HICKS AIRPIELD PILOTS ASSN March 14,2019 Board Meeting Minutes Meeting called to order at Pro Aircraft Lobby at 7:00pm by President Tom Martin. Board member Bob Avery absent. Five HAPA members were present. Opening remarks: Tom reminded those present that the Spring Fling Social will be held Saturday, March 23 rd at the Texan Diner. Information is in Flappings, at the mailboxes, and on the south entrance sign. The week of April 15 th is the court date concerning the reopening of the north gate. Mike Hall will be marking taxiway areas for repairs in early April. Unfinished Business: New runway entrance warning signs purchase, motion made by Marlin Klotz and seconded by Jay Pratt. Motion passed. New Business: Brock Street discussed replacing existing windsocks with l.e.d. lit socks. Motion made by Mike Reddick, seconded by Jay Pratt. Motion passed. Open Discussion: Floor opened to attending members. South gate inop again. Mike is waiting for a callback from Galaxy Gates. Motion to adjourn by Mary Reddick, second by Mike Reddick. Motion passed. HAPA TABLES AND CHAIRS FROM THE BOARD By Bob Avery, Director Many years ago some of the airport members thought it would be a good idea to have our own tables and chairs for airport get-togethers, or airport social events. Those members with BOD approval bought some of the tables and chairs with airport funds, and some members personally donated tables and chairs. While not an official count, we had around 30 tables and over 100 chairs in the early days of this effort. One of our earlier members that was handy with metal fabrication (think it was Terry Fisher) built the wagon style trailer we now use for transporting the tables and chairs around the airfield (it is not highway legal so it cannot go off the airfield). The method of use for many years was to have a volunteer responsible for keeping a calendar for the members to reserve the tables and chairs on a first-come first-use basis and the members checked out the trailer and returned it when finished. The reserving member was responsible for cleaning and returning the tables and chairs after use, and verifying the count. This system worked fairly well for years, but like all good ideas over time the system developed some issues. It was easy to leave a few tables and chairs in one's hangar "for just a few days use"; a few chairs got damaged or broken and never repaired or replaced; occasionally members just needed a couple of tables "for a project"; and so on. Over time the count diminished and some years we had no volunteer willing to keep up with things. The 2018 BOD voted to have the remaining tables and chairs AVAILABLE ONLY FOR HAPA FUNCTIONS; due in part for the lack of a volunteer to be responsible for them. If one needed tables and chairs for an event and looked at local rental prices around this area, the tables rent for about $ 8.00 per day and the chairs rent for about $ 1.50 per day. New fold up tables cost about $ 40.00 each and new folding chairs cost about $ 20.00 each. For the amount of tables and chairs HAPA now has that would cost about $ 300.00 for a day's use. I propose to the current BOD (of which I'm a member) that we ask for a voluntary donation from any member desiring to use the tables and chairs. Those voluntary donations would go toward replacing and building up the quantity of tables and chairs. (HAPA is a not-for-profit entity so we can t charge a fee and or make a profit on anything like this). Just donating enough for 1 table or a few chairs with each use would replenish the count in a year or so. If the BOD approves I will volunteer to take on the task of keeping track of the reservations and use of the tables, chairs, & wagon for the rest of the year.
