Please note that Opus will be reserved for President s Club Award Dinners on the night of August 12, and will have limited availability on the nights of August 13 and 14. Guests are allowed to bring 2 bottles of wine per stateroom (no beer or hard liquor) in their carry-on luggage on boarding day. Alcoholic beverages that are purchased in ports-of-call or from shops on board will be stored by the ship and delivered to you on the last day of the sailing. Activity changes can be made up to 15 days prior to boarding the ship. If an activity isn t available, please visit the Shore Excursion Desk on Deck 3 to check availability once on board the ship. CELEBRITY REFLECTION ONLINE CHECK-IN: NEW THIS YEAR! Celebrity provides electronic cruise documents (edocs) for all guests. You will receive a link to direct you to Celebrity online registration within 7 days prior to our sailing date. By checking in online, and printing the necessary documentation prior to embarkation, you not only save time, you won t have to fill out any forms at the pier. Please gather the following information for you and your guest when you re checking in: Ship, sailing date, and Celebrity reservation number Passport (name must match exactly with name on your cruise/airline tickets) Home address Emergency contact name with phone number Travel plans before and after your cruise Credit card for the Onboard Expense Account NOTE: For security purposes, the system will time out after 30 minutes even though there is activity, so make sure you have everything listed above before you begin. There are four steps to complete for each guest on the reservation: 1. Guest Information: Enter required contact and immigration information. Personal information, contact details, emergency contact, and travel documentation including passport number and expiration date (or other accepted document). You will also need to provide your travel plans before or after the cruise private vehicle, flight information, taxi, or other with approximate arrival times. 2. Onboard Expense Account: Set up an expense account for your onboard purchases as all Celebrity ships operate on a cashless system. You may establish a master account and add guests from your stateroom or another stateroom as authorized purchasers on your account. If setting up an account with cash, simply make the appropriate selection and move forward. If setting up an onboard expense account with a credit card, the card holder must be one of the guests sailing. You will need to provide your credit card s last four digits and expiration date. You will need to bring this card with you to check-in on embarkation day. Any time you make changes to your Expense Account Information, you must print a new Xpress Pass. 3. Cruise Ticket Contract: Scroll down to read and accept the cruise ticket contract for yourself and guests in your reservation. 4. Xpress Pass: Print your Xpress Pass for your departure. Sign where requested and bring with you to check-in along with your travel documents! You must complete and print your Xpress Pass 3 days prior to your sail date. After each guest has provided the necessary information, you are done with Celebrity s Online Check-in! When you and your guest arrive at the Civitavecchia Terminal, you ll just need your signed Xpress pass, luggage tags, identification documents, and credit card that you registered online. PUBLIC HEALTH QUESTIONNAIRE When you arrive at the port, you will be asked to fill out a Public Health Questionnaire prior to boarding. This is a mandatory standard procedure for Celebrity Cruises. If you show signs or symptoms of illness, the ship s medical team will talk with you and determine if you can board. If for some reason you cannot board, ADP will cover the expenses for your return trip home. 4
ONSITE PRESIDENT S CLUB MOBILE APP You will receive an email, a week prior to travel, with instructions on how you and your guest can download the onsite President s Club App. Your travel mailing will contain an App Information document that provides an overview. The app will have: Your personalized agenda for each day of the cruise (not including Shore Excursions) Information on how to change your pre-selected Shore Excursion through the ship Transportation information for getting to/from the airport Your Awards Dinner table assignment, and much more Once you ve downloaded the app, be sure to take it for a test drive before your departure! USE OF WIRELESS DEVICES TIPS FOR CONTACTING HOME ADP recognizes that some associates in attendance may need to conduct ADP business during incentive trips using wireless devices, or will want to contact family members. Your phone/wireless plan may incur additional charges or fees for using your wireless devices during the trip. See below for usage tips. TIPS FOR CELL PHONE USAGE AND EMAIL CORRESPONDENCE Important: Check your mobile device carrier for International and Cruise Ship talk, text and data rates. Your carrier will advise you of your plan options. Phone Calls: Wi-Fi is available on the ship. iphones offer imessaging and FaceTime, which are free of charge if you are connected to Wi-Fi. Some carriers also offer Wi-Fi calling. Non-iPhone users (Android, Samsung, Google, etc.) should research equivalent applications. There are phones available in all staterooms that can be used at a rate of $7.95/minute, for a maximum of 10 minutes. Charges will be applied to your folio. Emails: Wi-Fi is available on the ship for emails. You can access the Internet from your stateroom or lounge areas on your personal laptop or tablet. If you prefer not to travel with electronics, you can still stay connected by utilizing the Celebrity ilounge (Deck 6), a state-of-the-art Internet Lounge where you can access the Web 24 hours a day. President s Club App: Available over Wi-Fi. AIRPLANE MODE On the Ship: Always have your mobile device on Airplane mode to avoid any roaming charges, unless you have a Cruise Ship plan with your carrier. Note: A Cruise Ship Package does not fall under your International Plan; it is a completely separate plan. In Port: Be sure to switch to Airplane mode if you do not have an international phone plan. Seek places with Wi-Fi in the ports of call to check email or make phone calls over the internet. If you are not connected to Wi-Fi on the ship or in port, and if you are not in Airplane mode, roaming rates could apply. Any phone charges will not be reimbursed by ADP. Instructions on Internet while Cruising: ADP will provide complimentary Internet access for all ADP guests; one device (per person) may be connected to the Internet at any given time. You can get connected and register an account from anywhere on board the ship by following the steps outlined below: Step 1: Turn on your device s Wi-Fi and select Celebrity-wifi Step 2: Open the browser and type login.com Step 3: On the Login Page, click Create Account and follow the instructions to select Xcelerate Unlimited Plan Guests will need their Folio number (located on the SeaPass card) and their date of birth to register. BLUETOOTH USE Disconnect Bluetooth devices after you make a call or transaction. Enable your discoverable mode only when required. ANY WIRELESS/AIR CARD/PLAN CHARGES No charges may be expensed to ADP, and you are personally liable for any related charges. DATA SECURITY/REPORTING LOST OR STOLEN DEVICES Wireless devices may be subject to heightened security concerns, such as data theft and viruses. Please adhere to the protocols below to minimize your exposure to high communications charges as well as data security issues. If your wireless device gets lost or stolen, contact a member of the ADP Staff or ADP Global Security, IMMEDIATELY. CELEBRITY CRUISES LOYALTY PROGRAM If you are a member of any Celebrity Cruises Loyalty Program ( Captain s Club, etc.), please note that because your President s Club trip is a chartered cruise, earning award points does not apply. Smart Casual: Collared shirts, dresses, skirts, and blouses are all good choices. Pantsuits and jumpsuits for women and jackets, sports coats, and blazers for men are welcomed. Smart casual attire is required for dinner in the Opus Main Dining Room and in the specialty restaurants, which include Luminae, Blu, Murano, Qsine, and Tuscan Grille. Please note that T-shirts, swimsuits, robes, bare feet, tank tops, baseball caps, and pool wear are not allowed in the Opus Main Dining Room or specialty restaurants at any time. As a courtesy to all guests, Celebrity respectfully requires and enforces compliance with the dress code at restaurant entrances. Additionally, guests are asked to follow the Smart Casual dress code in the Reflection Theatre for all evening performances. WELCOME EVENT Weather permitting, the Bon Voyage Sail Away Reception will be held on the Pool Deck. Casual dress is appropriate. Heels are not recommended. A light jacket or sweater is suggested for the evening. DAYTIME/ACTIVITIES Comfortable, lightweight clothing and walking shoes are recommended for touring, shopping, and sightseeing. AIRLINE TICKETS & LUGGAGE AIRLINE TICKETS & FLIGHT ITINERARIES Your electronic ticket confirmation will be emailed to you from ADPPresClubAir@biworldwide.com. Ensure the name on your airline ticket is exactly the same as the name on your passport. LUGGAGE TAGS: New This Year! Two types of luggage tags will be enclosed with your travel mailing: 7
President s Club luggage tags (two per person): Please complete each tag with your personal information and attach one to each bag you plan to check. Celebrity Reflection paper luggage tags (two per person): Please keep these tags with you on your flight to Rome. When you arrive at the cruise terminal, please attach one tag to each piece of luggage. These tags are extremely important, as they will include your name and specific sailing information, which will allow ship personnel to deliver your luggage to the correct stateroom. CARRY-ON BAGS Strict rules apply to the type and number of carry-on bags and other items that you can carry on board a passenger plane. Please check with your airline carrier prior to departure. We encourage you and your guest to pack a small carry-on bag with your travel documents, a change of clothes, swim wear, and any medications you may need. That way you don t have to wait for your checked bags to arrive in your stateroom before enjoying the onboard activities. It may take a few hours for your luggage to be delivered. DELAYED LUGGAGE If your luggage does not arrive with you, submit a lost luggage report with your airline s Baggage Claim prior to leaving the airport and inform ADP s Travel Staff at the airport. They will work with your airline to get your bags to you as soon as possible. ENTRY & PASSPORT INFORMATION ENTRY REQUIREMENTS A passport will be required for your cruise. Your passport must be valid for at least 6 months beyond your return date. For airline ticketing purposes, please verify that the name you enter during the online registration process EXACTLY matches your passport presented at the airport. Name corrections after tickets are issued will result in a brand-new ticket and will be at your own expense. If your name has changed due to marriage or divorce, you must have your passport updated. Allow several weeks for processing. U.S. Citizens U.S. citizens traveling outside the United States must have a valid passport. If you do not have this, you will not be allowed to enter another country. Carry your passport with you; do not pack it in your luggage. If you are not a U.S. Citizen Please check with your local government agency for information regarding entry requirements. You are responsible for ensuring that you have all the correct documents for your trip. Chinese and Indian Citizens In addition to a valid passport, a visa is required for travel to Italy. The Consulate of Italy requires applicants to apply for Italian visas directly, and a personal appearance may be necessary at the nearest 8
Italian Consulate. Contact the consulate to obtain the most current requirements and make an appointment if necessary. A visa is also required for travel to France. Some applicants are required to appear in person at the nearest French Consulate to obtain a visa. POLICIES 2018 PRESIDENT S CLUB TRAVEL POLICY The 2018 Travel Policy is posted on the ADP President s Club website http://www.adppresclub.com. You can also find the Travel Policy on the President s Club 2018 App. ADP S INCENTIVE TRIP CODE OF CONDUCT POLICY Each trip is a performance recognition program that rewards extraordinary performance of sales associates. This is an opportunity for you to celebrate success with your peers and leadership. All President s Club qualifiers must be active status at time of the trip. If you are on a leave of absence for medical reasons, your physician will need to certify you are able to return to work per ADP leaves policy. You will need to complete the necessary paperwork to return to work. You cannot be on a leave of absence over the dates of President s Club. As brand ambassadors for ADP, we must hold ourselves accountable to the highest ethical standards. The actions of you and your guest are direct reflections on ADP s image. ADP expects all program participants and guests to act appropriately at all times, behaving as they would in the presence of clients or in similar business-related situations. Any other type of behavior is unacceptable. You are also responsible for the behavior and actions of any guest accompanying you on the trip. ADP s message is simple always act responsibly. ADP expects that you and your guest will adhere to the following minimum expectations of appropriate behavior: 9
If you choose to consume alcohol, do so moderately, and always be in control of your behavior and any decisions. Dress professionally at all ADP-hosted functions. Be respectful and courteous in every interaction with other ADP associates, their guests, ADP s Global Security Organization, ADP Corporate Events personnel, ship/resort personnel, other ship guests, and all others. The use of the ADP Corporate Card is for legitimate travel and company-sanctioned expenses only using the ADP Corporate Card for bar tabs is strictly prohibited. For those who behave inappropriately or violate the rules of ADP s Incentive Trip Code of Conduct policy or the Code of Business Conduct and Ethics Policy, there will be consequences. These may include, but are not limited to, both you and your guest being sent home, or other disciplinary action up to and including termination of employment. Significant incidents that result in intervention by the ship and/or ADP Global Security for you or your guest may result in immediate termination of employment. In addition, ADP reserves the right to reject any participant from attending any incentive trip if the individual has failed to meet this standard in the past at other incentive trips or elsewhere. Any additional costs, fines, or damages incurred as a result of inappropriate conduct by you or your guest will be your sole responsibility. All costs associated with an early return from the incentive trip for you and your guest will be your personal responsibility and expense. Examples of unacceptable behavior that will result in disciplinary action: Use of illegal drugs, abuse of legal drugs, or overconsumption of alcohol by you or your guest. Belligerent behavior or refusal to comply with requests from ADP Global Security, ADP Corporate Events, and/or ship/resort personnel. Violation of any aspects of this Incentive Trip policy or the Code of Business Conduct and Ethics. ADP s Global Security Organization will be present at each incentive trip to enforce these policies and to investigate incidents. They will involve ADP Human Resources in all investigations. ADP GLOBAL SECURITY ADP Global Security is present throughout the entire program and is responsible for access control, response to any security or medical issue, and the investigation of any alleged violation of the ADP Code of Conduct. You will receive a contact card with emergency information upon arrival at President s Club in your welcome packet. TAXES An incentive award such as President s Club is considered to be non-business required and therefore is taxable for associates who pay U.S. income taxes. While the cost of President s Club for both you and your significant other/spouse will be included in your gross income, you will not be taxed on business-related items at President s Club, such as gifts and the cost of the Awards Banquets.
