GENERAL TERMS As an Azamara travel partner you may establish one group per sailing. A group is defined as a minimum of 5 staterooms, and may include up to 25 staterooms without special approval (see Larger Groups below). Guaranteed rates When booking a group, Azamara Club Cruises guarantees that cabin rates will remain unchanged from the date of booking up until 150 days prior to sailing, provided you meet the following conditions: You must sell a minimum of four staterooms within 150 days of the original group booking date. You must sell at least 50% of your group space within 300 days of the original group booking date. Minimum Requirements To retain group status, you must meet minimum sales quotas by specified dates. You will forfeit group status if: You haven t booked at least four staterooms (double occupancy) by the end of the first 150-day option cycle. You haven t booked at least five staterooms by the end of the second option cycle. Bookings that fall below the minimum will be moved to individual environment and guest amenities (such as stateroom deliveries) are the only protected feature. Larger Groups If you would like more than 25 staterooms at the time of booking, please submit your request through your Group Advocate. We will respond within one business day (excluding weekends and holidays). Please be aware that other terms and conditions may apply for groups over 25 staterooms. DEPOSIT AND PAYMENT SCHEDULE Staterooms are reserved when we receive guest names and full payment of required deposits. Deposits are also required in order to add names to an existing booking. Requirements for submitting names and deposits depend on the type of stateroom and proximity to the sailing date, as described below: Guest names and full deposits are required within 30 days of group booking for triples, quads and Club Suite staterooms. Triples and quads require a minimum of three names. If you would like additional allocations or want to add to existing groups during the 150-day option period, the name and deposit schedule is the same as for your existing group. If you add inventory after the group has been reduced to sold (150 days before sailing), names and deposits must be submitted by the end of the prevailing option period for individual reservations. Important note: Please cross-reference credit cards to each individual guest as names are added to a group booking. Deposit Requirements The per-stateroom deposit is US $2,200 for suites, and US $1,100 for all other staterooms. Final Payment Date Final payment is due 90 days prior to sailing. Failure to submit final payment by the 90-day deadline may cause the group to be cancelled. For new allocations or additions to existing groups after the scheduled final payment date, payments should be made according to the option period for individual reservations. CANCELLATIONS A written notice is required for all voyage cancellations. Because voyages may be cancelled for a variety of unforeseen reasons, we strongly encourage guests to purchase the Azamara CruiseCare and Guest Protection Plan. GUEST NAME REQUIREMENTS When booking guests as part of a group, you may add and change guest names, subject to certain restrictions described below. These rules also apply to staterooms with TBA or Cabin Cabin placeholder names. Before submitting a group deposit: You may change the names of one or both guests in a stateroom with no penalty. When a deposit is made: You must provide a full guest name for each deposit. After a deposit has been made: You may make changes to all but one of the names listed on the booking. Changing a name up to 24 hours before sailing: You may change the name on a reservation, but such changes will incur additional charges if the guest has arranged air travel through ChoiceAir, documents have been issued, or the request is made less than 35 days prior to sailing. Names cannot be changed for any sailings in Code Red (close to being oversold) or for any voyage within 24 hours of sailing. INVENTORY MANAGEMENT AND REVIEWS After a group has been reduced to sold (150 days prior to sailing), you may continue to add up to a maximum of 25 staterooms, subject to availability, at prevailing fares. These bookings will be made under the terms of the individual reservations option, or under guidelines for 150 days prior to sailing, depending on the sailing date. If you would like to request staterooms that are not available to groups, but are available to FIT, you may add inventory at prevailing fares. After staterooms are transferred into your group, you will need to provide names and required deposits according to the current option cycle offered in FIT. FIT-to-Group transfers are subject to the following conditions: Travel partners may not exceed the 25-stateroom maximum. No inventory can be added if the sailing is Code Red. Bookings cannot be transferred if a commission has been paid, documents issued, or the booking is within the penalty period. Group fares are not protected and GAP points may be applied. Benefits earned in Individual Reservations are not transferable. Inventory Reviews When the initial 150-day option period ends, Azamara Club Cruises may contact you to review unsold group inventory. At this time, we may recall any unsold inventory (inventory held without names and full deposits). If we recall inventory, you will have seven business days to add names and payments. For sail dates at risk of being oversold (Code Red sailings), Azamara Club Cruises may contact you at any time. STATEROOM PROTECTION Azamara Club Cruises will protect fares and inventory when reservation information is lost as a result of our error. However, we cannot protect fares or lost inventory resulting from travel partner errors, including misquoted pricing or erroneous information entered into our system. If a reservation is cancelled, we will protect the fare if the reservation is rebooked within 48 hours, providing the same inventory is still available and the new reservation includes required names and payments. GUEST GENERAL INFORMATION Voyage Documents Voyage documents are delivered electronically, generally 28 days prior to the sailing date. Guests sharing the same stateroom will receive one set of documents unless a second set has been requested prior to printing. Guests may also request paper documents in lieu of e-documents. This request must be made at least 21 days before sailing to avoid additional charges. A document fee of $35 will be charged if identical documents need to be reprinted or replaced. Air Program Through the ChoiceAir program, Azamara Club Cruises guests have a variety of options for arranging air travel at competitive rates, including a do-it-yourself option available through ChoiceAir s easy-to-navigate website. There is a nonrefundable $15 per-ticket fee for domestic flights (US and Canada), and $25 per-ticket fee for international flights. All guests using the ChoiceAir program receive transportation and baggage transfers between the airport and dock. ChoiceAir also offers ChoiceAir Plus, which includes hands-on professional assistance and added convenience for larger groups. Nonrefundable fees are $35 more than the do-it-yourself option described above. ChoiceAir professionals will make their best effort to book groups originating in the same city on the same flights, but this isn t always possible and cannot be guaranteed. Dining Groups of 15 guests or more can elect to dine together or to enjoy their meals in open dining. If you have a group this size or larger, please make them aware of this option, then select either the open or together dining option at the time of booking. Upon boarding, a member of the group should make dining arrangements directly with the ship s maitre d. Groups that wish to dine together will be seated when the entire party is present and ready to dine. Cocktail Party with hot or cold canapés Your guests will enjoy a one hour cocktail party with open bar and an option to add hot and cold canapés. 10 full fare adults are required. Private Wine Tasting Your guests will receive a voucher to attend a private wine tasting onboard. Led by our wine sommelier your guests will sample and learn about a variety of red and white wines. One Hour Internet Your guests will enjoy 60 minutes of internet use per stateroom. This may be used at our econnections room or via wireless connection. Stateroom Deliveries Wine or Chocolate Covered Fruit Platter Choice of one bottle of champagne, two bottles of wine or one chocolate covered fruit platter with a minimum of 10 full fare adults. Miscellaneous Onboard Credit Choice of $25USD, $50USD, $75USD or $100USD GAP onboard credit per stateroom. Onboard credit is limited to $100USD maximum per stateroom. Onboard credits are non-transferable and are only applicable to sailed group staterooms. Onboard credits are non-refundable and may not be redeemed for cash. Marketing Fund Marketing funds are deducted from the invoice at final payment. Marketing funds are limited to one payout per group per stateroom. Fundraiser Amenity Program Available to travel agents and organizations located in and organized under the laws of the United States or Canada. Proof that the organization validly exists and is a 501 C or other acceptable non-profit organization is required. TRAVEL PARTNER REWARDS AND MARKETING INFORMATION Tour Conductor Credits Azamara Club Cruises travel partners earn one cruise-only tour conductor credit for every ten full-tariff guests, based on double occupancy. You may earn a maximum of 12 tour conductor credits on a single group. These credits can either be applied to a single berth or paid as a marketing fund. The value of the cruise-only tour conductor credit is determined by the category of stateroom that you have sold most of within a group. If you sell an equal number of staterooms in a higher and lower fare category, the value will be based on the lower category. Single occupancy guests paying 200% of the full fare count as two guests for tour conductor credits. Group Amenities Points (GAP) Program The Groups Amenities Plus program helps you customize offers for specific groups. Please ask your group sales representative for details on GAP points available for specific sailings. You must decide how to use your GAP points by the time of final payment. Azamara Club Cruises allows value-add credits of up to US $100 per guest per voyage, with the stipulation that credits must be equally distributed to all guests in your group. To request value-add, please complete a separate request form for each sailing. Requests must be made and approved within the 150-day option cycle or within 150 days of sailing, whichever comes first. Value-add request forms are available on CruisingPower.com. Refunds for voyage cancellations that include value-add credits must be made to the guest, and cannot be issued to a travel professional or agency. Group Marketing and Promotions Many of our travel partners use marketing materials to promote group fares. Prior to distribution, these materials must be approved by your Azamara Club Cruises sales representative. All marketing materials must contain a statement identifying the ship s registry. Some restrictions apply on the advertising or promotion of group fares.
