1. Mission Week Programme The Business Mission week in Singapore and Thailand will take place from Monday, 22 May to Saturday, 27 May 2017. You should arrive at the mission hotel in Singapore no later than 12:00 on Monday 22 May 2017 in order to prepare for the business exhibition and to attend the first mandatory briefing session at 12:00 on the same day. All mandatory events will take place at the Sands Expo and Convention Centre in Singapore and the Intercontinental Hotel in Bangkok, Thailand. 1.1. 1.2. Mission Week Events At the time of release some of the venues and event details are still to be confirmed. You will receive a final agenda with all confirmed venues and event details shortly before the mission week. 1.2.1. Briefing Session Singapore Date: Monday, 22 May 2017 Time: 12:00 15:00 Venue: To be confirmed The Briefing Session comprises a final update on mission week events in Singapore and Thailand, meetings scheduled by the organisers and in-depth presentations on doing business in Singapore by local sector experts. 1.2.2. CommunicAsia Business Exhibition Days Singapore Date: Tuesday, 23 May Wednesday, 24 May Thursday, 25 May 2017 Time: 10:30 18:00 Venue: Level 5, Sands Grand Ballroom, Sands Expo and Convention Centre The Business Exhibition will take place at the Trade Exhibition Venue. Participants will be able to showcase products and technologies to a targeted audience of potential business partners. Adhoc and pre-scheduled business meetings will take place at booths or nearby meeting areas at the exhibition. Meet-the-Exhibitors sessions are scheduled to be held concurrently with the exhibition. 1.2.4.1. Exhibition Floor Plan The Exhibition floor plan will be available from mid-april 2017. Booths in the exhibition venue will be grouped in principle by sector and sub-sector. Information & Communication Technologies Business Mission Programme/Participant s Manual - Page 7 of 27

1.2.4.2. Exhibition Booth You can find an image of the standard booth with the dimensions and a list of standard furniture being provided in the Member Area on the website. You can also order extra furniture and equipment via the Organise My Booth form. 1.2.4.3. Booth Setup You will be able to enter the exhibition hall to prepare and do final checks on your booth on Wednesday, 22 May 2017 from 15:00 18:00. All booths must be ready by 18:00. If you ship items by the mission freight forwarder, the items will be delivered to your booth accordingly. 1.2.4.4. Exhibitor Listing and Catalogue Board There will be an exhibitor listing and catalogue board placed next to the registration counters located within the pavilion. You will be allocated an acrylic box to place your company catalogue. The acrylic box is only catered for up to A4 sized catalogues. 1.2.4.5. Lunch Lunch boxes will be provided for participants only during the exhibition days. No meals will be provided for trade exhibition visitors. 1.2.5. Business Networking Reception Singapore Date: Tuesday, 23 May 2017 Time: 18:00 20:00 Venue: To be confirmed The Business Networking Reception hosted by the European Union is an opportunity to network with business partners, potential partners, and professional colleagues in an informal environment. Participants can invite their own guests and have the opportunity to meet representatives from EU Member State embassies and organisations in Singapore. 1.2.6. Briefing Session Thailand Date: Friday, 26 May 2017 Time: 09:00 10:30 Venue: Level 4, President 1 & 2, Intercontinental Bangkok The Briefing Session comprises of in-depth presentations on doing business and the Information and Communication Technologies sector in Thailand by local sector experts. 1.2.7. Business-to-Business Meeting Days Date: Friday, 26 May Saturday, 27 May 2017 Time: 11:30 18:00; 09:00 14:00 Venue: Level 4, Pinnacle Hall, Intercontinental Bangkok The Business-to-Business Meetings will take place at the designated venue. Participants will be able to showcase products and technologies to a targeted audience of potential business partners. Ad-hoc and pre-scheduled business meetings will take place at table top booths or nearby meeting areas at the exhibition. Meet-the-Exhibitors sessions are scheduled to be held concurrently with the exhibition. 1.2.7.1. Exhibition Floor Plan The Exhibition floor-plan will be available from mid-april 2017. Booths in the exhibition venue will be grouped in principle by sector and sub-sector. 1.2.7.2. 1.2.7.3. Table-top Setup You will be able to enter the ballroom to prepare and do final checks on the table top on Friday, 26 May 2017 from 10:30 11:30. All table-top setup must be ready by 11:30. If you ship items by the mission freight forwarder, the items will be delivered to your table-top accordingly. 1.2.7.4. Morning Coffee Break, Lunch and Afternoon Coffee Break Meals will be provided for participants only during the exhibition days. No meals will be provided for trade visitors. 1.2.8. Business Networking Reception Bangkok, Thailand Date: Friday, 26 May 2017 Time: 18:00 20:00 Venue: Level 4, Pinnacle Hall, Intercontinental Bangkok The Business Networking Reception hosted by the European Union is an opportunity to network with business partners, potential partners, and professional colleagues in an informal environment. Participants can invite their own guests and should have the opportunity to meet representatives from EU Member State embassies and organisations in Thailand. Each company will receive two (2) invitation cards during the briefing session in Singapore. 1.2.9. Debriefing Session Date: Saturday, 27 May 2017 Time: 14:00 16:00 Venue: Level 4, President 1 & 2, Intercontinental Bangkok The Debriefing Session is a mandatory event for you to give feedback on EU Business Avenues and the business mission week to representatives of the EU. You will also be asked to complete a short questionnaire before departing the mission. The information you provide at the Debriefing Session is valuable to the EU and organisers in considering how EU Business Avenues in South East Asia can be made more effective for European companies. 2. Mission Week Preparation: Travel, Accommodation and Logistics 2.1. Singapore Business Mission 2.1.1. Travelling to Singapore You or your company should make the necessary arrangement for your flight and pay for your tickets. The cost of the flight tickets should be paid by you or your company and it will not be reimbursed. All flights will arrive at either Singapore Changi Airport Terminal 1, 2, or 3. 2.1.2. Travelling to Mission Hotel (Conrad Centennial Hotel) in Singapore Conrad Centennial Singapore Hotel, an award winning hotel, located within business and shopping districts of Marina Bay, minutes from Marina Sands. Address: Two Temasek Boulevard, Singapore, 038982, Singapore DIRECTIONS Take the East Coast Expressway (ECP) in the direction of the City. Filter left at 15km mark and continue to Rochor. Turn left to Temasek Blvd. Go round the Suntec Fountain and continue to Temasek Blvd. The hotel is facing the Suntec Fountain. The cost of taxi ride is approximately: SGD30. 2.1.3. Singapore Visa Entry Requirements If you are holding an EU Member State passport, you will not require any visa during your visit to Singapore for the stipulated business mission. 2.1.4. Arrival Date You should arrive at the Conrad Centennial Hotel in Singapore no later than 10:00 on Monday, 22 May 2017 in order for you to prepare for the business exhibition and to attend the first mandatory event at 12:00 on the same day. 2.1.5. Departure Date The exhibition will end at 16:00 on Thursday, 25 May 2017. Please note that we have contracted rooms at Conrad Centennial Hotel until 25 May 2017 and you will have to book your stay until 25 May 2017. You are advised to take the evening flight to Bangkok on 25 May 2017 and ensure that you reach the designated venue in Bangkok in time to attend the logistic briefing session at 09:00 the next day. 2.1.6. Booking your Accommodation To be eligible for the EU accommodation co-financing, you must book your accommodation using the Book Your Accommodation Form in the Members Area of the Website. The deadline for booking of your accommodation is Friday, 7 April 2017. After the deadline, you may not be able secure a guaranteed room at the mission hotel. 2.1.6.1. 2.1.6.2. Accommodation Co-financing Each company is entitled to the EU Accommodation co-financing of up to 1000 for up to 6 nights stay during the entire Mission week. The full cost of any other charges you may incur, such as minibar, etc., and additional rooms will not be reimbursed. Please note that you have to pay for the accommodation first and reimbursement will be made within 4 working weeks after the business mission. It is important to note that upon booking and confirmation of the hotel accommodation, no cancellation will be allowed. To be eligible for accommodation co-financing, you must: Stay at the designated mission hotel (Conrad Centennial Hotel) Book your room accommodation using the Booking link that can be found in the member page Attend all mandatory mission week events Information & Communication Technologies Business Mission Programme/Participant s Manual - Page 13 of 27

2.2. Thailand Business Mission 2.2.1. Travelling to Bangkok, Thailand You or your company should arrange your flight and pay for your tickets. The cost of the flight tickets should be paid by you or your company and it will not be reimbursed. 2.2.2. Travelling to Mission Hotel The designated hotel in Bangkok is the Intercontinental Hotel Bangkok. Address: 973 Ploen Chit Road, Pathum Wan, Bangkok, 10330, Thailand It's very easy to get caught up in gridlock traffic any time of the day or night, and waste a lot of valuable time in the process. However, with excellent and modern public transport systems in place, Bangkok is surprisingly easy to navigate your way around. The Skytrain (BTS) and underground (MRT) rail systems connect the main shopping, entertainment and business areas of the city, while river taxis and express boats can be used to explore many historic sites and attractions at the riverside. Taxis are cheap and appear on virtually every corner at almost any time. Tuk-tuks, once a big Bangkok attraction, are slowly disappearing in favour of more comfortable transport, but are still worth a ride at least once. Always buffer enough time when travelling in Bangkok! Consider the travelling time before booking your flight out from Bangkok. Thailand Visa Entry Requirements Foreigners planning to come to Thailand must hold a passport valid at least six months after the date of arrival. The VISA EXEMPTION RULE allows tourists from 52 countries to enter without a visa. airport. However, persons, entering through a land border checkpoint from neighboring countries will be granted a maximum stay of 15 days. Arrival Date You should arrive at the designated mission hotel in the evening of Thursday, 25 May 2017 in order for you to prepare for the business exhibition and to attend the first mandatory event at 09:00 on Friday, 26 May. 2.2.5. Departure Date The last mandatory event that you are required to attend is the debriefing session. It will be organised on 27 May 2017 from 14:00-16:00hrs. Thus, you are to take note of this ensure that you have sufficient time for travelling to the airport to take your flight out of Bangkok. 2.2.6. Accommodation at Intercontinental Hotel Bangkok 2.2.6.1. Booking your Accommodation In central Bangkok and one of the city's largest hotels, InterContinental Bangkok provides ultramodern luxury and a true cosmopolitan escape. The hotel stands directly adjacent BTS skytrain station, making travel to the area s cultural attractions quick and convenient. Thailand's largest shopping malls are within walking distance and major world-class medical centers can be reached in a mere 10 minutes. Accommodation Co-financing Each company is entitled to the EU Accommodation co-financing of up to 1000 for up to 6 nights stay during the entire Mission week. The full cost of any other charges you may incur, such as minibar, etc., and additional rooms will not be reimbursed. Please note that you have to pay for the accommodation first and reimbursement will be made within 4 working weeks after the business mission. It is important to note that upon booking and confirmation of the hotel accommodation, no cancellation will be allowed. To be eligible for accommodation co-financing, you must: Stay at the designated mission hotel (Intercontinental Hotel Bangkok) Book your room using the Members Area Attend all mandatory mission week events Information & Communication Technologies Business Mission Programme/Participant s Manual - Page 16 of 27

3. Logistics 3.1. Customised Services Your company may avail of any of the optional customised services on offer for your business mission. The EU will co-finance 80% of the total cost of customised services that you order, capped at 1000 per company. Companies may of course, order services exceeding the capped amount. As an example, if you order 1000 worth of customised services, you will be reimbursed 800. If you order 2000 worth of services, you will be reimbursed the maximum amount of 1000. The Customised Services Guidebook contains the full list of customised services, including details on the order and delivery process. This can be downloaded in the Members Area of the website along with the order form and reimbursement template. The deadline for submitting the Order Form is Friday 14 April 2017. 3.2. Mission Catalogue Your company s participant and company profile for the Business Mission Catalogue is shown in the Create my Catalogue page in the Members Area. The deadline for the submission is Tuesday, 28 March 2017. No amendments are allowed after 28 March 2017, so please ensure that your information is accurate. The information provided shall be translated into Thai for promotion of your company in Thailand only. 3.3. Shipping 3.3.1. Important Guidelines You are to take note that the exhibition space allocated to each company in Singapore is 9sqm and in Bangkok, it will just be a table top. As such, please do not bring heavy line items for display due to the space limitation. Due to the tight timeline of the mission programme, it will not be possible to freight any items from Singapore to Bangkok, Thailand. If you wish to display the same sample(s) in both countries, you are recommended to freight two (02) samples for the entire mission; 1 to Singapore and 1 to Bangkok. For lighter items, you are advised to carry on board with you. Only appointed freight forwarder is allowed. You are advised not to courier any items directly to the venue as there will not be any personnel receiving it on your behalf. For participation in the Singapore exhibition, you are to make arrangements to freight back the sample(s) to Europe no later than 25 May 2017. For participation in the Bangkok exhibition, you are to make arrangements to freight back the sample(s) to Europe no later than 27 May 2017. For disposal of your sample(s) in Singapore and Bangkok, please contact the appointed Freight Forwarding Agent. If you require freight forwarding services, you have to contact the respective Freight Forwarding Agent in Singapore no later than 7 April 2017. Please note that official freight forwarders must be appointed for mechanical handling within the exhibition hall(s). Forklifts, cranes and pallet trucks from exhibitors and other forwarders will not be permitted into the exhibition hall(s). Exhibits arriving on site without a pre-appointed official freight forwarder will be referred to an official freight forwarder by the Organiser. All costs incurred will be borne by the exhibitor.
