Conference Ehibition All breaks, lunches, Welcome Function and Pre-Gala Dinner drinks will be served in the ehibition area. Registration and Payment Trade displays include two full registrations for sales representatives. Full payment is required to secure your booking. Cancellations Cancellations prior to 1 October will incur a $150+GST administration fee. Cancellations between 1st - 24th October will incur a $500+GST fee, cancellations after 24 October will not be eligible for a refund. Terms and Conditions Bump-in Details Booths will be constructed by 1.00 pm on Tuesday 8 November 2016. Ehibitors should set up between 1.00 pm and 5.00 pm. More information regarding bump in and deliveries to the Brisbane Entertainment and Conference Centre will be available late September 2016. Bump-out Details Ehibitors may dismantle their booths on Thursday 10 November 2016 following the final session at 5.00pm. All ehibition material must be removed as soon as possible following the conference close and by the time indicated. Booth Dimensions The panels used are aluminium frame, white laminate infills with silver vertiface walls. The standard booth size is 3 metres (W) 2 metres (D) 2.5 metres (H). Each booth includes one black and white company name fascia board. Full colour fascia name boards are available through Moreton Hire for an additional cost. Booth Allocation Our 2016-2017 Partners will have an opportunity to reserve their preferred booth in advance of other ehibitors. No booths will be allocated until full payment is received. Storage Storage of any products or materials are the responsibility of the ehibitor. IPWEA Queensland is not responsible for providing storage space at the venue. Name Badges Name badges will be issued to ehibitors and must be worn at all times while at the conference venue. Ehibition Rules No advertising material eg banners or brochures is allowed outside the designated ehibition area. Ecessive noise that inconveniences other ehibitors or the conference sessions will not be permitted. No obstruction of any form is allowed in the aisles and walkways. While companies are encouraged to pursue innovative ways of attracting delegates to their stand, practices disadvantaging other companies or detracting from the ehibition are discouraged. Public Liability Insurance/Indemnity It is a requirement of ehibiting at the conference that each ehibitor provides a copy of their Certificate of Currency, which includes details of the underwriter, amount insured and period of insurance prior to the ehibition. Liability for Booth Contents & Other Public Liability Issues While the organisers and the venue will provide reasonable security during the conference, neither the conference staff nor the venue, nor any of their staff, employees, agents or other representatives shall be held responsible for any damage, loss, harm or injury however caused to the property of the ehibitor or the ehibitor s staff, employees, agent or other representatives, or to members of the public, nor to goods or other property sent off in transit to the venue or remaining there after the event. Completion of the application form will be treated as confirmation of your acceptance of these conditions. Note: ehibitors should consult their own insurance companies for coverage of their ehibition equipment and displays (especially audio-visual equipment). Registration conditions Registration is not finalised until payment is received Registration changes are possible up to 21 October Registration cannot be guaranteed where registrations and/or payment are received after 21 Oct Substitutions for the original registration must be advised in writing and will attract a $33 administration fee. Cancellation Policy All conference cancellations must be received in writing. Cancellations received prior to 1 October will incur a $150+GST administration fee. Cancellations made between 1st - 24th October will incur a $500 +GST fee. Refunds will not be issued to cancellations made after 24 October. Cancellation of Event The organisers reserve the right to cancel the ehibition or to hold it at other times as near as practicable to the original dates where circumstances necessitate without liability to IPWEAQ.
