GROUP LEADERS Welcome to Wintercamp The Staff and Service Team welcome you to Wintercamp, and hope that you will have an enjoyable weekend. In the interests of safety please ensure that everyone in your party is aware of the following procedures: In the event of an incident/accident: Immediately inform a member of staff or Service Team. They will initiate the appropriate procedures. Follow directions issued by staff members or St John Ambulance. The First Aid Post is located in the Swan Centre All calls for emergency services should go through the Activity Centre Reception, except where a delay could be life threatening. Discovery of Fire: Raise the alarm by ringing the fire bell and warn everyone in the vicinity. For a small fire, try to control it using fire buckets or an appropriate extinguisher until help arrives. Do not put yourself at risk. If in doubt, leave it alone. On hearing the fire bell: Evacuate your campsite immediately and report to the closest assembly point. These are located outside the Lid, and opposite the White House. On hearing the Emergency Evacuation Alarm: The evacuation alarm is a single pitch air horn. Evacuate your campsite immediately, and go to the emergency evacuation points. These are situated near the perimeter track on Branchet field and at the bottom of the Quick. Report to the Assembly Point Officer. Please ensure there is at least 2 metres between tents or 1 metre between guy-ropes.! Identity Cards Please make sure that everyone wears the correct ID card that corresponds to the nominal roll and that they are on show at all times. Lost or damaged cards can be replaced from the centre reception. First Aid

St John Ambulance are based in the Swan Centre or can be contacted via the White House Reception. If the office is closed a notice will display the Emergency Duty telephone number. Mud This year because of the inclement weather we ask that everyone takes particular care on the roadways and paths as these will be muddy or icy. We also ask that you speak to all your young people about the dangers of ice on the Bomb Hole and do not enter this area. Breakfast For those that wish to purchase breakfast, it will be served in the CIC Restaurant between 7:30am and 9:30am on both Saturday and Sunday, this is not pre-booked. An All Day Breakfast service will be available from the snack bar on the Camp Square. Pre-Booked Meals If you have booked meals, tickets are included in your pack. Please note that these meals are only available during the slot you have been allocated. Meals are served in the International Centre, your group has been allocated a meal slot shown below: SLOT 1 2 3 Saturday Lunch 11:30-12:30 12:30-13:30 13:30-14:30 Saturday Dinner 17:30-18:30 18:30-19:30 19:30-20:30 Sunday Lunch 11:30-12:30 12:30-13:30 13:30-14:30 T-Shirts If you have pre-ordered a souvenir t-shirt, you will have been given vouchers in your welcome pack. Present your voucher at the t-shirt collection point in reception to collect your t-shirt. Any surplus tshirts will be available for sale on a first come first served basis from the Providore on Saturday after lunch. We are sorry but there will be no additional orders placed for t-shirts. Please check your order before leaving as mistakes cannot be rectified afterwards. Rubbish

Please seal all rubbish in bags, rubbish should be separated into landfill and mixed recyclables and placed in large wheelie bins around the site. Bags can be obtained from the White House Reception please do not leave bags next to bins or road ways as squirrels will get to them before we can! Food and Foxes We appear to have quite a few foxes on our camping areas and as such would kindly request that you keep any food items tightly secured. Any food waste should be put into a bin bag and secured and then placed into a Silver bin. Please do not leave any food in a bin bag without placing it into a Silver bin. The bin lid must also be closed. If you are camping, you are advised to keep your tents closed and secured, some of our foxes are very friendly and enjoy taking your shoes to play with! Fires Fires can be lit, but only on designated fire spots or on an altar fire. Altar fires are available adjacent to the Providore on a first come first served basis. Firewood is available in the woodpile on Essex Chase, please use sparingly. Shuttle Bus The shuttle bus will run to a timetable, shown at the bus stop in the Gilwell House car park it will stop at Tesco in Waltham Abbey and all offsite car parks. Norovirus At Winter Camp... we will be taking a number of additional precautions to raise awareness of the virus potential and the need for strict hand washing and food hygiene regimes. There will also be additional cleaning of toilets and bathrooms. As a Group, it is important that you give your members a strong message about hygiene and take the necessary precautions for the preparation of food (see Camp Food Safety Factsheet http://www.scouts.org.uk/safety ) In The Event of... one of your members contacting the virus whilst on camp, please contact the White House Reception as soon as possible, and prepare to arrange for that person to return home. It is important that the information on your Home Contact list is as robust as possible. Who s who? Wintercamp is predominantly organised and run by volunteers, we have over 300 staff working on activities, cleaning toilets, collecting rubbish and many other behind the scenes tasks. Should you have any feedback about the event we d love to hear it we can t do anything about things that may be wrong unless someone tells us. All our Event Staff will be wearing their ID badges. Area Leaders will be wearing hi-visibility jackets. The Activity Centre Managers and Event Managers can be contacted through the White House Reception. Your young people can just wander around and turn up to any of them (except horseriding, whitewater rafting and kayaking which require booking as there are limited places). Bookable activites can only be booked by young people. On Saturday some activities may be limited to just one go. The participant id card will be used to keep track of this and our staff will advise. A Wide game will also be held at 19:30 on Saturday evening, please register your group with the White House Reception during Saturday limited places available! This year will be based on a set of challenges as part of man hunt. Horseriding, kayaking and whitewater rafting As these activities are off site your young people need to book, the booking desk will be located in the Marquee on Essex Chase on Friday evening (9pm onwards) until places are full for Saturday morning and then again on Saturday morning (10am onwards) for the afternoon sessions and then finally Saturday evening (from 7pm) for Sunday s sessions. Please remind your young people to turn up for their booked sessions with appropriate forms and clothing for the activities. Cinema CIC Seminar rooms 19:30, 21:30, Wreck it Ralph, Monsters University Branchet Lodge, 20:00 and 22:00 Hotel Transylvania Snackbar is open on Camp Square and will serve a variety of hot and cold snacks Jack Petchey Lodge, 20:00 and 22:00 Frankenweenie Peter Harrison Lodge at 20:00 and 22:00 Despicable Me 2 Saturday Night Disco and Party Join in the fun after the campfire, in the Lid. There will be plenty of party games/prizes and of course the disco.

Closing Ceremony Based on feedback from groups in previous years, we are not running a closing ceremony at this event. Leaders Entertainment and Activities Bars: Two bars are available for leaders: in the International Centre (CIC) which will include music/dj and in the Whitehouse which will be more relaxed, these will be open from 19:00-23:00 on Friday and 19:00-00:00 on Saturday. Please ensure that your group knows where you are should they need you! Please do not embarrass the bar staff by bringing anyone under 18 into the bar area. The bars are a Non-Smoking Area. Quiz: In addition a Quiz will be run on Saturday evening in the Whitehouse bar, this will start at 20:00. Activities: Zip wire will be open all day on Saturday. In addition an evening Leaders Activities Session will run Saturday evening and will include Dodgems and Waltzer (19:00-20:30), simulator, Outdoor Laser with night vision(19:00-20:00), Robogeddon(19:30-20:30), Climbing (19:30-20:30), Rodeo Bull (20:30-22:00), Brushboarding (19:00-21:00), Whitewater rafting which must be pre booked (16:30 and 17:15 departures from Gilwell). For Whitewater rafting, this must be booked on Saturday morning (10am onwards) at the desk in the entrance to the Whitehouse Campfire: Leaders are welcome to attend the campfire, this starts at 1930 in the Small Campfire Circle on Essex Chase Information Centre: This will be open for Leaders on Saturday 9:00-12:00 and is located in the headquarters offices. Noise In previous years we have had complaints about loud music being played on campsites late at night, please respect other campers and do not use sound equipment or fireworks whilst at Wintercamp. Going Home Please note there will be a one way system in operation and the arrangements may not be the same as when you arrived. Please follow the directions of the Traffic Management team who will aim to get you on your way as soon as possible.

If you require a kit run or trailer tow, please speak with the Kit Run Coordinator in the Branchet Car Park and register (you will be given a number) when your number is called your kit/trailer will then be taken to Branchet car park for you to unload and then load into your vehicle. Please ensure your group s equipment is totally ready and that you have people to unload in Branchet car park. Thank you for attending Wintercamp, we look forward to seeing you next year...
