinner. We have important information to give at that time. We need everyone there. 2. If you do send extra foods/beverages, make sure it has good nutritional value! We have several students each year ignore this request and get sick. This causes us again to fall behind and lose valuable time. If soda or junk food is the min staple of their nutritional intake, WE ALL LOSE. This is a very intense week and allowing something that can be controlled cause us to fall behind is tragic. 3. Gatorades, raisins, granola bars, canned fruit, applesauce and other creative foods work real well. Soda will not replenish the body s nutritional needs that you need to sustain you through the entire week. 4. I understand cell phones are a necessity, but our focus cannot be on dealing with rumors. We are asking that you keep your cell phone at home. If not, we will ask you to use it only on breaks. We do not want parents calling staff/chaperones saying their student wants to come home because they are home sick or tired. We all have those moments, but our goal is to bond. Part of this experience is to learn to deal with hardships and become a band family.
