TEXAS TECHNOLOGY STUDENT ASSOCIAION Dear Chapter Advisor: On behalf of our State Association, I want to welcome you to the 2019 Texas TSA State Conference. Whether this is your first time at State Conference or you are an experienced veteran, the following pages will provide you with all you need to know to have a successful conference experience. What s New? In the summer of 2018, the National Competitive Event Guide for High School was revised. Please make sure you are using the most current addition. At the state level, the rules were updated/revised to adjust for changes in the national level events. Please see the Texas TSA Rulebook - Part #4 National Qualifying Events. https://www.texastsa.org/wp-content/uploads/2018/11/04_18-19-rulebook_nqe- 11_13.pdf Schools competing in NQEs will receive a separate email in April with some reminders about contest adjustments we must make at State to allow for the shortened time. Many of these are already listed in the TEXAS TSA RULEBOOK in the NQE SECTION. We are no longer using the Chapter Dashboard by Techlocally. All of the registration will take place in Register My Chapter by DLG. This system is the same system used for Chapter Affiliation. Your log-in and password is the same as your log-in for membership/affiliation. Instructions for registering for conference can be found in the Registration Packet included with this letter. The Texas TSA State Officers have placed a priority on community service and supporting our national service project - the American Cancer Society. This year at State Conference, your Texas TSA State Officers are sponsoring a Conference Kick-Off - Glow Bash. This event will be held immediately following the First General Session on Thursday night, April 25. Cost of the event is $20/person and includes a meal, entertainment and community service. There will even be a contest to see which Chapter glows the brightest during our Glow Bash walk. Chapters are encouraged to make signs and show your support by being the brightest Chapter at Glow Bash. Please see the flyer included with this packet for more information. Celebrate your Chapter s accomplishments by topping off your State Conference experience at the Texas TSA Day at Six Flags before leaving the Dallas/Fort Worth Metroplex. On Saturday, April 27, immediately following the Third General Session - Awards Ceremony, head on over to Six Flags. Our group will receive a substantial discount on tickets for the day. Chapters will also have the option of purchasing meal vouchers and souvenir bottles at a discounted price. Tickets do have to be purchased in advance and can not be purchased at the gate with the discounted rate. More information is included in this packet. The Fort Worth Convention Center will once again offer pre-ordered meals and/or concession vouchers to assist our Chapters in feeding their students during Conference. The pre-order form is included at the end of the registration packet. All orders are processed and paid directly to Trinity F & B Services and must be ordered no later than Monday, April 22. This year at the Fort Worth Convention Center we will be utilizing Exhibit Hall A & B, Conference Rooms, Ballroom, and the Arena. We will have more room to spread out. There will also be another conference utilizing the other Exhibit Halls during our conference. Therefore, there are a few new policies going into this year s conference. Chapters/students shall NOT hang-out or camp in the hallway spaces. All Chapters need to be inside the Exhibit Halls or Arena. We will be providing plenty of round tables and utilizing the stadium seating in the Arena to assist you in this area. Additionally, VEX will be getting more space including a full pit area. At no time can students/advisors operate or repair their robot outside of the pit area. If teams are found violating this policy they will be disqualified.
For the safety of all attendees, Texas TSA has instituted a "clear bag" policy for the Opening Sessions, Meet & Greet Session, Business & Election Session, and Awards Session. No bag larger than 6.5" x 4.5" will be allowed. All bags larger than this must be a clear bag or clear tote. What is allowed: What is NOT Allowed: Clear tote Clear bag Plastic zip top bag Small purse Clutch Backpack Camera Case Diaper Bag Oversized Tote Bag Large Purses/Totes Wallet A limited number of clear, zip-top bags will be available on-site. Conference staff, uniformed- and plain-clothed security officers will be enforcing this policy at all sessions. LEAP - Leadership. Education. Achievement. Personal Growth. National TSA s leadership program, LEAP, is now part of ALL National Qualifying Events (NQE) at both the middle school and high school level. The purpose of the LEAP (Leadership. Education. Achievement. Personal Growth) is to encourage students to be the best member they can be as they seek knowledge about themselves, the organization, and their community, while demonstrating leadership. As a customized program specifically developed for TSA, LEAP brings to life the TSA motto, creed and mission statement. Students who do not turn in a LEAP Report (HS) or LEAP Response (MS) in a National Qualifying Event will be DISQUALIFIED. Inherent in LEAP s Be. Know. ALL fees must be paid thru Robo Events. NO registrations and/or payments will be made on-site. NO EXCEPTIONS! Bus Parking: Texas TSA has secured ninety (90) parking spots for buses and/or trucks/trailers at a rate of $50 per vehicle. Bus/Truck passes are on a first come first serve basis. Bus/Truck passes can be purchased during registration under the Purchase Items Section. Bus/truck parking will be located down by the Stockyards and the Fort Worth CVB will provide complimentary shuttle service from the parking lot up to the Convention Center. Students may NOT ride the shuttle, only adult bus drivers and/or advisors. Shuttles will NOT run after curfew. Paid security will be available at the parking lot throughout the conference. Conference Hotels: All hotel rooms will be booked through the Texas TSA hotel block. Any school booking outside of conference block will incur a penalty of $100/attendee registered for that chapter. Additionally, all schools participating in on-site events, will be required to stay on-site in the hotel block. The only exception to this policy, are schools who are within a 20 mile radius of the Fort Worth Convention Center. Registration will open March 4, 2019. Registration will close March 22nd. at 5:00 pm CST. NO CHANGES OR REFUNDS WILL BE MADE AFTER THIS DATE. Please do not wait until the last minute to book your housing or complete your registration. Payments may be made by PO, Check or Credit Card. General Information - 2019 All Competitive Events will take place at the Fort Worth Convention Center Thursday, April 25 - Saturday, April 27, 2019. First General Session will be held on Thursday, April 25 at 6:00 PM, Second General Session and Business Meeting, Friday, April 27 at 8:30 AM and Awards Ceremony will be held on Saturday, April 28 at 12:00 PM. Registration Materials may be picked up on-site on Wednesday, April 24 at the Registration Booth on the First Floor of the Convention Center from 6:00-7:00 pm or Thursday, April 25 beginning at 9:00 am. Only the Chapter Advisor can pick up the registration packet. All attendees (student participants and adults) will be issued a conference ID. ID s must be worn at all times during the conference. Security will be checking for IDs. Anyone without an ID will be asked to leave the conference. If ID s are lost, replacement ID s will cost $5.00 and can be obtained at the Registration Desk. DRESS CODE: REQUIRED COMPETITION ATTIRE FOR ALL NQE (National Qualifying Events) Shirt: official TSA shirt (royal blue) Pants or skirt: gray Shoes: black dress shoes worn with black or dark blue socks, hosiery (optional); open-toe shoes or sandals are acceptable (unacceptable: athletic shoes; flip-flops; military boots; or work boots) Also required for the middle school or high school level Chapter Team event only (but may be worn for other competitions if preferred by participants): Blazer: navy blue with official TSA patch Tie: official TSA tie (males) Females are not penalized for wearing the official TSA tie to Chapter Team or any other competitive event. *This includes the drop off of projects. Official dress is required!
REQUIRED COMPETITION ATTIRE FOR ALL UTE (Unique to Texas Events both projects and on-sites) Shirt: official TSA polo (royal blue) or a shirt with a collar, NO LOGOS other than a TSA logo. Pants: At a minimum, dark blue jeans with NO holes or frays, slacks preferred. NO SHORTS are allowed for male or female at ANYTIME during the conference. REQUIRED CONFERENCE ATTIRE FOR ALL ATTENDEES Shirt: Shirt must have a collar (button down or polo). The only logos allowed are: National TSA logo, State logo, or Chapter logo. Please note that students MAY NOT enter a contest wearing their school name/logo. Pants: Pants must be without holes or fraying. Jeans are allowed providing they are free of holes and tears. Slacks are preferred. NO SHORTS are allowed for male or female at ANYTIME during the conference. Before beginning Event Selection in the Registration process, you MUST get with your Regional Data Coordinator. Your Regional Data Coordinator will provide you with a list of events that your Chapter has QUALIFIED to compete in at the 2019 Texas TSA State Conference. Prior to receiving this list, you can begin registering your students. You may go in as many times as necessary. Just don t hit submit until you are done. If you register for any events that have not been approved by the Regional Data Coordinator & the Texas TSA Data Manager, Alex Garcia, your school: (1) will be disqualified in that event; (2) will NOT be eligible for ANY school awards; (3) will be fined $500. DO NOT REGISTER FOR VEX AS AN EVENT! ONLY REGISTER THE STUDENTS TO ATTEND THE CONFERENCE WHO ARE ON THE TEAM. If you would like to order shirts and ACS Event Tickets separate from your registration, please do those items on a separate invoice after you are registered for conference. Both items will appear but you will get two separate invoices. If you are using a credit card to purchase/pay for conference, A 3% processing fee will be incurred. Do NOT go to PayPal and pay directly thru PayPal, please pay thru Register My Chapter. A W-9 and a CIQ is included with this packet to assist you in registering for the Conference.
Registration Guidelines Registration will be open from March 4 - March 22, 2019 All registrations will be completed online. Directions to complete online registration: 1. Go to https://www.registermychapter.com/tsa/tx/login.asp?from=register.asp 2. Log-in using your National TSA user name and password. This is the same user name and pass word used for membership affiliation. It is NOT your Chapter Dashboard username and password. 3. Register all students, advisors and guests who will be traveling from your school. Prior to the March 22 deadline, you will have the ability to add or delete participants, chaperones, and/or bus drivers. NO REFUNDS OR CHANGES WILL BE MADE AFTER THIS DATE. 4. Additionally, you will also register all students who are not attending the conference but will have a project competing. You will do this by entering the student name and then marking them as Not Attending. You will then select the event for the project area in which they are competing. You will not be charged for the student but you will be charged $12/entry that will compete. 5. DLG uses Level 1 & 2 to distinguish between middle and high school. Therefore, to register projects as Level 1 & Level 2, you will use the terms Beginner and Experienced. All Level 1 projects are Beginner meaning that the student is in the first class of a coherent CTE sequence. All Level 2 projects are Experienced meaning that the student has had two or more classes in a coherent CTE sequence. 6. If you need a Bus/Truck Parking Pass, you will also add this item under the Primary Advisor s Registration. Bus Passes and maps will be sent to Chapters after registration closes. 7. You will also have the ability pre-order Texas TSA conference items. To save time, you can add all of the items to one person s registration by clicking on the Purchase Items All items will be given out during registration. During registration, conference t-shirts will be offered at a discounted rate. At the conference, t-shirt prices will increase. AFTER you have registered the student to attend the conference, please register them for the events they will be competing in by clicking here. Search for events by entering the Event Classification Number found in the Texas TSA Rulebook.
7. At the end of your registration process, please make sure you hit the submit button. Print out a Copy of your registration invoice (an invoice will be emailed to you after submission) and mail the invoice with your check or PO. 8. You will be emailed a receipt once payment has been received. NO changes or refunds will be made after registration closes On March 22, 2019. All payments registration, entry fees, bus parking will be paid to Texas TSA.
