Meeting Minutes 2016 January - December January 8th, 2016 Meeting Notes Meeting was opened by President - Sharon Tompkins at 7:35 with the pledge of allegiance. Other officers present were Vice - President Charlie Minton, Secretary Michelle Burbrink, Treasurer Barb Ferguson and Publicity Alberta Lewellen. A motion was made and passed to schedule the Spring Fling for April 22nd, 23rd and 24th, with a rain date of May 13th, 14th and 15th if needed. Again we will have a pitch-in dinner on Saturday evening (club will provide the meat). Details will be posted as soon as all the ducks are in a row. A suggestion was made to correct the Board of Director list to Sue Reno to a 2 year term and Ray Tompkins to a 1 year. It was wrong at the November meeting. It already has be corrected on the website. Motion made and passed to pay $68.00 for our P.O. Box. A key to the P.O. Box will be given to Alberta to help John Smith collect the mail during the first 4 months when membership dues are being mailed in. Committees: Security: Wallace Gullett will be the chairman. Other members on the committee are Ray Tompkins, Ben Wilmont and Tony Spaw. Trail Ride: Chairman will be Suzy Thelmer, with Michelle Burbrink, Alberta Lewellen and Sonya helping. Membership: Rhonda will be heading this up and will be making packets with Membership Application, By- Laws, Ground Rules, Campsite Rules. The club will be purchasing 100 envelopes for this project. Rhonda will also be creating the 2016 club directory. Fun Show: Chairman will be Sharon Tompkins, with Barb Ferguson helping. Michelle made a suggestion that all officers and Board of Directors try to be at all of the monthly meetings and the Board of Directors meetings. It was pointed out that when decisions are made it helps when officers and BOD are active. There was a Lot of discussion about this and everyone seemed to agree that being active is important for meetings and BOD meetings. Suggestion: If you are an officer or Board of Directors you need to attend the meeting. That way you will know what has been going on. Work Days: Scheduled for April 2nd, 9th, 16th. These work days will be to clean up the club grounds to get ready for the Spring Fling and the summer. Things that need done are; building cleaned out, out houses cleaned, shower house cleaned, Refrigerators cleaned and Entry booth cleaned. Website: Barb will be handling the website. If anyone needs to get something posted send it to Barb Fergusonbarb56@yahoo.com A motion was made and passed to form a 2016 By-Law Committee: Chairman Suzy Thelmer, John Smith, Sharon Tompkins, Barb Ferguson. There is 1 spot left for a member to fill this committee. The last by-law committee review was in 2011. Meeting adjourned. 8:45pm? February meeting was cancelled due to bad weather. March 13th, 2016 President Sharon Tompkins called the meeting to order at 7:40pm with the pledge of allegiance. Other Officers present were Vice Pres - Charles Minton, Treasurer - Barb Ferguson and Publicity - Alberta Lewellen. Secretary - Michelle Burbrink was absent. The meeting was then turned over to our guest from the DNR Clark/Deam State Forest manager and his Deam Lake assistant Jennifer. They had horse tags available to purchase. Patrick started out with news that construction has started back up at Henryville Horse Camp comfort station after being down for the winter. Also closed harvest area is by Frankie Lake at Henryville that does not involve horse trails. Henryville Horse camp day parking has been closed and will continue to be closed until construction of Comfort Station is over if not longer.

Saddle Club riding area information: Trail Closures due to Timber Harvest on Jackson Road Trail is posted closed right now and will be closed until loggers are done and the horse trail is graveled and fixed before reopening. The entire Jackson Road is posted closed. Also closed is the trail that is directly across from the Saddle Club Building. This is the section of the red horse trail from the saddle club all the way over to Jackson Road that is also closed. Patrick left us with an active and future map of timber sales to post at the club. Also DNR is doing a controlled burn south of Round Knob the first of April. Deam Lake the gatehouse is going to have fiber-optic installed that will speed up the check in for visitor s and campers. The culvert is about finished and they will be open for business April 1st. Deam Lake is looking for employees for the summer and they are looking for concession, grounds keepers and gate house help. It was also pointed out to contact our Legislators and let them know our concerns about the forestry logging and horse trails. Washington St. Indianapolis, IN 46204-2786 - 1-800-382-9842 Patrick also thanked us for our part in the Deam/Clark horse trail fundraiser we had at Deam Lake in November last year. Total Raised and sent to IDNR foundation earmarked for Deam/Clark was $750.00. ITRA will be scheduling this event annually and will be happy for Pekin Saddle Club, DBDR and Clark County Sheriff s Posse to join in as sponsor's again on Saturday November 5th. Details will be posted in a few months. Michelle secretary is taking a leave of absence due to a family member that is very ill. We have no minutes from previous January meeting. We hope to see Michelle and Susie later in the summer. Treasurer s report from January thru March was read and approved. January 1st, 2016 Beginning Balance $9,897.96 with expenses of $1,589.51 and March 11, 2016 ending Balance of $9,250.45. $9,250.45 minus ($1,325.00 Campsite Maint. Gravel Fund) account leaves $7,925.45 in general account. This is all in same account, just reported and recorded separate. Also the complete Financial Ledger from 2015 was signed off on by the Board of Directors present. Tax information has been taken to Premier Accounting and is now signed and sent in to State, Secretary of State filing has been done and paid. Work Days: Scheduled for April 2nd - April 9th - April 16th - 10:00 am each day. Check out the website for more details of what need done. Campsites: A report will be given after the April meeting. Fun Shows: We will have a fun show at the Spring Fling if the weather cooperates and we have enough people that want to have it. Funs shows will be the 2nd Saturday of each month May thru September. Spring Fling: Motion was made and approved for April 22 23-24 will be simple, more relaxed due to trail closures with limited trails, no organized ride just a get together with a pitch-in dinner like last April $10.00 per person. We will have a fun show if enough people are interested and the weather permits. Membership: Welcome new members - We had 3 new members present at meeting, Karl McDonald, Morris McDonald and Larry Chillman. Motion was made to replace our 3 X 5 US flag and approved. Gwen Cook will be checking on getting a flag donated from The Legion and VFW. If not donated Gwen will purchase and we will reimburse. Newsletter: We need someone to help Alberta with the Newsletter; she does not have a computer and needs help. After much discussion Barb offered to help get the minutes to Alberta and use the clubs printer to copy, Alberta and Bonnie labeled and stamped envelopes for the next Newsletter going out. Indiana Quarter Horse Association is hosting a Charity Trail Ride at Deam Lake on September 9th 10th 11th. Meeting Minutes for May 13th, 2016 Meeting brought to order by President Sharon Tompkins at 7:05pm, other officers present were Vice President - Charles Minton, Treasurer - Barb Ferguson and Publicity Alberta Lewellen. No minutes from April. Treasurer s Report read and approved. Committees: Concessions: Alberta will be doing the concessions from now on for the Fun Shows - grilled Hamburgers, hot dogs, chips, cokes. Sharon will be bringing a grill. Campsite: Report will be given next month. A walk thru will be done by then. Fun Show: We will be having a fun show tomorrow if anyone shows up. The arena is very wet and we will see tomorrow. Membership: Report next month. We have 49 members at this time. A discussion about lifetime members that do not send in their membership form renewals. If members choose to not send in they will not receive a newsletter and will not be in the yearly directory. We need lifetime forms as well as other members. This will be added to the Newsletter so members know this. Maintenance: Will be getting gravel for the CMGF later this summer when it dries out. Campsite: Committee meeting on for Saturday at 2:00pm to look at campsites and discuss rules and things. A BIG THANK YOU to Dennis, Charlie and Tony for going out and cutting trees off of the trails. A motion was made and passed to pay Sharon back $50.00 for the Pekin 4th of July program sponsor. Meeting adjourned 8:38pm. Pekin Saddle Club - June 10th, 2016 Meeting Minutes. Sharon Tompkins brought the meeting to order at 7:44pm. Other officers present were, Vice President Charles Minton, Treasurer Barb Ferguson and Publicity Alberta Lewellen. The Previous minutes and Committee Reports: Fun Show: We are having a fun show tomorrow. Dennis has already drug the arena. We have entry cards ready. Membership: Rhonda reported that we have 54 memberships and 22 lifetime memberships and that gives us a total of 76 memberships. We are running a Membership drive again this year. The member that sells the most new memberships will receive a free membership for 2017. The 2016 winners were: AJ Deen and Ben Wilmont with a tie. Both received $30.00 for getting 2 new members each. Also reported the 2016 Directory will be ready for the July meeting. Maintenance: Gary Chesser asked when we were doing the gravel for the CMGF. It was reported it will be later this summer when it dries out and some members volunteer to bring tractors with loaders so the gravel can be shaped up. Also we will be getting some lime for the stalls behind the building that will need a tractor with a loader to do this job. Next year it will be on auto pay thru PSC bank account debit card. Campsite Committee: Campsites look very bad, several have not been touched at all this year! Sharon reported that all campsite assignee s will have 30 days (from June 24th) to get your campsites cleaned up. The committee will be doing a walk thru after the 30 days and the sites in violation will be sent a notice. Barb asked for Pekin Saddle Club to sponsor the Horse Trail Fundraiser held at Deam Lake on Saturday November 5th, 2016. A motion was made and approved to spend $100.00 to help sponsor this event. Last year Indiana Trail Riders Assn, Daniel Boone Distance Riders, Clark County Sheriff s Posse and Pekin Saddle Club helped raise $750.00 that is in the DNR Foundation earmarked for Clark/Deam horse trails. Meeting adjourned at 8:25pm.

Pekin Saddle Club July 8th, 2016 Meeting Minutes. Sharon Tompkins brought the meeting to order at 7:40pm. Other officers present were, Vice President Charles Minton, Treasurer Barb Ferguson and Publicity Alberta Lewellen. The Previous minutes and Committee Reports: Fun Show: We had a pretty good show for July show. We made $136.00. Concession: Alberta and Sonja has been cooking for the Fun Shows and it has been very good. They made $96.00 in July. Membership: Rhonda reported that we now have 86 members counting 22 lifetime members. The membership directory will be ready by August 12th meeting. Maintenance: Will be getting Gravel and Lime as soon as it dries out enough. WE NEED MEMBER VOLUNTEERS THAT HAVE A TRACTOR to help with this project. Old Business: A motion was made and passed to pay the ITRA associate membership of $25.00 for the year. It was reported that the Horse Trail Fundraiser at Deam Lake will be held on Saturday November 5th, Ride on your own. Pitch-IN Dinner 6:00pm (meat provided by sponsoring clubs). Dinner Donation of $10.00 per person. All proceeds go directly to the Clark/Deam Horse Trails. Sponsoring Club are: Indiana Trail Riders Assn., Pekin Saddle Club, Daniel Boone Distance Riders and Clark County Sheriff s Posse. Meeting adjourned at 8:04pm. ************************************************************************************************* August 12th - Regular meeting - No meeting due to not enough officers in attendance. ************************************************************************************************** September 9th meeting was called to order by President Sharon Tompkins at 7:40pm. Other officers present were Charles Minton Vice President and Alberta Lewellen Publicity. Treasurer - Barb Ferguson was absent, however a treasurer s report was provided. 9/25/16 Update on logging on Jackson Road. The loggers are wrapping it up. However the horse trail is still closed. There is a lot of tops down over the trail and a lot of mud. It looks like it will need a lot of work before it is officially opened for trail riding. Due to not being opened at this time the club voted to have a simple "Fall Fling" no organized rides. Hopefully we will get the trail back soon. Fall Trail Ride: A motion was made and approved to have the Fall Fling for October 7, 8 and 9th. Jackson Road is still closed due to logging operation, no organized rides will be taken out. A motion was made and voted to purchase $100 worth of tack for the drawings. Alberta will be taking care of this. Cost: (13 & over & Adults is $10.00) (Children 6-12 is $5.00) - (5 & under free) October 7th Friday: Registration: $10.00 per person (everyone on grounds must register and pay for the weekend. October 8th, Saturday: Ride on your own. No organized rides. Fun Show - Registration at 3:30pm, show starts at 4:00pm. Saturday evening: Pitch-In Dinner (chicken provided by club). Everyone is to bring a dish. Saturday evening: Karaoke. Sunday: Ride on your own. Drawing for prizes, get your ticket when you register. No other reports. No new business, meeting adjourned. Pitch-In Dinner, meat provided. Bring a $15 gift to play Dirty Santa. January 14th, 2017 Regular monthly meeting 7:30pm. November 11, 2016 Meeting was called to order by Vice President - Charlie Minton a 7:35pm, other officers present were Publicity - Alberta Lewellen and Treasurer Barb Ferguson. Sharon Tompkins was absent. No previous minutes were available. Treasurer's report was read and approved. No committee reports were given. No new business. ATTENTION: December meeting will be Saturday December 10, 2016. Christmas Party Pitch-In Dinner starts with short meeting at 6:00pm, dinner following. Bring a $15.00 gift to play the dirty santa game. December 10th, 2016 Meeting was called to order by President - Sharon Tompkins, other officers present were Vice President - Charlie Minton, Treasurer - Barb Ferguson and Publicity Alberta Lewellen. Treasurer's report was read and approved. After no more reports we had our Chistmas Party. Good food for everyone. We had a wonderful meal with chicken, dressing, green beans, corn, rolls, baked beans, mac and cheese etc... The desserts were really fabulous. After dinner we played a nice santa game.
