Exhibitor Manual Welcome and thank you for participating in the International Martial Arts Show. This Exhibitor Manual provides you with necessary information to prepare for the Show. The Show Office will be set up at the Palais des Congrès, Hall 210d, on Friday May 26, 2017 at 12:00 pm and Management will be available to assist you for the duration of the Show. MOVE-IN INSTRUCTIONS EXHIBITOR MOVE-IN TIMES Friday May 26, 2017 12:00 pm - 7:00 pm Exhibits may not set up during Show hours. All exhibits must be set up by Friday at 7:00pm unless alternate arrangements have been made with Show Management If you plan on having a vehicle or trailer in your booth as part of your display, you must arrive for move-in between 12:00pm & 4:00pm on May 26. LOADING DOCKS Please note that the loading docks are located at 163 St-Antoine W. corner of St-Urbain and Jeanne-Mance streets. Dock level access is available. Dollies and a pump truck will be available for your use. If you require a forklift to move material from the dock to your booth, a forklift will be available at no charge. However, if you have excessive forklift requirements please speak with your sales representative to discuss your needs. A charge may apply. 3

EXHIBITOR BADGES PRESHOW BOOKING DEADLINE: May 10, 2017 Personalized badges are provided to every exhibitor to be picked up at the Show Office during move in. Badges must be worn at all times to gain admittance to the Show and during all Show hours. To request your badges, please email the names of your booth participants including Company Name to: nadia@salonartsmartiaux.com Your badges can be taken at the accredition table at the entrance door 210d on the installation day on May 26th. Please send us the list of names for the printing of access badges berfore May 10th. TELEPHONE / INTERNET PRESHOW BOOKING DEADLINE: May 16, 2017 You must order online. See the E Portal form attached. BOOTH CLEANING PRESHOW BOOKING DEADLINE: May 16, 2017 You are responsible for maintaining your own booth space. The Palais des Congrès is available for in booth cleaning if you require it. Fees will apply. You must order online. See the E Portal form attached. MOVE-OUT INSTRUCTIONS Sunday, May 28, 2017 5:00 pm - 9:00 pm Booths may not be dismantled before 5:00 pm. Please make your travel arrangements accordingly. All material must be removed by 9:00 pm Sunday, May 28, 2017. Items left on the Show floor after move-out is completed will be forced off the floor and a charge will be incurred. 5
SHIPPING AND DELIVERIES TO THE SHOW The most cost effective way to ship your items to the show is to arrange delivery for May 26, 2017 during move-in hours. You can use your own preferred shipper. PLEASE NOTE: the facility WILL NOT receive shipments prior to Friday, May 26, 2017. Show Management will sign for deliveries on your behalf on Friday, between the hours of 8:00 am - 6:00 pm. Materials will be left at the dock until you arrive. Should you require the use of a forklift, one will be available. EXHIBITOR PARKING The Palais des Congrès does not offer a parking pass. Parking is available in the Palais parking at the corner of Chéneville (1025) and Viger Streets. FOOD SAMPLING PRESHOW BOOKING DEADLINE: May 12, 2017 Samples must be no larger than 2oz. For any distribution, a written request to Capital must be made at least 10 days prior to the event. Please read the enclosed document for important information. 6
RULES & REGULATIONS Booth Display & Restrictions No exhibit may exceed a maximum height of 8 ft. Side panels 8 ft. high, must not exceed a depth of 4 ft. extending from the back of the display. The remainder of the 6 ft depth from the front of the booth must not exceed a 4 ft. height. Any exception to this must have pre-approval from Show Management. Prefab booth partitions must be finished on both sides. If they are not, please request drapes prior to the show. Signage No signage or material may be extended above the 8 ft height at the back of your booth nor hung from the ceiling or across the aisle, without approval from Show Management. Demonstrations/Distributions Displays, demonstrations or distribution of advertising materials, are not permitted outside the confines of your booth. The use of microphones is not permitted without prior Management approval. Fire Regulations The International Martial Arts Show is obligated to abide by the Fire Code regulations in each city. We therefore retain the right to refuse any material or object that does not confirm to code. Please refer to the fire regulations document from the Palais des Congrès. If you have a question or need information regarding the Fire Code please contact the Palais des congrès. Animals In The Show Animals are not allowed in the building unless they are used as a working dog for the blind. Helium Balloons Helium Cylinders are permitted if they are firmly secured by chain to a cart. 7
